Hi Tracey! We're in the process of releasing a new feature via our Xero Accounting app that will enable you to upload as separate or a single document that can be processed with Smart Document capture once uploaded to your org. 😊

We expect to have this live to all users soon so I'll round back to confirm when it's out to 100%.

Hi everyone, appreciate all the engagement here by far.

We understand you’re looking for a way to apply tracking categories directly while reviewing documents uploaded into Xero, so transactions can be coded completely.

Having tracking options available earlier in the workflow could help reduce extra steps when managing expenses across different teams, projects, or locations.

We’ll continue to monitor the conversation and gather feedback from the community as this idea gains support.

Add tracking categories to Smart Capture / Xero Files

Please add *tracking categories* to the Smart Capture / Files review screen.

At the moment, you cannot properly code a transaction if you cannot add the tracking category at the same time as the account and VAT.

For many Xero users, tracking is not optional. It is essential for property-by-property accounts, department reporting, branch or location reporting, project or fund reporting, cost centre reporting and meaningful management accounts.

Without tracking categories at the data capture stage, Smart Capture is only doing half the job. We still have to post the bill, open it again, add the tracking, and then check reporting later. That defeats the point of automated bill capture.

This should not need to be complicated. Even a simple manual dropdown in the capture screen using the existing Xero tracking categories would be a huge improvement. Supplier rules or smart suggestions could come later.

Dext and Hubdoc already allow tracking categories to be handled as part of document processing and publishing, so this is a clear gap in Xero’s own workflow.

    Xero Smart Capture tracking categories
    Xero Files tracking categories
    add tracking to uploaded bills
    tracking category on receipts
    Xero bill capture tracking
    Smart Capture missing tracking

Tracking categories need to be captured when the document is reviewed, not fixed afterwards.
