Contact List - View contact group and last activity date
In Xero, under All contacts, would be great if we & please add had more columns or choices to add certain column of attributes of the contact showing if they are in a group, and possibly a last action date of last transaction, so that any can be easily Archived, when they haven't been accessed in a long while. Thanks!
Thanks so much for supporting this idea and helping keep the conversation going! đŸ™Œ
This is now open for votes and comments. If you’ve faced this while managing your contacts, we’d love to hear about your workflow. How would seeing a contact’s group and last-used or last-transaction date help you spot inactive contacts or decide which ones to archive? Any examples or additional thoughts are welcome. Your votes and comments help us gauge community interest and better understand what would make the biggest difference for customers.

Happy to hear this is gaining support! It is very challenging to archive contacts and keep the books tight. A "Last Activity Date" column would be a valuable enhancement for maintaining clean accounting records. Contacts created by multiple users can lead to duplicates, naming inconsistencies, and generic entries such as "Deposit" or "Unknown" that are not legitimate customers or vendors.
Being able to sort and filter contacts by their last transaction activity would greatly improve contact maintenance, reduce administrative time, improve data integrity, and strengthen internal controls. For accountants and bookkeepers managing many clients, this feature would help identify outdated contacts for archiving while also making it easier to spot unusual activity that may warrant additional review.

Suggestion: Display "Last Used" Date on the Contacts List
I would like to suggest adding a "Last Used" (or "Last Transaction Date") column to the Contacts list.
Currently, if I want to archive old or inactive contacts, I have to open each individual contact to determine when it was last used. This is extremely time-consuming when managing a large number of contacts.
It would be much more efficient if the Contacts list displayed the date the contact was last used in a transaction (for example, an invoice, bill, credit note or payment). Users could then sort or filter by this date, select multiple inactive contacts, and use the existing Bulk Archive function.
A workflow similar to Gmail would work well:
Display a Last Used date on the Contacts list.
Allow users to sort or filter by the date.
Tick multiple contacts that have not been used since a selected date.
Archive all selected contacts in one action. This enhancement would make contact maintenance significantly faster and help businesses keep their contact lists accurate and up to date without having to open every contact individually.

Hello, I posted here a while back looking for testers, quick update: it's live now! It's a paid app (being upfront about that), but the free trial covers this if it helps: bulkcontactmanager.com. Thanks to everyone who tested with us.

Hi all,
I had 50k contacts in Xero which I needed to archive & sort into Contact groups... Since this was almost impossible to do in Xero, I teamed up with a developer to build a fix ourselves. Our webapp syncs your Xero organization into a single table where Contact Groups and Last Transaction dates are clearly visible and fully filterable. We originally built it to handle bulk archiving and data anonymization based on inactivity, but it works great for general database cleanup too. We are looking for a small group of beta testers to help us pass the final Xero App Store checks. Email me at support@bulkcontactmanager.com if you want to test it. -

100% add an extra column in the All Contacts view to show which group a contact is assigned to. Would be extremely useful
Also maybe a "non-group" list too, just in case you've created a contact without assigning a group.

REFRESH the last comment that... I totally agree with Ms. Trimble...
"Add column in contact list showing date of last transactions or create a bulk delete function for current contacts that have no activity before a certain period of time. Ridiculous to have to open each contact to see how "Current" they are, then archive them.
Currently have 3500 contacts to check who is not current and archive.
Also the ability to DELETE contacts that have no transactions, we had a lot of contacts imported originally (9 YEARS AGO) who have had NO TRANSACTIONS and archiving seems to be a waste of data space" -

I agree Andrew! It's very easy to miss contacts that belong into specific groups and hard to figure out which ones I haven't grouped yet. Who is in what group if you are in ALL Contacts, should be a label field in ALL, so you know the customer is actually in a group.

Under "ALL" in contacts, include a column which shows what group each contact is in. If I create a new contact name while reconciling transactions, the name just goes into ALL. I then have to go into ALL, try to remember which one/how many I recently added then move them into a group. Very easy to miss contacts that belong into specific groups and hard to figure out which ones I havent grouped yet.
