    It is very important even essential to have a copy of all correspondence sent to clients. The reasons are numerous including:
    - being able to substantiate/document correspondence which can be quickly referred to in the event of any client questions and or problems
    - quickly enable review or correction of documentation that has been forwarded
    - quickly provide a copy of documentation previously forwarded in the even the original document is lost/corrupted by the client
    - Quickly forward the exact same correspondence to another party upon client request
    - prove what documentation was sent by a particular date .

    it would be very much appreciated if you could pass on these comments to be actioned as this matter is very important.
