Invoices - products and services
Products & Services - When creating a new item code, and saving the amount to $0.00 so that amount can be entered when creating invoices, it would be great if draft invoices rettained all the information that populates - such as description, account code and tax rate.
At present I am having difficulty saving a new item under Producst & Services with $0.00. Then when creating an invoice for my client to complete, manually entering $0.00 and saving, he opens the draft invoice and the item code is still visible but nothing else.
I have done a work around…

Export invoice
A feature to export the status of outstanding invoices/overview in PDF Format. Currently its only available on Excel format.
2 votesWould this be so you can get the Overdue by column, Kristel? If that column isn't really a concern, you could run the Receivable Invoice Summary report atm and filter this by Status = Approved to get all but the Overdue by column. This report can be exported to Excel, Google Sheets or PDF.

User Permission - Ability to give both Invoice only and payroll access
I have clients whose bookkeeper does the payroll and also processes accounts payable/receivable invoices. Currently we can't have submit/draft only invoice access AND payroll access. This means that if they want to do payroll, they also get access to approval of invoices. Can we please create a user role where draft/payroll access is combined?

Projects - I would like to see the references for each invoice in the list of quotes and invoices on projects. It is difficult to tack what you have invoiced when you have to open each individual invoice.

Repeating Invoice - automatically calculating days of the month in the qty field
Repeating Monthly Invoices:
Can we have a feature where monthly invoices have the ability to automatically calculate the days in that month based on the date in the "next invoice date". Therefore it doesn't need to be manually changed. Eg Monthly repeating invoice. next Invoice date - 1 November 2024. Qty - 30

Bills - Changing VAT code on paid supplier invoices
It would save a lot of time if it would be possible to edit the VAT code on paid and reconcilled invoices, just like you can change the nominal code. The VAT return is done at the end of each quarter, which means that the majority of invoices and expenses have been paid, by the time you are running your VAT return and double checking that all invoices and expenses have been correctly coded for VAT. At the moment, if an item is miscoded I need to go to that item, unreconcile the paymemt, go back to the item…

Sales Invoice - Bulk Download of PDFs in separate files
Bulk download of invoice PDF files (not export csv)
Currently after doing a search, what I understand the current process is:
- Going under Paid / Unpaid tab under Invoices
- Checkbox all and select print
- But this clumps ALL the invoices into a single PDF file instead of one file per invoice number
- Using an online tool to split the invoices. If your invoice is more than 1 page long, you'll need to manually merge them back.
- Alternatively, manually clicking each invoice link, hitting the Print PDF button. Going back and repeat every invoice.What…

E-Invoicing - PEPPOL Compliance
Ability to send invoices through PEPPOL network.
Purpose: To comply with the European standard of e-invoicing and e-ordering. Especially for those who deal with the public sector.

Invoicing - Allow blank lines to make groups of invoice lines
It would be great to be able to group certain lines of an invoice together (for example by adding some spacing between groups), to make long invoices more readable and logically coherent.
It used to be possible to add spacing on the Classic invoicing page by pressing Enter a few times on the description field, but this no longer works on the New invoicing.

We've just released a new line item grid in invoicing which includes the ability to manually add blank rows and shift these to where you're like them placed in your invoice.
That said, I want to be transparent in how this works - When you save your invoice any blank lines will be removed. So, if you'd like blank lines to help break your invoice into sections, you'll need to enter a character in the Description field of the blank line. Even a full stop '.' or dash '-' would suffice.

Repeating Invoices - Widen the display Column
In Repeating Transactions, you have a column width for Reference which is fairly decent, but then the data in that is truncated to the extreme. It takes up less than half the column width??????
Has it not occurred to your programmers to use the full width of the column and only suffix with ... if it still proves too small to display all the data22 votes -

Create an undo or revert option for edits made to invoices. We can already see the history of changes made to an invoice, so why can't there be a option to undo or revert to a previous revision of the invoice?

If you haven't already, we'd recommend exploring connecting Hubdoc to your organisation. It's possible to Publish documents from Hubdoc to Xero as an Invoice.

Receivable Invoice Summary - Date range 'Any' option
Previously, in old "Customer Invoice Report" there was a feature under "Dates" where we could select "ANY" which allowed Invoices created outside of your selected date range to be included in your report.
This seems to be no longer available in the new "Receivable Invoice Report" and any invoices created outside of your selected date range (but paid within that date range) won't show up on the report.
You can expand your date range but this has potential to re-list paid invoices from previous reports.
Can "ANY' be added as an option to Dates as it was in previous version?5 votes -
Bills - Copy to invoice
Copy a Bill to an Invoice. We have many instances where we need to charge out for the invoice that we received. You can copy Quotes and Purchase Orders to Invoices and Bills already. Not sure why this is not already a function.
27 votesHi everyone, appreciate the continued conversation here. Please bear in mind while a solution may not solve what you're in need of, it's generally offered from a good place, where everyone is trying to help one another.
As noted earlier there are a couple of existing options that some may be able to make use of like;
- Using Billable expenses to mark items of your bills as an on charge to your customer which can be easily added when the invoice is created for the customer later on, or
- Perhaps entering the invoice first, and then copying the invoice to a bill
We totally get some users find this second option useful and it's not quite available within the new invoicing experience just yet. There is a specific idea for this that I'd encourage you to join and follow for any updates as we're continuing to develop the new experience.

Sales Invoice | List view - Filter by Contact Group
Ability to filter draft invoices by Contact Groups.
We have a large number of customers who are moving toward shared accounting services (ie: centralised payment of our invoices). It would be great to be able to filter draft invoices by the Contact Group, or at the very least be able to see the contact group with the customer name on the draft invoice screen13 votes -
Bills and Invoices: Shortcuts to scroll up or down page
The only way of moving (using the keyboard) within an invoice or a bill table at the current moment is by using the enter or tab key. These two keys allow you to move horizontally.
Many times I found myself wanting to move vertically instead! Could we have one key that will do just that?
A similar feature is already present in 'cash coding' and makes the experience of reconciling way smoother. What about invoicing and bills?

Xero App - Show outstanding balance on invoices instead of the total amount
I often take part-payments against customer invoices in Xero. But, when I use the app, the full sales invoice amount appears rather than the remaining balance. The app should show the remaining balance on sales invoices - when viewing the list of unpaid invoices.

New Invoices - New Contact search address by postcode
As the new invoicing is no longer optional. I believe this issue must be addressed for all customers in the United Kingdom.
When adding a new contact upon invoice creation, allow us to search for the address via postcode like we used to. This could be achieved by postcode search ABOVE Billing Address, then auto-populate the billing address based on the input post code.
Note there were many issues with the search results which must also be addressed (See: https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/46289185-contacts-improve-uk-postcode-lookup)
