Hi Cody, thanks for sharing such detailed feedback on progressive billing for fixed-price tasks. It’s really helpful to hear how this could support projects that run across multiple stages.

We’ve reviewed your idea and moved it to Gaining support, so it’s now open for votes and comments from the wider community. If others have similar experiences with fixed-price project billing, we’d love for them to add their voice — it helps show how broad the need is and gives the product team clearer context.

Thanks again for raising this, and we’ll keep you posted on any progress.

    Problem
There is currently no way to mark a task as Completed in Xero Projects. Tasks stay permanently open, which means staff can continue adding time even after the work is finished. For businesses like ours, where jobs can span multiple years, this becomes a major issue — we cannot reliably tell which tasks are complete versus still in progress.

    Impact
Because tasks can never be formally closed, long-term project reporting becomes unreliable.
We can’t accurately measure progress, profitability, or WIP because tasks that were finished months (or years) ago still appear “open”. A single late time entry can distort costing.
This also affects our external reporting: the Project Time & Expenses report does not include any clear task completion status, which makes it impossible to build reliable Power BI reports or other long-term analysis.

    Outcome needed

    1. Add an option to mark a task as Complete/Closed, which prevents further time entries.

    2. Include the task’s completion status in the Project Time & Expenses report, so that the exported data can be used effectively in Power BI or other reporting tools.

This would give clear progress markers, protect data integrity, and make long-term reporting possible.

    Why it matters
Without a task completion state — and without that status included in the Project Time & Expenses export — Xero Projects isn’t practical for organisations managing long-running jobs. We need a reliable way to confirm when a task is done and to have that reflected in reporting and external analysis tools

Thanks for your detailed feature request to introduce task categories and sub-tasks in Xero Projects.

We’ve reviewed your submission and have now moved it to the Gaining Support stage.

This means the idea is live on the forum for other members of the Xero community to add their votes and comments. Our team keeps an eye on the ideas in this stage and uses the number of votes and the shared use cases to gauge demand for new features.

Thanks again for taking the time to share your feedback and help us improve Xero.

Hi everyone, thank you for sharing how the current tracking limits impact your reporting and tracking of different aspects of your business and processes. We know this is an important capability.

We’re exploring how we might tackle the needs in this idea and enhance Tracking Categories for the future.

While we can't commit to developments at this stage, we want you to know we hear the support and feedback from our community on this.

We’ll provide another update as the direction for this feature becomes clearer.
