Expenses - Set annual expense limits, with alerts
I want to track certain yearly expenses. I wish to put a limit to the expenses. When they reach the limit,I wish Xero can alert me. Eg Setting a limit on staff benefit per employee as $1,000. Once $1,000 is reached, a message can be sent to me.

NZ Payroll - Pay PAYE to IRD through payment file
Would be great if you could pay the IRD PAYE when you pay the employees in the same payroll batch. This is already a function with Flexitime Payhero and doesn’t rely on staff making the IRD PAYE payment manually. If Xero had this function there would never be any late IRD PAYE payments as its getting paid to IRD when the employees are paid.

Payroll: Set a percentage on an employees bank account
Give the ability to set a percentage (i.e) 50% on an employees bank account when paying across more than one bank.
I have an employee who always splits her pay equally between 2 bank accounts, however she is a commission paid rep and therefore each pay amount is different. So the current function is no use to me- which allows a $$ amount to be set only. This is fine for set salaried employees but not for commissioned sales reps.
MYOB had a function where you could set a percentage on how much went to bank account 1, and therefore calculated the splits accordingly each payroll. This function would be amazing.Give the ability to set a percentage (i.e) 50% on an employees bank account when paying across more than one bank.

UK Payroll: Indicate premiums on payslip when payrolling health insurance benefit
Be able to add a message for each individual employee to tell them what their premium is for their medical insurance benefit.
The premium for each employee is different, so can't use the payslip message on a payroll run. Adding individual data to a person's payslip each month is too labour intensive.
Maybe some type of pay item without affecting their pay/tax/NI etc. It could then be added to their pay template so it appears every month.

AU Payroll - Pay wages direct to employee's credit card
Right now there’s no functionality in Xero to record credit card account in an employees records, by adding this feature would allow payroll to be paid directly to a credit card.

AU Payroll - Edit posted pay runs
You should be able to edit any payrun that hasn't been 'filed' regardless if it was the last one or not. I enter several unscheduled payruns and I've noticed an error in one but I can't fix it because it wasn't the last payrun posted. The "work-around" Xero recommends is to File it and then re-post a counter fix. This feels redundant and unnessary extra work. Essentially its saying I can post an inverse of the original to cancel it out which isn't a tidy way of doing work.

UK Payroll - Holiday balance on final payslip
When an employee leaves, it would be really useful for Xero to calculate how much leave they have left or have over used and then calculate and add/deduct the value from the final payslip. Currently, I have had to do the calculations manually, and then I add to add the holiday to the payslip and change his departure date to cover the leave period - a bit of a messy fudge.

UK Payroll - More options for Gender
Add other gender options for personal settings, non-binary & intersex
22 votesThanks for confirming, Andy - Really appreciate the screenshot. 🙂
I've checked in with our Payroll team where this detail is saved.
We appreciate wanting more options for gender when entering personal details, and in some regions such as AU & NZ this is optional.
Currently, in order to ensure successful payroll filings with HMRC in the UK, we need to match the schema they provide. That said, our team are reassessing how this fits in Xero so I'll shift this Idea to 'under review' and can share any updates that come. -

Xero Expenses - Easily add expense to employees next payslip
Once expenses are approved it would be fantastic to have an option to "send" this to their next approved payslip rather than having to manually add this to the payslip.
Seems madness this isn't implemented already - what is the point in doing everything in Xero if you need to faff around making adjustments for details that are already in the system.
Employee's submit expenses - so you know who needs reimbursed already.

AU Payroll: Set Long Service Leave to not 'pay out' by default
There has recently been a change to the setting for "Paid Out" Long Service Leave on cessation. It automatically reverts to "Paid Out". I think this is incorrect or at the very least misleading and prone to error. My understanding is that despite different State legislation the common provision is that whilst LSL accrues throughout working life on the basis of ordinary hours worked, there is not actual entitlement to payout of accrued LSL unless an employee works for at least 7 years continuously. By automatically defaulting to "Paid Out" the setting for a Final Pay automatically attempts to pay out accrued LSL on a similar basis to Annual Leave. But this is not correct if employment is within the seven years. It also by default means that a casual employee, once a final pay is processed, will be automatically paid out accrued LSL, again this is not correct within the seven years. My suggestion is to revert to "Not Paid Out" as the automatic setting as in my experience the great majority of employees don't exceed seven years or they are at least in the very minority. Alternatively, build into the algorithm a reference to the Start Date or some other "check point" which at the minimum gives an option that you have to answer. A bit like having to select "Leave Taken" against "Leave Paid Out in Cash", the latter can only be done with ATO approval in certain circumstances but at least it means the employer is aware and has to make a choice. As things stand, Xero has automatically recoded all of my existing employees LSL accrual to "Paid Out" on cessation and this is incorrect for any one with less than seven years employment.
I have raised this with Xero Support and attach the response from Veronika. While I appreciate her explanation, frankly, I think Xero has got this the wrong way around and it is preferable to force the choice to select "Paid Out" rather than have it as the default position and having to change it to "Not Paid Out" every time an employee who does not meed the seven year requirement ceases.
Hi Peter,
Hope you're having a lovely week!
Thanks for your feedback in regards to how Xero treats Long Service Leave.
The change for this leave type to be automatically paid out at termination was done to comply with regulations set out by the Fair Work Ombudsman. I've included a link to the Fair Work Ombudsman website for more information on this.
We understand this situation isn't ideal for all business' as you've mentioned some very valid points about employee's not reaching their appropriate tenure to receive Long Service Leave.
In this scenario, as you're aware in you can change the setting to be not paid out at termination then changed at a later date if the employee is eligible to get this paid out at termination.
It doesn’t look like this idea has been raised to Xero Product Ideas yet. Xero Product Ideas is a Xero website where our customers can share and support ideas for change.
We recommend raising this as a product idea as you can gain votes and some traction for your idea. Also, if there are any developments on your idea you'll be updated on this.

AU Payroll: Assign an employee to more than one pay calendar
Ability to switch between payroll calendars for an employee with multiple roles eg Jane is on the weekly payroll for her role as studio manager. She is also paid monthly super only for her roles as a sub-contractor yoga teacher.
So far we have managed this by posting Jane's weekly pay, and then switching the payroll calender to process the super and then switching it back again. The problem is that if Jane is already in a draft weekly payrun the calendar can't be switched until the draft payrun is processed. This makes the process fiddly.

Global Payroll - Template timesheet to upload into Xero
We must be give an option or some kind of template to upload hours in Xero if there are hourly employees and number is huge. Doing manually is quite a challenge and time wastage.
So this option must be available even if not using time sheet.12 votes
