  1. Add a button to move an estimated expense to become an actual expense. Would save time having to copy and paste the description. Add ability to amend final cost.

  2. i just want to use one app for everything, a calendar view to see what i have booked in would be very useful. at the moment i don't get the best use out of xero i'm running my business of multiple apps putting a calendar in xero would mean i can run the business directly from the xero platform

    we have quoting, invoicing we have the ability to take payments through the app on-site but i barely do any of that within xero because its lacking a calendar.

    there is no point in having "projects" without a calendar to quickly…

  3. Create a budget feature, to allow users to create a budget for a specific project, and allow users to run that budget alongside the wonderful Xero, it will save time for users, I am currently creating a spreadsheet with the budget, and entering everything separately into Xero, saves double handling.

  4. It would be great to add an "Item" to a project, that would, as a whole include, tasks and expenses.

    For example, Kitchen/cabinet maker, Project is a whole house, I want to add items to the project of say, Kitchen, Laundry, Wardrobe etc.

    and then either it just has a dollar value to it (no tracked time or expenses), or have the ability to add specific expenses and tasks to the item.

    Then when you go to quote, all items are split apart with their expenses and tasks separate from the other items.

  5. Add an option to export accounting data with tracking categories split into separate lines instead of combined in one field.

    This would make exports much easier to use in other software, reduce manual data cleanup, and support clients who need to import Xero data into reporting tools or different accounting systems.

  6. Hi

    So with Pastel you could insert the minimum quantities into the system and when you book out products when you invoice a client the system would have a automatic pop up informing you that your product qty is below the minimum order qty you have set. Please can you bring in this function. It is very time consuming for us to have to export sheets of data and to review all the products from Xero exported sheet to my excel sheets.

  7. Purchase orders - assign to projects. It would be great if purchase orders or each line item from a purchase order can be assigned to a project. This can then translate to the assigned bill when the relevant supplier submits their invoice for payment. It make sense that the PO amounts are captured in project reporting. At the moment, adding a estimated expense is a secondary process that leaves room for clerical errors.

  8. Invoices created by the Projects API show in Xero accounting as "System Generated" therefore the user that created the invoice in projects cannot see the invoice or quote if they have Invoice Only + Draft.

    Xero is missing just a key user level - where account managers can see and manage sales invoices, but can't delete or edit. Projects seems a good way around this limitation, but the inability to see invoices kills that.

  9. When adding estimated tasks onto a project , add a quanitity section when selecting the fixed price items.
    Some tasks for example like quoting for installation of boards per m2, we have the price per m2 set up as a code, so it would be useful to then be able to easily adjust the quanity required to get a revised sell / cost.
    You currently have to calculate what the sell price would be and manually override the fixed charge. This however removes the visbility of how much quantity you want (unless you then edit the text) it also makes…

  10. Day Rate

    It would be great if we can use a day rate when creating an invoice for a project. At the moment, the rate is hourly and when an invoice is created it shows that total hours in quantity and the rate per hour; which is a bit confusing for clients who agreed on a day rate. Therefore, having the day rate and quantity as the number of days would be helpful.

  11. Would love to have the contact list sync with Google tasks.

    None of the CRM softwares out there have a calendar that works as well as Google Tasks.

    My only problem is that I have to type in the address and contact info for every single job, and there is room for input error here.

    I would love to be able to start making a task in Google Tasks, and be able to type in the customer name and have the info populate automatically.

  12. Add chart of account to a project task.

    We have a lot of small task entries which need to appear on the invoice to a customer. The tasks (remote support / h) have a unique account (208 - remote support). When we make the invoice we have to adjust ever line item to the right account. Can this not be automated by assigning the account to the task type?

  13. On the project tab where expenses are tracked, I have multiple items that have been delivered to a site. Currently, I have to enter every single item as invoiced. My sites have multiple units, each unit can have 20 items and every single one has to be marked as invoiced in order to gain accurate reporting. Surely, there can be a single button to mark all items as invoiced; in exactly the same way as an invoice can be attributed to a project. Please!

  15. We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.

  16. It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

  17. I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.

    After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.

    Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong project.

    Appreciate the detail in your idea here, Lynette. While we don't have immediate work planned for this , it'll be good to get a sense of the interest from others in the community and if there's any change planned we'll let you know through the idea here.

  18. Projects - Make the entire Projects experience better. Today is May 17th 2024, there are currently 300+ ideas, suggestions, and requests here related to Projects, few of which have even been responded to by Xero. It seems clear that Projects is the red-headed step-child of the Xero platform, always the last to the table when the development team starts talking about updates.

    For those of us who run project-based businesses, the features requested on these pages are CRITICAL to our ability to understand how our business is doing. I'm calling on Xero to put more energy into building out Projects…

  19. To display the potential project margin % and variance from expected invoice and costs as baseline to compare with actual performance. OR allow the project report to be customised to add calculated fields. So staff can instantly see the potential of the project, and look to adjust if necessary before sending to quote or invoice.

  20. Can we please add the ability to set up a sub-category under category options?

    For instance, we have already tracking categories by store locations (i.e. Loc 1, Loc 2, Loc 3). However, we need to have a sub-category per Deputy's area (i.e. FOH, BOH) under the store locations.

    Category option: Loc 1 (Store Location)
    Sub-category option: FOH, BOH (Area)

    If we could set up a sub-category under tracking options, that would be great. Thank you!
