  1. It would be useful to be able to pay invoices in bulk through a designated accounts (which is not a bank account) in the event for example of invoice financing.

Currently we need to go in each invoice and enter the payment details if this is not going through the bank account.

The approach could be similar to the batch payment on the "Bills to pay" side.

  2. Resend a "Repeating Invoice"
A repeating invoice contained an error, which we have already corrected, but I don't see any way/opc to resend the email with the corrected rep invoice.

What worked for me was switching to classic mode, where I was able to modify and resend that invoice.

I think it's important that you add those options to your new look before you change it, because they are necessary in my opinion.

Hi Chris, you can resend an invoice that has been created from a repeating template by opening the invoice in the Awaiting Payment tab and clicking the 3 dots in the top right above the invoice where you'll see an option to Email.

  3. If I want to see all invoices for a customer, I have to go to invoices and filter in various ways to get the results I want. This seems counterintuitive. I would expect to go to the customer under contacts and be able to see all information relevant to that customer including invoices.

Hi Nicola, you can see all invoices for a customer from the Activity tab of their Contact record. There are options to either view all, or just Invoices or Bills. From the tab it's also possible to filter the invoices by Status or other options.

  4. Invoice and bill due dates to default to issue date.

As above. Basically when you enter the initial date of an invoice or a bill, the due date defaults to the date you have entered. This will save additional data entry if your dates are the same.

In the case of a franchise where Remits are sent via a supporting booking software, the invoice/bill due date is always the same as the issue date.

Please default the due date to the invoice date once selected. but still obviously give the option to change the due date to a user specified…

Hi Adam, there are a couple of options here including the suggestion that Geoff's provided. 🙂

Right now, within Invoice Settings you can set a default for the Due Date, this could be based on the invoice issue date if you choose.

It's also possible to set a due date for an individual contact within their contact record.

  5. It would be beneficial to be able to edit transactions via Xero Expenses.

I find if a client has approved something to the wrong code you have to remove the whole transaction and redo it. In Xero normally you can Edit a transaction.
I have checked with Xero and that is the only current resolution.

Xero is usually so user friendly but this way is time consuming and slow. Thanks

Hi Antony, when processing expenses on the Xero Me app there is the option to edit an expense that has been submitted on both iOS and Android.

On iOS this is available from the Options menu, and on Android you'll want to tap the 3 dots in the top right of the claim. 😊

  6. I would like to request the Xero add the feature to be able to approve and send customer invoices even when they have reached there credit limit in the new invoicing. Currently this feature is available in the classic invoicing of Xero. Xero are forcing everyone to move to the new invoicing from September 2024.
We use an external software for our customer invoicing and then import these into xero the following day after the sale has occurred and email the invoices to the customer. Moving to new invoicing currently means that for any customer that is over the credit…

  7. When paying a supplier bill, there should be a back button to get back to the same supplier to continue paying more of that suppliers outstanding bills due for payment once a payment has been made. Currently once you have paid a single bill for a supplier, you have to go back to the bills page and search for another bill or search for the supplier again, it takes twice as long as it should and makes more room for error (our company like many others i would guess need to check each bill against the products we ordered with…

Hi team, appreciate the interest and sharing your idea in the forums here. We recently released enhancements to the Bills quick view (eye icon) from the list of bills. You'll find you can now edit and make payments on bills from the quick view without having to leave your list of bills. Meaning you can jump from one bill to the next with ease!

  8. It would be fantastic to have the ability to add a web link or QR code to a Googe review page or other external link (website, facebook etc).
When an invoice or receipt of payment is sent it would be great to follow this up asking for client to give feedback on service provided or to have them follow along on social media etc.

  9. Feedback on the Updated Email Invoice Template: Prioritising Client Experience Over Financial Details

As a business owner wholly committed to providing exceptional customer service, I've encountered significant issues with the new email invoice template that I believe warrant urgent attention from the Product Team.

    1. Focus on Experience, Not Payments: Our aim is to immerse our clients in a seamless service experience. By prominently featuring payment details in the email, it inadvertently shifts the client's focus from the quality of service to financial transactions. Clients should have the option to review detailed financials at their discretion by accessing the invoice themselves.

