  1. Feature suggestion: Draft invoices should not appear as “Invoiced” in Xero Projects until approved

    In Xero Projects, invoice line items assigned to a project currently appear as “Invoiced” even when the invoice is still in draft status.

    This creates a major reporting issue for construction businesses and any business that uses staged billing, contract milestones, progress claims, or forward-planned invoicing.

    For staged construction contracts, we often need to prepare draft invoices in advance for agreed contract stages, such as deposit, slab, frame, lock-up, fixing, practical completion, or variations. Drafting these invoices ahead of time is part of good project administration.

  2. We have an individual staff cost rate and individual staff billable/charge out rate.
    Staff work on the same task's in a project.
    The hourly rate on a task only allows one entry so does not capture the individual staff billable/charge out rate
    I would like to enter an individual staff cost rate and an individual staff billable/charge out rate.

  3. I understand you'd like to view your in progress projects sorted by project name rather than by contact, especially since you have multiple projects for the same client.

    Unfortunately, there isn't a setting in Xero Projects that allows you to change how the project list is sorted or displayed. The project list view doesn't currently have customisable columns or sort options like some other areas of Xero (such as purchase orders).

    At the moment, Xero Projects organises projects by status (Draft, In progress, and Closed), but you can't change the primary display field from contact to project name or customise…

  4. When dealing with a large number of closed projects, it would be good to be able to archive those that have been completed earlier on so that the list of closed projects is smaller and easier to navigate.

  6. Creating a quote or an invoice from within Projects should respect the same rules for default tax rate that creating one from scratch does, as set out in this article:
    https://central.xero.com/s/article/How-your-default-tax-rate-and-account-settings-work

    Both quotes and invoices created from Projects ignore the contact "Sales GST" field and revert to the account default.

    If the project uses "product or service" item codes with tax rates set, then quotes correctly respect the item tax rate (but still ignore the contact tax rate). An invoice created from Projects ignores both the item tax rate and the contact tax rate.

  7. When on the Projects homepage, it seems you can only view the financial status of a project by having the project settings "calculate from tasks & estimated expenses". However, when we have fixed price tasks it would be good to show the actual financial status with realtime hours being logged against a project vs the agreed fee. This info is available on the Profitability tab of each project, but it would be nice to see at a glance a snapshot of all projects.

  8. Microsoft Teams integration for simple Xero Projects time entry

    Idea:
    I’d like the ability to log time directly from Microsoft Teams without needing to open Xero.
    Specifically, I want to:

    Open a Xero Projects tab (or app) within Teams
    Select a project and task
    Enter time worked (simple fields)
    Save and immediately continue working

    This would make time tracking quick and seamless as part of the normal workday, especially for teams already working in Teams. It would reduce friction. I currently need to login to xero on phone or pc, do a one time passcode, navigate from projects to time…

      Add an Excel-style budgeting tool to track project goals versus actual spending. Include a side-by-side view to compare vendor quotes and manage project-based hiring costs.

    2. Smart Tagging System:
      Implement a tagging system for all files (e.g., tagging a file as "Contract" and linking it to a "Project"). This will eliminate manual file sorting and allow us to quickly locate documents for specific projects.

  10. It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

  11. We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.

  12. Projects - Make the entire Projects experience better. Today is May 17th 2024, there are currently 300+ ideas, suggestions, and requests here related to Projects, few of which have even been responded to by Xero. It seems clear that Projects is the red-headed step-child of the Xero platform, always the last to the table when the development team starts talking about updates.

    For those of us who run project-based businesses, the features requested on these pages are CRITICAL to our ability to understand how our business is doing. I'm calling on Xero to put more energy into building out Projects…

  13. I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.

    After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.

    Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong project.

    Appreciate the detail in your idea here, Lynette. While we don't have immediate work planned for this , it'll be good to get a sense of the interest from others in the community and if there's any change planned we'll let you know through the idea here.

  14. To display the potential project margin % and variance from expected invoice and costs as baseline to compare with actual performance. OR allow the project report to be customised to add calculated fields. So staff can instantly see the potential of the project, and look to adjust if necessary before sending to quote or invoice.

  15. Can we please add the ability to set up a sub-category under category options?

    For instance, we have already tracking categories by store locations (i.e. Loc 1, Loc 2, Loc 3). However, we need to have a sub-category per Deputy's area (i.e. FOH, BOH) under the store locations.

    Category option: Loc 1 (Store Location)
    Sub-category option: FOH, BOH (Area)

    If we could set up a sub-category under tracking options, that would be great. Thank you!

  16. It is possible to see a list of bills not assigned to a project.

    However, I would like to be able to see a list of all transactions not assigned to a project including spend money and receive money.

  17. Creating projects in Xero is a great and useful function. Creating estimated expenses inside of the projects is even greater. However, those estimated expenses not showing estimated costs to complete the project is a missing crucial feature for me. Currently the estimated costs do not show in projects summary reports unless there are expenses towards that estimated expense item. This is a major flaw because anyone wanting to track estimated expenses needs to know the estimated costs to complete on all projects.

  18. When in Projects - Tasks & Expenses - it would be really handy if the supplier name was included.

    When adding bills, I have to remember to add the supplier name in the bill description before adding the bill info.

  19. Ability to be able to add multiple line items to expense claim bill, like a normal bill, when expense claims are submitted through Xero Me. When a singular cost is associated with multiple jobs, being able to add a second or third line etc to divide this cost within the bill and assign to project accordingly would be far better than having to upload the same expense claim multiple times with different portions of costs allocated.
