Hi community, we appreciate your continued feedback on having different default email addresses for various transaction types in Xero contacts, and the manual steps involved to ensure you're communicating with the right person for different purposes.
Currently, one way of managing this in Xero would be to include every additional person on a contact record in emails, and then removing those that aren't required when sending each transaction. However we totally get this isn't the ideal solution.
While being able to set different email addresses for differing transaction types is something we want to address longer term, like the idea for multiple addresses work for this feature requires cross-collaboration between teams in order to achieve.
Once the multiple addresses feature is live this is something we'll be able to consider more closely and provide further updates on.
We do regularly review all ideas here, and your input is vital. We'll…

Hi everyone, though there isn't any progress to share on this idea we do want to provide and update for you all and thank you for engaging with us about this here.
We understand the desire and needs for being able to change or set a separate reply to email address when sending from your Xero organisation.
We're continuing to make improvements to sending of invoices in Xero however at this point our roadmaps does not extend to the email settings specifically.
This continues to be an area we're interested in diving deeper into in the long term and we'll be sure to share as soon as there's movement.
For the time being the only way to change the Reply-to email is to update this on the email settings screen prior to sending your transaction and change it back post sending. Thanks

Thanks for everyone's support in this idea. We understand the strong feelings expressed in your comments, where an invoice can be accidentally approved when still needing to go through a review or remain in a draft status.
As suggested by some users in this thread, if this has already occurred an option for now would be to add a note to the history of the invoice so other users are aware of the action and what needs to be done, or alternatively Void the invoice and copy to a new Draft invoice (consider if you need to change the invoice # before voiding the approved one, so you can use this on the new draft invoice).
While not a resolution for this idea, to avoid mistakenly approving an invoice an option could be to make use of the keyboard shortcuts that are now available in invoicing such as Save &…

Hi community, we understand how being able to send quote reminders like you can for invoices, would help with following up on uncommitted work with your customers and potentially locking in sales.
For the time being, as many will be aware you can resend a quote that’s already been sent, by clicking the 3 dot menu in the top right and choosing ‘Send’, where you’ll have the option to change the email and who it’s being addressed to.
This is something we have intentions of diving into discovery for this year and I’ll return to share more news when things progress. Thanks

Hi Matthew and Anthony, appreciate perhaps not as streamlined as you'd like here there is the ability to apply a prepayment to a bill.
In Xero, you would enter the bill to recognise the expense, payment itself would generally be recognised through the bank account when reconciling which is where you can create a prepayment and then apply the credit to the bill.
Alternatively, if you'd like to do this from the bills screen, you could use the create icon (+) in the top blue navigation and select Spend Money when redirected you'll want to switch the 'Spent as' to Prepayment from Direct Payment.

Hi everyone, thanks for sharing this idea with us! We appreciate you taking the time to explain how being able to mark multiple invoices as sent could help when invoices are shared outside Xero.
We’re opening this idea for community votes and comments so we can better understand how many customers would find this useful and the different ways it could support their workflows. If this would help you, please add your vote and share more about how you’d use it—your input helps our teams understand the broader need and impact. We’ll continue to monitor the feedback and post any updates here. Thanks again for helping us improve Xero 💙

It is... suboptimal... that I have to add up the total of the prepayments manually, or find a report that will show me the total only after several clicks.
As you can see from the screenshots I've attached, I can't even get the total my client has prepaid from the new bills page - I went looking when I realised I couldn't use the contact page to reconcile with the contact's statement! I need to reconcile this with the total that the entity they've prepaid (in this case, the tax office) says they've received and it's far, far too subject to typos and clerical errors!

Hi team, we appreciate that with different places in which notes can be added within Xero right now, you'd like one place you can go to view all history related to a contact. Though we don't have plans of surfacing the individual transaction history & notes on a Contacts record, you may find the History & notes report useful for getting a wider lens.
You'll find with the report you can filter, search and view history and notes across all areas of Xero.
We are continuing to watch the engagement and support for this idea, and will share if there are any updates.

I'd really like to create a prepayment that I can upload as part of a batch payment. One of my clients has recently become a Large PAYG Withholder, which means that the tax office needs to be paid with every payrun and then those payments are reconciled when the BAS is done. At the moment, I have to do each payruns' PAYG payment manually, and risk typos and clerical errors every time.
