Hi everyone, coming back across this idea we do want to confirm at present for Sales you have Invoice numbers that do need to be unique in Xero. You could ask you customer to reference this as a look up. If you'd like to change this, you can set the Prefix and starting number from within your invoice settings and you'll find you also have options to set this for Quotes and Purchase Orders - More on this here
The 'Reference' field of a transaction is slightly different and does not need to be unique, many businesses use this in slightly different ways and I want to be open that we don't have plans for changing this behaviour anytime soon.
Appreciate there are some that would like to see a numbering sequence for bills and I'd recommend adding support to this idea where this is represented.
Alternatively, in terms of recording any transaction there is a journal number that will be associated to every line recorded in your org - while this isn't widely seen it can be used as another way to look up items within the Journal report. We released a new version of this report not long ago where you can search by Journal ID and many other details of your transaction.

Further to Mr Howarth's request in May2022 under the title 'Reporting - Include journal ID', I would like to request one additional step to be added.
Creating mapping against Xero transactional data is very testing as it is impossible to create a fixed unique reference for each line. To narrow things down, you would have to use JournalID but then need to concatenate with other fields to differentiate between the lines within a single journal. eg. description, dates, amounts or a combination of other fields. However, these joined fields can be edited! There is no way I can currently see that allows us to create a reliable static and unique reference for individual transaction lines.
Different accounting systems I have previously used have provided 'Batch' or 'JournalID' along with a Journal line entry number. eg. a journal with 4 lines would be referenced 12345/1, 12345/2, 12345/3 and 12345/4. These numbers would remain the same even if any of the details in the 4 lines (description, code, amount, etc..) were amended.
There is a Journal report but I was advised by a Xero specialist, the ordering of the transactions within each journal in this report can change so cannot be used to create a journal line entry number and there is no way to create a Journal Line entry number.
I would have thought that this line entry or some other unique identifier already exists within Xero's architecture and I think it would be very useful if it was made available next to any report with JournalID. Hopefully others will agree.
