  1. Bulk update account for multiple line entries to allow for easier reanalysis of multiple line items within the software.

    Include a feature to make it easier to change the account for multiple line entries at once through the supplier side to make it easier when bookkeeping to reanalyse multiple line items, rather than editing them one by one if they get reanalysed within the accounts.

    Hi Adam, we have a feature called Find and recode that will enable you to bulk update the account code for multiple lines at once. You could filter by the contact and then recode whatever lines of transactions as needed.

    I'd recommend giving this a try in the demo co first and potentially working with your accountant before implementing this in your organisation. Have more of a read on this here.

  3. The client has been using Hubdoc for uploading the bills into Xero. How can we record the part payment for the bill during the reconciliation in Xero please?
    In general, we use "Split" to record the part payment but we are unable to see the split on Hubdoc bill

    Hi Just a heads-up that this is a public forum for discussing improvements to Xero, rather than finding support with using Xero. 


    To do this you could:  

    1. View the bill and scroll to the bottom to the 'Make a payment' section. 
    2. Record the part payment here, directly on the bill. 
    3. Finally, use Find & Match to reconcile the bank statement line with the part payment.


    If you need any further assistance with this, or anything else in Xero, please raise a case with some details on Xero Central, and our Support team will be happy to help. 

  4. There is a need to manually edit the amount of GST paid instead of using Xero's calculation. For example, for credit card merchant fees, merchants calculate GST based on individual transactions and sum up the total GST payable, add onto the merchant fees for the total amount payable. As Xero calculate GST based on the total amount, there is a difference in the GST payable. Other accounting systems allows you to adjust, and it will automatically adjust the total amount. Without this feature, we have to use either rounding (for below 0.10c) or add a new line item. The problem…

    Hi 👋 Xero calculates the GST on each line item in invoices, bills and other transactions. The GST is then rounded to the nearest cent. The total GST is the sum of these amounts.

    We don't offer alternative rounding methods but if you have the global or Singapore versions of Xero you can enter a tax adjustment if you want to.

    Simply,

    1. Select the Tax Exclusive option in the Amounts are field.
    2. Edit the amount shown in the Tax Amount box - if this box isn't showing, click the + symbol next to the Tax Rate heading

    Hi team, you could use the Account Transactions Report here. When you run this report, select the bank account, then sort the results by the relevant amount column, this will group any items for the same amount together.

    Taking on board feedback, and considering some of the changes we've made across reporting recently we wanted to highlight the General Ledger Summary report that can be set up to meet your needs here. 🙂

    You can set up the new General Ledger Summary report to run for a 'Month' date range, and select to include Opening and Closing balances.

    With this run, Debit and Credit columns will only show the movement within the period, while the closing balance will be the YTD figure for the account (showing as positive or negative).

    If you find this handy, you can save it as a Custom report rather than having to set up the layout each time you'd like to run the report.

  7. Filter Compare Tracking Report by second tracking category - run the compare P&L report with the P&L down the left and the categories across the columns but then be able to filter the transactions within this report by the second tracking category.

    Hot anticipation for this idea - We're pleased to share that this change is going live! (If you don't quite have it yet it'll be with you in the next 2 days) 

    If you use Tracking in your org we've added a new 'Compare tracking categories' option on the front page of the newer Profit & Loss.

    While the older version had a limitation of selecting 100 options at a time, the team have doubled this, so now you can select up to 200 tracking categories to view at once.

    In terms of activity 

    • Archived tracking options won't be shown by default but there is a switch to view and select these if you choose.
    • When run, the report is designed to only show columns for tracking options that have had activity within the date range the reports run which should help you zone-in, and get a better view of…
  8. It would be really helpful when in the Transactions by Tax Rate or Transactions by BAS Field tabs in the Activity Statement if you could collapse by the Tax Types. It is currently very cumbersome navigating these screens for businesses with high volumes of transactions. If you want to view the GST Free Expenses, you will have to scroll through hundreds of transactions and hope that you find the GST Free Expense heading in amongst all of them. The current work around is to export to Excel and manage the data that way, which isn't always ideal.

    Hi Amy, I'm pleased to say that we've recently introduced this feature, making several improvements to the GST transactions report:


    • The 'Transactions by Tax Rate' and 'Transactions by BAS Field' tabs have been combined into a single view, now accessible through a 'By Tax Rate vs By BAS Field' filter.
    • Users can now filter transactions by specific BAS fields, tax rates, or both, a feature that is particularly beneficial for organisations with a large volume of transactions.
    • A wider view has been introduced for better visibility
    • We've also added a sticky top header for easier navigation.

    Hey community! Thanks to everyone who added their votes and comments to this idea, and took the time to respond to our survey earlier in the year.

    Based on this community's feedback, we've gone ahead and implemented Option A: Unmerge all cells today. 

