  1. There is currently an option for a DEA to be table based when setting it up, however this doesn't do any of the calculations for the DEA. Instead, they need to be calculated manually & entered as a fixed amount. There is also no way of keeping track of the amounts deducted until the total has been paid within Xero, this also has to be done manually. This can especially be difficult if the employee's pay varies each period.

  2. When you change an employees address on xero, it changes the address on all previous payslips to the new address it should be the address the employee was living at when the payslip was sent

  3. UK Payroll: Payment file csv format
    Lloyds bank doesn't accept .txt format. It would be great if we could download a csv payment file to upload the employee pays to the bank.

    I am using payroll manager currently for all my client payroll services, and xero does not provide reports like HMRC monthly payment, P32, I can see it but can not download it to send to my client for payment. Also no employee wage report whereby my client see all deductions/additions and pay net wage to all staffs.

  5. There is no reason to keep the previous bank holidays on every payslip.

    I can’t seem to get rid of previous bank holidays from showing on current/future payslips. Why are bank holidays from the Easter and the King's Coronation still appearing on payslips May 2023 onwards?? Doesn’t look very professional. This is all on the YTD earnings line. Why isn't there an option to remove it? Clients are not very happy.

  7. I would like to be able to firstly differentiate my payroll journals from other journals and then produce an end of year report of the payroll journals.

    How you could facilitate this:
    -Tick box on the journal to identify it as payroll related.

  9. UK Payroll: Leave / Sick Days
    Xero payroll nearly always miscalculates sick pay and absence deductions if staff are paid an annual salary for two reasons;
    1) It works on average number of days in a month when month vary in working days every month and recalculates an inaccurate hourly rate from which it deducts absence (sometimes this is in favour of the employee but more commonly isn't) meaning that it often deducts too much from them and has to be manually recalculated.
    2) It does not have the capability to deal with part-timers so if you have someone…

    Hi everyone, I wanted to confirm with the release of working patterns this is now possible 😊

    Working pattern templates create default work schedules for employees to ensure they are paid and accrue leave correctly, as part of their salary and wages settings.

    You can now; 

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

  13. It would be useful if payslips could be scheduled to be posted to Xero Me on a date after the payroll is run. Eg you may run the payroll mid-month but want employees to be able to see their payslips on the date the payment is made at the end of the month.

  14. The Payroll Journal dates are currently fixed to be the Pay Date, which is incorrect for any business that has hourly paid employees which must pay after end of month, when all hours are calculated.

    Every month all of our P&L figures are wrong because of this. Nobody wants to have to waste time doing loads of manual journals every month, which have the potential for mistakes, when Xero has created a system which is supposed to automate this process.

    Others have raised it but Xero never replied, see link at the bottom below.

  15. Allowing the payslips to be emailed before posting to HMRC to check for any errors would be great. We have multiple users involved in the payroll data input and there are usually one or two errors as there are many expenses claims. Being able to do this would make life so much easier for us.

    Thanks for your interest and feedback on this idea, everyone. Currently, you can View Payslips from within the draft pay run by clicking into Options > View Payslips.

    From here you could download and email the payslips from outside Xero.

    Though no plans at present, if anything changes in this space, we’ll update you on this idea.

  16. With ever changing minimum wage requirements (UK only) which are based on an employees age it would be useful to be able to have a 'one pager' report that lists the employee name and the current age. Their age is data which is already in Xero as part of the employee profile. A report would be useful to help payroll staff check who needs to move onto new wages / salaries based on age groups.

  17. In UK hospitality, Tronc (tips) systems require a different PAYE to your normal payroll. It would be very useful if Xero could accommodate more than one Payroll, including PAYE reference and employees could have a job with each.

    A pay run should be able to be created with each PAYE separately, and each would have its own coding to the balance sheet. e.g. Net Wages, and Net Wages Tronc are different numbers in COA.

  19. The leave process is not flexible enough. Once a request is approved, it can't be changed - only declined which is incorrect. Need to be able to amend/delete after approved. There should be the option to book as days not hours as our employees have day entitlement, this should also be able to be shown on payslip as days remaining. Why also is the leave balance report not being opened to UK

    Hi team, currently a user with payroll admin permission has the ability to edit approved employee leave requests, by going to the employees record, clicking into the leave tab, selecting the three dots where they'll see the option to edit.

    In regards to setting leave to be based on days this isn't possible as the earnings are based on hours, and cannot be set to days.

  20. When transferring from another payroll system, Xero has not accounted for the user case of an employee starting with a negative entitlement.
    A lot of businesses allow employees to use annual leave as it's accrued and do not always enforce the 12 month stand-down as per legislation. As a user who has just entered 12 months of payroll information for a transferred employee, I should not then have to calculate what the balance now is.
