  1. I don't think this is a product idea, I think this is the request for fix:
    In Hubdoc, the chosen document type (in "Transaction Details") is not used to validate the "publish as" option in the Xero Integration. While Hubdoc validates the tax rate chosen in Transaction Details relative to the account chosen in the Xero Integration (providing an error message when it doesn't), it happily lets me publish a document categorized as "invoice" in Transaction Details as a credit memo in Xero, if the last transaction with the contact happened to be a credit memo.

  2. Please allow for more history of inventory items. Sometimes it is easier to look up an item to find latest bill to see last price paid to vendor. As it is now item history only allows one to see +/- 30 transactions. It would be nice to have the option to see more than this. Other areas of Xero allow for this option.

  3. Please create an automatic tip function ideally with Hubdoc.
    I'd be really grateful if there was a way to simplify tipping in the Purchase/Bill module. As it stands the total amount is transferred from Hubdoc to Xero. I have to:
    1. hit edit
    2. switch tax inclusive to tax exclusive
    3. edit the bill amount to the pre-tax value
    4. add a line
    5. type "tip", add 1, add tip amount, change tax rate from standard (Entertainment) to Tax on Purchase (o%)
    6. Hit 'Update'.

    THEN I can fill out the apply payment line.
    Ideally, Hubdoc would identify a tip…

  4. I don't like the new vendor payment system. I want go back to the old system of paying by check. With new system you have to re-enter the vendor information to send a payment. Don't like it. How do i revert back to paying with my own checks.

  5. Navigation is clumsy - takes too many clicks to get anywhere. For example: Purchase > Bills, should then have options > All / Draft / Awaiting Approval / Awaiting Payment. Currently need to wait for Bills page to load, then select option.

    Same for bank accounts. Need option from top nav to go straight to bank account instead of having to go via Home page. EG: If not main BANKS option in main nav, then Accounting > Bank Accounts > (list of bank accounts to choose from).

  6. Surface supplier aged balances during Bill and Purchase Order creation

    When creating Bills or Purchase Orders, there is currently no visibility of a supplier’s outstanding or overdue balance without leaving the workflow to run reports.

    This creates unnecessary friction between Finance and Purchasing teams, with buyers frequently needing to ask questions like “What do we owe this supplier?” or “Is their account overdue?” Finance teams are then forced to interrupt their work to manually check balances.

    Proposed improvement:
    Display a supplier aged balance summary (Current / 30 / 60 / 90+) directly on the Bill and PO entry screens once…

    Thanks for sharing how this would be useful to you here, Charmaine.

    As we have multiple product teams working across Xero it really helps for us to have ideas for each feature tracked separately in the forums here that we can consider and keep you updated through.

    I've split your idea so we can track the interest in seeing this detail on a Purchase order, and another for viewing this within Bills across here.

    This isn't something we have plans for at present but will track the interest and update if there are any plans made.

  7. Whenever I make a manual payment to a supplier Purchases/Bill I keep getting an annoying pop-up saying "Pay bills online directly from Xero". Bills are not paid online, payments are processed manually. Please remove this annoying pop-up.
    There needs to be a "do not ask me again" box.
    I'm told by AI help that I can continue to process manual payments as usual - the pop-up shouldn't prevent me from completing the transactions. This is where the problem lies - I make payments nearly every day and some suppliers have more than 1 invoice to pay so have to select…

    Hi team, thanks again for your feedback on this here. Just to clarify the change, while the modal has been updated the payment method options shown are the same as previous. Just rather than making you select there is a preset default for online bill payment.

    If you prefer manual payments you just need to click on the 'Continue with manual payment' to proceed.

    With focus on further improving and expanding online bill payment methods and helping our customers stay on top of cashflows, it'd be great to better understand the reasons why online bill payments don't suit your business needs here.

  8. Add further Bulk Action options to the Draft Bills screen. See image - so many identical low value bills.
    Idealy I would be able to check the bills, and bulk add:
    - Supplier Name
    - Basic Description
    - Default Due Date (revert to supplier default automatically?)
    - Account used.
    - Approve if eligiible after this.

    I find the 'approve' options are useless because the incoming bills never have enough info to approve until edited... therefore - edit options would be more useful.

    Hi Andrew, thanks for your suggestion. We understand that processing large volumes of draft bills can be time-consuming when updates need to be done one by one.

    The suggestion here is to allow bulk editing of draft bills, so users can update fields like account codes, tracking, or tax settings across multiple bills at the same time instead of opening each one individually.