    Now when you export to an excel file, you'll find that there are no merged cells.

    Heads up! As a result of this change, if your business has an especially long legal name (more than 60 characters), you may need to manually merge and wrap cells for better printability 🖨️ 

  10. I have discovered that the invoices as they appear in the Preview button of an invoice only gives a preview of how the online invoice will display. This is therefore different from the PDF version of the invoice when it is downloaded as a PDF or sent to my clients. The PDF version looks a lot messier and looks far less professional.     Hi everyone, recently we made a change to the Preview option in new invoicing. Now, when you select to 'Preview' in new invoicing this'll open a new browser tab with a view of the PDF of the invoice. This means you can also see how your invoice will look to the customer with a docx / advanced branding theme applied.

    Our team are also doing more to look into how preview works and how your invoices look. We'll update again if there's more development to share. 

  11. There is an issue with the new GUI for invoices in xero. My work flow requires making multiplke repeating invoices from a standard invoice. At present this can be done by creating a draft, and then converting the draft invoice to a repeating invoice. The draft stays put in the drafts folder and can be converted into a new repeating invoice. Once I have set up all the repeating invoices I require, I can delete the draft.
    The option to create repeating invoices from drafts in the new GUI has been removed. Where is it?

    You'll find this option from the 3 dot menu within a draft invoice. Thanks for your input through this idea.

  12. In the old P&L reports there was an option to compare jobs(tracking options) for a selected period. There was an option to filter the exact period (eg 1 month or 6 months) and it also displayed the line items relevant to the job for that month (eg individual COGS lines) It was used to compare Job COGS to a Project Management program used by the business.The new P&L has very limited features particularly relating to filtering.   15. The Reconciliation Report pack is a critical part of our working papers and gives us multiple reports in one pack with one click. This report is being retired in July with no replacement in sight. Creating our own seems like a step backwards and from what I understand about creating report packs (which admittedly is not great), it will be difficult to add multiple bank account rec reports to a customised pack, not to mention that each business has a different number of bank accounts.     As you might've seen on this similar idea, we've rolled out a new Bank Reconciliation report pack. As part of this release, the Reconciliation Report will automatically add a Bank Reconciliation Summary for each bank account, fulfilling this request 🎉

    Hi June, we've made a recent improvement for Activity Statements to surface the payment due date for any lodged statements. You'll find this from the list of Activity statements within the Completed section, and when you open a Statement you'll see the payment dude date shown at the top of the statement along with payment options to help simplify the process. 😊

  17. The new P&L report should allow a common format to compare all jobs automatically regardless of the number of options in a tracking category. Understand this is capped at 100 options. The old P&L report allowed this.

    We've now updated the report and if using Tracking in your organisation you'll now see a new field in the new Profit & Loss for 'Compare tracking categories' from which you can select up to 200 options across your categories!

    If you have needs beyond the 200 limitation, one way to set this up would be to save multiple custom reports which would enable you to switch between views quickly from the left side panel. 

  18. User role- Limit invoice access to seeing and working on only user's own invoices. So as to enable different user to work on their own invoices without having access to other user invoices. Only manager should have access to all members of his team .

    Hi team, coming back across this idea I wanted to confirm that this is how the Invoice Only - Drafts role currently works - Someone with this role will be able to create and submit bills and invoices they enter to be approved by someone else with the right permissions in the org.

    They will only have access to view invoices and bills that they have entered themselves, and will not be able to view bills or invoices raised by others in the organisation.

    Danny, it sounds like you're referring to the Invoice Only - Purchase role which will enable a user to raise and approve bills they have entered. The user is not able to access Sales, but they'll be able to view any bills or purchase orders that have been raised by any user in the organisation. We have a somewhat similar idea for a tick box option…

  19. Invoice - Be able to have Xero automatically create a credit note if an invoice is negative. Show the invoice as paid in full and generate a credit note for the remainder. The credit can then be applied normally to other invoices on the customer account.

    Hi Darren, returning to your idea here we have released a change within new invoicing that'll suggest and enable you to create an Overpayment for any amount that exceeds the total of the invoice. Saving you the time of having to create this transaction separately. See more in my update on this idea. 🙂

  20. Xero to create a function that allows you to see a total of Direct Bill Payment charges through a specified time period (similar to running a report on a specific account type). It is a direct cost and therefore it should be very simple to obtain the information. At the moment there is no real visualization, you can only obtain the information by multiplying the amount of payments made in a certain period by £0.24.     Hey Theresa, thank you for raising this suggestion. Whilst there isn't a report dedicated to showing the Direct Bill payment fees, you can use the Account Transactions report to see the fees for a specified time period.

    The payment fees are recorded as spend money transactions to the 'Payment Fee' account. Running the Account Transactions report on this account will show you the fees paid.
