  1. A report that provides details of employees leave to be able to see the leave accruals and leave taken for the pay period.
    This would help as an audit trail and when preparing a salary budget or during a salary review.

  2. Be able to add a message for each individual employee to tell them what their premium is for their medical insurance benefit.

    The premium for each employee is different, so can't use the payslip message on a payroll run. Adding individual data to a person's payslip each month is too labour intensive.

    Maybe some type of pay item without affecting their pay/tax/NI etc. It could then be added to their pay template so it appears every month.

  3. Hi Xero team,

    For timesheets with the "Total hours worked" setting, would you be able to create a setting that allows us to set our own default shift duration?

    When we go to add a shift to our timesheet, by default the shift duration is set to 8 hours. For those of us who don't work 8 hour shifts, each time we log a shift we have to click on the duration and change it to the amount of hours we worked.

  4. Please automatically revert to the "Pay Employees" page after a payrun has been filed. At the moment after a payrun is filed with the ATO we are taken back to the "Post Payrun" / "File" page. You then have to click on "Close" to be taken to the "Pay Employees" page. Why the extra step?

  6. A staff member will be working in 2 different locations - I would like the cost of the salary to be split over the 2 (3 days in one location and 2 days in the other location)

  7. It would be really helpful if there was a report that showed the actual amount of hours worked per month per individual and as a total. Our company has busy seasons, as well as quiet seasons and having a report like this would help us in planning our staffing situation.

  8. NZ Payroll - update minimum wage increases automatically

    There are other payroll system they do this, and with the minimum wage requirements changing every year, there should be an automatic update or prompt to change anyone who is affected by this, to avoid the error in not paying out correctly as per the legislation,

  9. We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line. When we reactivated this leave type, ALL payslips for the period of over 12 months were updated…

    Hey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.

    • If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
    • In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.

  10. The Australian version of Xero offers a timesheet summary report. Can we have this in the UK? I need to send a manager details of his employees uploaded timesheet data and there is no report.

  11. I have a number of clients that have employees that are paid a daily rate rather than an hourly rate. We currently can't use Xero payroll for them as the payroll needs to use hours rather than days to pay. It would be great to use Xero if there was an option to pay a daily rate rather than an hourly rate.

    Hi community we appreciate your interest and sharing how we could improve payroll for your business. Each regions payroll has been designed and built separately to meet regional requirements, and taking this into consideration development for being able to view future leave balances would also be worked on separately.

    We have an separate ideas that have been started for this in the AU version, another for NZ payroll, and I'll adjust the title of this idea for UK specifically. We will keep you updated on any progress of this on these ideas.

  14. As you’ve found, right now it’s not possible to submit timesheets using the casual rate during the weekday and then also to be able to submit timesheets for the casual rate that applies on the weekend.

    From your idea it sounds as if you'd like employees to be able to submit timesheets with start & end times and different earnings rates, Nathan? This isn't possible atm.

    However, an option here where you're dealing with multiple earnings rates for an employee is to get them to submit timesheets using the 'Total hours worked'. This'll let them;

    • record the number of hours worked per day, including partial hours
    • record time spent at different earnings rates and tracking categories if used.

    Your employees may need to edit the timesheet setting, by opening Xero Me, going to Timesheets > Settings and selecting 'Total hours worked'.

  15. Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊

  16. Typically Xero calculates all PAYG tax to be withdrawn from employees to the nearest dollar. Correct. However, the same check isn't in place if you manually add extra tax. In the past, I included extra tax to be withdrawn from an employee and included cents in the amount. At tax prep time, this caused a headache for my accountant. Xero could easily prevent this each time or warn you closer to the end of financial year to get back on track with zero cents.

  17. Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
    As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
    As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to find out…

    Hi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.

    Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.

  18. Create the option to use Days or hours for time off (holidays).
    Holidays are often calculated in days or 1/2 days not hours.
    Having this option for pay & pay rates would also be helpful and also on payslips

    Thanks for your idea here, Rolf. Can't quite confirm the exact date this changed but you should now find the abbreviation for September in Xero Payroll has been changed to the 3 character long version 'Sep'.

    If there is a specific place you're still seeing 'Sept' referenced please do let us know here and I can follow this up with our product team.

  20. The ability to set up a holiday calendar period of our choice (we have multiple clients with varying holiday calendars) with the option to have the full holiday entitlement available and for the available balance to reduce as employees take annual leave.

    Hi everyone, coming back to this idea I'm pleased to share that with functionality we delivered last year this is now possible!

    You can now set up an employee's leave policy to accrue based on a custom date of your choosing, so their entitlements will be accurate and accrue based on your companies leave year. We have more detail on setting up an employees leave entitlements on Xero Central.