    We’ve moved this to Gaining Support so we can keep tracking interest and share it with the team.


  9. Prevent invoice scanning technology from splitting out the VAT on a bill where the client's financial settings are set to "VAT scheme - None" and all chart of accounts codes are set to "No VAT" (the client is not VAT-registered).

    Hi everyone, thanks for sharing this idea. We understand that having document extraction follow your organisation settings could help reduce manual adjustments when reviewing bills and receipts.

    The suggestion is to have document extraction automatically apply existing organisation defaults, such as tax settings, currency, and tracking categories, when creating transactions.

    For now, supplier rules and automation settings can help prefill some details and reduce manual updates. We’ll continue tracking this idea here so the community can share feedback and use cases to help shape future improvements.


  10. Action Bars across all views should be sticky so that scrolling up and down is eliminated.

  11. Hello, we use pre-printed checks that seem much wider than the alignment grid for custom check styles. I have the Amount and Date fields set all the way to the right (and the printer has no margins or spacing on the page formatting, etc.) but those two values are still left of the blanks on the pre-printed stock. The check stock is a regular 8.5"x11" format sheet and a regular B&W laser printer.

    Unfortunately, this means the Amount ends up unclear because of the pre-printed dollar sign (see photo of a check I ran today). Thankfully the checks have been…

    Hi everyone, we appreciate you sharing this idea. We understand that having more flexibility when setting up check layouts would help businesses align printed payments with their existing stationery.

    The suggestion is to allow more control over print field positioning and layout boundaries, making it easier to adjust checks to suit different formats.

    For now, printer settings and scaling options can help fine-tune alignment when printing. We’ve moved this to Gaining Support so we can continue tracking interest and gather more feedback from businesses with different check layouts.

  15. Mass adjustments should include the ability to increase quantity as well as value - when we run production I currently have to do this one by one or create a bill to bring in the stock, it would be great to be able to bring in production through an adjustment

    Appreciate you sharing this idea. We understand you’re looking for a more efficient way to update inventory when both quantities and values need adjusting.

    The suggestion is to allow both stock count and asset value to be updated together in a bulk inventory adjustment, reducing the need for separate entries.

    For now, quantity adjustments and value changes can be managed separately to keep inventory records accurate. We'll continue to track interest and help our product teams understand the value of improving bulk inventory adjustments.

  16. When searching a purchase order number in the search bar in the purchase order section, it wont find the purchase order if there is a space after the number. This shouldn't be an issue if there is a space next to it. This happens a lot if I am copying and pasting a number into the search bar and it adds in a space next to the number, I then have to go back in and get rid of the space to find it

    Thanks for the feedback, Brianna. Can see how it would be easy to add a space that could cause troubles when searching a PO number. Just to double check - is the space you mention in the original PO number field or within the search that you're performing?

  17. At the moment, you need to raise a credit note to write off a bad debt, which then records the bill as "paid". There needs to be an actual "write off" option so that the debts don't show up constantly in your reports, but they don't get recorded as paid.

    Hi team, we appreciate the needs some customers have to be able to better manage and keep record of bills and bad debts related to these transactions.

    This idea has been created off the back of this original idea so we can get a clear sense of interest in managing bad debts in Bills versus Sales invoices.

    This isn't something we have planned at this point, but will continue to review this idea as the team plan their roadmaps. We will share if there are any updates around this.

  18. Allow users to remove or hide the memo line on check-style bill payments. Many businesses do not use the memo field, and it takes up unnecessary space on the check layout. Providing an option to disable or remove the memo line would simplify the check format and allow the check stub to display more relevant information such as vendor details, invoice numbers, or payment references. This would make the check layout more flexible and better suited to different business workflows.

    Hi Kevin, thanks for sharing this suggestion. Having the option to hide or remove the memo line on printed cheques could make the cheque layout more adaptable.

    A simple layout setting to control this would give more flexibility over what is shown on cheque vouchers, especially where sensitive or internal information is involved.

  19. For organisations that have an active Hubdoc organisation, it would be helpful from a workflow perspective to:
    1. Have a link from the main purchases dropdown menu direct to Hubdoc; and
    2. On the various Bills tabs, have a link to Hubdoc

    This would provide a trigger for users to remember there may be Bills needing approval/processing in Hubdoc; and even as a cross promotion for Hubdoc.

As a business we deal in several currency so the ability to be able to send a remittance advice to a supplier that has been paid in a foreign currency similar to how this is done for suppliers in GBP would be a great help to ensure there are no queries with payments to suppliers paid in foreign currency