Hi team, the option to add a % discount to line items of an invoice is available via the Xero Accounting app, on both Android and iOS devices. You'll find this from the menu in the top left (3 dots for Android, and 'Options' on iOS). 😊

  11. It would be great to have an invoice template default set up per Customer in their Contact settings.

  12. Why does the Project record not cross-reference the invoice number when the project is invoiced?
And why do they not have dates that they were created or invoices?

Just rounding back, we'll shift this idea to delivered. For anyone coming across the idea here - Currently within a Project you can click on the Quotes & invoices tab to view Invoices that have been raised with the Project assigned and this will also show the Invoice and Due dates. 😊

  13. In the Bills approved and awaiting to be paid - it would be good to have a field for notes. There may be a reason why the bill is being held or delayed and a note section here for additional information would make it easier for all involved to understand why a bill might be delayed from the current payment run.

Hi Nerida, there is already a feature where you can add notes to bills.

If you scroll to the bottom of the bill you'll find Add Note, which opens a text entry field for you to enter and save your note.

It'll only be visible on that bill. Alternatively if the hold is for the contact, you could look to use the Notes field in the details of the Contact record. When you Edit the contact you'll be able to add notes that can be seen to the left of the contact record screen once saved. 😊

  14. I really don't want the details of the invoice to be in the body of the email. It looks ridiculous and some of it could be private. Please change it back or tell me how to change it. I really hate it in it's current format.

Hi Teresa, this is actually possible already.

From the Email Settings you can select the Sales invoice template and you'l just want to deselect the 'Include action to online invoice and detail summary' then Save.

I do want to note, this does strip back the email formatting so you might like to send yourself a copy to see what this then looks like once the option has been disabled. Thanks

Hi Amy, although discount column may not be visible when you first use new invoicing, you can use the Show/hide fields option to choose which fields and columns are displayed - including Discount, and Save your preferences.

Next time you create an invoice for a customer using new invoicing you'll see your field preferences from the last invoice should be in the new one.

  16. Would be useful to be able to make quote templates for our common products to save time quoting, so you can just add in the customer and send.

  17. With the old invoice format—when you edit the invoice issue date, the due date doesn't change. When you edit the issue date with the NEW invoice format, the due date automatically changes. Not sure about others, but I don't want it to do that. I'll often issue an invoice in the first couple of days of the month but then immediately backdate it to the end of the previous month. I don't want the customer's due date to change. I change the due date back, manually, but again—it's more clicks.

Changing the issue date (and undoing the change to the…

Thanks for the feedback on the behaviour of the dues date, community. Our product team have implemented a change to this as of today, so now if you update the issue date after you've set a specific due date, it will not automatically update the due date when you make issue date changes.

We appreciate our customers have different expectations of the behaviour between issue and due dates in new invoicing - Along with other changes we're developing for the due date picker, we'll soon release the option to 'Reset to default due date' which will let you intentionally update the due date based on your invoice's contact's default due date (if set) or your organisations default due date, just by clicking this option.

  18. Add the capability to zoom in submitted receipts. As an approver of claims it is very hard to read the receipts without being able to zoom in or enlarge on certain parts of submitted receipts. This was available in the old “expenses” app which will no longer be in use at the end of February

  19. I want to start using the W9 Management tool going forward. I have a number of Suppliers that I received the paper pdf of the W9 and I have populated the 1099 info manually and attached the W9pdf to files. However, in order to use the new tool effectively, for those that I already have the details for, I would like to manually amend the W9-Status to received, so only new suppliers are highlighted as not received and I can send the link out for completion. Not being able to change the flag to received for historical clients actually makes…

Hi community, our product team have been doing some work in this space and we're pleased to share that as of today you can now manually mark a W-9 as being received from the W-9 Management page 🎉

This helps you edit the status where you have received W-9 forms through another source, such as PDF.

  20. The ability to search bills and filter specifically for a credit notes would be helpful.
Also, if a credit note has been used the total is $0 - it would be helpful if the total was still shown as paid.
