  1. Ability to turn off email notifications for submitted expenses to Xero admins. Only started receiving email relating to submitted expenses as of 10th July 2025 but have been told by Xero support that it is an integral part of expense management and can’t be switched off. Have used Xero and expenses since 2019 and have never received an email relating to an expense submission. Am more than happy to continue receiving notifications of submissions via Xero Me mobile app but do not want or require email notifications.

    Hi everyone, we appreciate your feedback, and have been monitoring this change closely.

    We appreciate the differing needs of our customers our product team have temporarily removed the notification changes mentioned in my previous update - This means this'll reduce the amount of email notification you're receiving from expenses.

    We're looking into enabling more controls for expense notifications and I'll come back to share any further news around this with you here.

    Hi there, as part of our ongoing review process, we’re in the process of updating our idea statuses to better track Xero Product Ideas.

    We’ve taken another look at this idea. Whilst we can see the value for payroll administrators to be able to view the payslip in PDF from within the Employee’s record, this update doesn’t currently fit into our product team’s road map. We’ll move this idea to a status of Accepted and will continue to review this in future planning.

  3. Require an SGC statement report ( a combination of Employee remuneration + payroll activity summary report) that includes all details required about the employee and super accrued on OTE + Overtime hours worked. This would enable efficient reporting to the ATO when super payments are late.

  4. Suggest the ability to apply work patterns to part time employees. For example, we have a part time employee who works 7 hours on Mon, 6 hours on Tues and 6 hours on Wed.
    At the moment, if a Public Holiday falls on a Monday, it does not correctly work out hours worked.
    The same happens if Annual Leave is taken; incorrect hours are calculated which affects AL accruals.
    Hours worked have to be calculated and added manually.

    Hey everyone 👋 Thanks so much for all the detailed feedback on applying work patterns for part-time employees. We’ve been following the conversation and understand that manually adjusting pay runs for pro-rata entitlements can be a real challenge. It’s clear that having this automated could save time and give you greater peace of mind.

    I’m pleased to let you know our product team has reviewed this idea and we’re updating the status to ‘Accepted’. This means that while it’s not on our immediate roadmap, it’s something we see real value in and want to bring into Xero when we can prioritise the work.

    In the meantime, the workarounds shared here, like manually adjusting hours in each pay run, remain the best approach. We really appreciate you taking the time to share your thoughts, as your feedback plays a crucial role in shaping Xero. We’ll keep you updated on any developments…

  5. Ability to draft future payruns - ie more than 1 darft payrun. Especially at Christmas time. I would like to draft up future payruns before Igo on leave, but still have the ability to adjust this week payrun for overtime etc. At the moment I can't move forward until I complete current payrun. or i have to do un unscheduled payrun to fix it. Very time consuming

    Hi team, we want to be upfront that we don't have immediate plans for enabling the ability to create multiple draft pay runs in NZ Payroll.

    If this is something you'd like to see developed for NZ Payroll please add your vote here and we will continue to get a sense of the overall interest from community, and can share if there are any plans made.

  6. Xero has discontinued to display tracking category in the employee list - This means I now need to run a report to receive this information which will make processing pays longer so it's no longer a smooth process. I would like to see a return for this feature. Thank you.

  7. Pay rates rounding by 4 decimal points causing an underpayment of wages. EG: Base rate is 25.65 x 1.5 = 38.475000 but the award rate is actually 38.48. Need a solution for this ASAP. Also change decimal place settings for pay slip and pay template items such as superannuation.

  9. Timesheet approval process

    1. Give payroll admins the ability to move the status from "draft" to "pending approval" as is possible in NZ and UK or
    2. Give permissions to users with approval power to see the timesheet in the "draft" status through "Xero me" or
    3. Permit users with approval power to see the "timesheet" module in addition to "Xero me"

  10. Could you please consider adding the feature of adding and processing auto superannuation payments from each finalised payrun (eg button next to "File" that would prefil the contributions in the payrun and further to authorisation). A number of clients are asking for a payday super feature, and adding this feature directly from the payrun will minimise the number of "clicks" and processing time. This also would be a hot topic if moving to compulsory payday super.

  11. Employment Information > Contract Details. I inadvertently ticked the wrong box for one of our Directors and it won't let me amend. You can amend pretty much most things in Xero but not this, and while it doesn't have any impact on the Director's status or pay, it is annoying that I can't amend or delete. It would be good to have this function in place. Or, just don't have it in place for Directors.

    Thank you for your engagement and sharing through product ideas, everyone. While we appreciate wanting more flexibility and detail in payroll reports, with payroll development quite separated for each region, and to help our product teams best understand the data that would be most useful for our customers we're going to close this idea and recommend starting ideas for the specific fields that would be helpful in reports and why you'd find this useful.

  13. It is impossible to us the credit card bankfeed function and allow for the credit card user to account for these expenses in Xero Me.
    Solution: allow for credit card transactions to pull through into Xero Me via automatic sychronisation. This should provide a more streamline approach to recordinng individual company card expenditure, remove time in reconciling missing receipts and remove duplication.

    Hi everyone, we wanted to provide a quick update on the idea to enable reconciliation of credit card expenses directly within Xero Me.

    This idea is currently classified as Gaining Support and has started to gain traction within the community. We appreciate those who have shared their interest and feedback so far.

  14. Currently, employees cannot add allowances to their timesheet if they are setup as fixed amounts (i.e - nightshift allowance where an employee works at night)

    An employee should have the capability of adding the allowances they are entitled to where appropriate. The approver would then review before approving.

    Hi team, we appreciate our customers that have been using our Global Pay Run feature, however we cannot extend use of Global Pay Run past 23 July 2025.

    To make sure you have access to your pay run data after the product is removed from Xero on 28 April 2026 we must have enough time to archive and store it.

    We’ve been offering Pay Run to our Global Edition customers since 2011 to provide basic payroll functionality. However, over the years, we’ve focused our efforts on making solutions available which offer enhanced features and a deeper integration with the Xero platform, such as Xero payroll in AU, UK and NZ and other solutions available in the Xero App Store. These solutions allow you to complete your payroll and accounting all in one place.   16. When running reports to review Staff costs & looking into account transactions, Payroll journals provide descriptions that don't give correct/clear context. For example, under Employers Pension Contributions, the description provided is "Benefits" rather than Employers Pension Contributions. Or under Employment Costs it just says Earnings rather than "Gross Earnings". A final example was when an employee took unpaid leave, however the only description provided was "Deductions". This does not reflect clear context. It would be helpful if Xero had the means to be able to customise these descriptions or maybe have the option to ask Payroll/Reports to mirror the descriptions…

We understand that you've been using workarounds like exporting reports to Excel and manually editing them to get the detail you need. While this can help in the short term, we recognize it is a time-consuming process that shouldn't be necessary.We've shared your valuable feedback with our product team.   17. If an employee does overtime which is TOIL, Xero should automatically pull this across into the leave allowances for the employee so that it can be taken. Currently you have to manually post everything which is time consuming.

  19. The problem:
    Xero Payroll does not currently allow reporting by Tracking Categories (e.g. by location, cost centre, or department). While Tracking can be applied to invoices and expenses, payroll reports (Pay Runs, Pay History, Payroll Activity, etc.) cannot be grouped or filtered in the same way.
    For businesses with multiple locations under a single entity, this means payroll costs cannot be easily allocated to the correct branch. At present, the only workaround is to export payroll reports to Excel and manually tag employees, or rely on journal postings into the P&L.

  20. When you change an employees address on xero, it changes the address on all previous payslips to the new address it should be the address the employee was living at when the payslip was sent
