Hi all,
I had 50k contacts in Xero which I needed to archive & sort into Contact groups... Since this was almost impossible to do in Xero, I teamed up with a developer to build a fix ourselves. Our webapp syncs your Xero organization into a single table where Contact Groups and Last Transaction dates are clearly visible and fully filterable. We originally built it to handle bulk archiving and data anonymization based on inactivity, but it works great for general database cleanup too. We are looking for a small group of beta testers to help us pass the final Xero App Store checks. Email me at support@bulkcontactmanager.com if you want to test it. -

Same problem here. I had more than 50k contacts to archive and/or sort into groups and Xero gave me no options to do it on import or in bulk, so it was one by one. It annoyed me enough that my partner and I built a tool to fix it. On the import side it lets you map a group column in your CSV so contacts land in the right groups straight away, and you can also bulk-assign existing ones by filter. It is a paid app (being upfront about that), but the free trial covers this if it helps: bulkcontactmanager.com. Really hope Xero adds it natively too.

Hi all, quick update on my previous post: we're live now at bulkcontactmanager.com. The app lets you filter your Xero contacts by last transaction date (for example, nothing since 2019), then archive all the matches in one action, with every change written to each contact's Xero history. For records past your retention period it can also redact the personal data. There's a 14-day free trial, no card needed. Still an independent third-party app, not affiliated with Xero. Happy to answer any questions here, and thanks to everyone who tested with us.

Hi all,
I had to clean up & archive 50k contacts in Xero which was obviously driving me nuts... so I partnered with a developer to build a tool for this as Xero is not developing it. In our webapp you can filter your Xero contacts for instance by "Last Transaction Date" (e.g. showing everyone with no activity since 2019). From there, you can bulk archive them in one click. The app also includes features to permanently redact PII for data privacy law compliance if records are past your legal retention period.
