  1. Purchase orders - assign to projects. It would be great if purchase orders or each line item from a purchase order can be assigned to a project. This can then translate to the assigned bill when the relevant supplier submits their invoice for payment. It make sense that the PO amounts are captured in project reporting. At the moment, adding a estimated expense is a secondary process that leaves room for clerical errors.

  2. Open your API to Dext so projects can be assigned to bills within Dext. The current situation whereby you can upload the bill from Dext but then need to go into Xero, locate the bill and assign it to a project, is simply unacceptable. I am using other accounts software for clients and I can assign projects within Dext without having the unecessary step of having to do so within the software.

  3. Allow for xero reports to be filtered by projects.

    For example, I would like to use the "Account Transactions" Report to show all of a certain account code in a month, and then have the option to filter by project.

  4. Project Timer - Please remember the task!
    It would be great if the timer remembered the project and task I chose after starting the timer. I always choose the project and task, but when I come back to the app hours later to stop the timer, the timer is still running but it has forgotten the project and task I chose. So frustrating!
    I used to use Toggl timer which always remembered what it was timing. Can this be changed? Cheers!

  5. We recently tested the different user access options and every single one of them can add new tracking category's (obviously excluding read only).
    1. We need to be able to limit who can add category's
    2. There is no way to see who has added a category and when in the history reports or notes

    When running reports the system only allows 200 categorys but realistically cannot have more than 100 to 150 without crashing
    1. when choosing the categories for a report you have to manually tick each box (so between 0 to 200 boxes ticked manually) which is…

  6. Microsoft Teams integration for simple Xero Projects time entry

    Idea:
    I’d like the ability to log time directly from Microsoft Teams without needing to open Xero.
    Specifically, I want to:

    Open a Xero Projects tab (or app) within Teams
    Select a project and task
    Enter time worked (simple fields)
    Save and immediately continue working

    This would make time tracking quick and seamless as part of the normal workday, especially for teams already working in Teams. It would reduce friction. I currently need to login to xero on phone or pc, do a one time passcode, navigate from projects to time…

      Add an Excel-style budgeting tool to track project goals versus actual spending. Include a side-by-side view to compare vendor quotes and manage project-based hiring costs.

    2. Smart Tagging System:
      Implement a tagging system for all files (e.g., tagging a file as "Contract" and linking it to a "Project"). This will eliminate manual file sorting and allow us to quickly locate documents for specific projects.

  7. Timesheets - In the old timesheet menu we were able to select which payroll the timesheets related to so I could ensure all timesheets have been completed and see who had not even created a timesheet yet. I have been unable to do this in the new experience. Is this something that will be brought in the filter option please.

  8. Now that you have projects as well fleshed out feature. Ability to view all projects in a calendar format would be unreal.

    This way my team and I can visualise at a glance in the Projects app where we should be on what date.

    Based on access level will then give you ability to "Edit" the project. Select the project in the calendar then press the plus button (Same action if you have opened a project like normal) then do all the actions, or even just a subset for quick updates.

  9. Please allow % markup on Estimated Expense to apply to all expenses in that Estimate. It's is timeconsuming and cumbersome to have to go into each individual expense and assign the % markup

  10. Currently for businesses there is a restriction to report 10 categories for landlords. I have landlords with more than 10 properties and who want to report by property but the MTD submission won't allow more than 10.
    Please can this be increased for landlords with a large property portfolio

  11. Can we have the ability to move task line to a different space...eg if i want to reorder the way job stages come in to the project. Sometimes if they get added in later than how they come across from our other program we want the ability to move that task line up to the top.

  12. Hi

    So with Pastel you could insert the minimum quantities into the system and when you book out products when you invoice a client the system would have a automatic pop up informing you that your product qty is below the minimum order qty you have set. Please can you bring in this function. It is very time consuming for us to have to export sheets of data and to review all the products from Xero exported sheet to my excel sheets.

  14. It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

  15. We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.

  16. Projects - Make the entire Projects experience better. Today is May 17th 2024, there are currently 300+ ideas, suggestions, and requests here related to Projects, few of which have even been responded to by Xero. It seems clear that Projects is the red-headed step-child of the Xero platform, always the last to the table when the development team starts talking about updates.

    For those of us who run project-based businesses, the features requested on these pages are CRITICAL to our ability to understand how our business is doing. I'm calling on Xero to put more energy into building out Projects…

  17. I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.

    After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.

    Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong project.

    Appreciate the detail in your idea here, Lynette. While we don't have immediate work planned for this , it'll be good to get a sense of the interest from others in the community and if there's any change planned we'll let you know through the idea here.

  18. To display the potential project margin % and variance from expected invoice and costs as baseline to compare with actual performance. OR allow the project report to be customised to add calculated fields. So staff can instantly see the potential of the project, and look to adjust if necessary before sending to quote or invoice.

  19. Can we please add the ability to set up a sub-category under category options?

    For instance, we have already tracking categories by store locations (i.e. Loc 1, Loc 2, Loc 3). However, we need to have a sub-category per Deputy's area (i.e. FOH, BOH) under the store locations.

    Category option: Loc 1 (Store Location)
    Sub-category option: FOH, BOH (Area)

    If we could set up a sub-category under tracking options, that would be great. Thank you!
