  1. In the new bills to pay draft screen even though I search for a particular supplier or filter alphabetically so I can find a certain supplier when I go into the first one and approve & view next instead of giving me the next one of that supplier (the filter I have on) it goes to the next date. I need to approve a lot of invoices and it is much quicker to do by supplier and be able to go straight to the next one. I could do this in the old bills to pay drafts but can't in…

Hi community, thanks for sharing your needs with us in product ideas here. As you may have seen we've released some new features in the bills space and you should find our new quick view of a bill solves for what you're after here.

With quick view you can easily filter for a supplier, then view each draft bill for that contact before bulk approving all bills at once. Simply click the downward arrow above the bill in the side view to move onto the next. 🥳

  2. While importing bills from QB in bulk, it would be a great time-saver if Xero could automatically Approve the bills while being imported. Currently they go to the Draft folder.

Hi team, coming back across this idea, and with quite some time since it's last interaction we're going to, move the idea to delivered with the previous option suggested the best options here.

Xero Partner's have access to a Conversion toolbox when setting up a client orgs which'll allows them to import invoices and bills as any status.

However if you're not a Xero Partner, while bills import as draft, it's quite easy to bulk approve imported draft bills from the list view of the Draft tab - Just select all the bills you'd like and click the Approve option

  3. Currently: In new invoicing we are provided with suggested items when completing fields such as "To:".
Using Enter at this points selects that highlighted suggestion, but using Tab ignores the highlighted item.

Request: Enable Tab to be used in new invoicing to confirm a highlighted selection. The same function as Enter currently provides within this context.
Tab is an active keyboard option in other areas of Xero such as Bank Reconciliations so this would keep the UI more consistent.

Hi team, we recently made a change to the tabbing behaviour, so now when you tab to a field and highlight an option, tabbing to the next field will hold the selection that was highlighted.

For example pressing Tab in the 'To' field will hold the highlighted contact, and move you onto the 'Issue date' field.

  4. HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
    1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"
    2. "the amount of VAT, if any, at each rate" needs to be shown in GBP (as well as in the foreign currency)"
    3. the currency conversion for VAT purposes needs to be calculated in one of the following two ways:
    - "UK…

Hi all, apologies we've not responded here before now. Checking in with our team on this our current invoice templates do accommodate what's needed here.

With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.

We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

  5. When entering a quotation, is it at all possible to do a selection per customer so that we can print out a "back order"list from the quotation. This will enable us to see the customer's name and description for all outstanding orders. Then we dont have to go into each and every quote seperately?

  6. The short-term cash flow projection should allow 2 weekly/fortnightly expense predictions (instead of just weekly and monthly predictions). The current absence of this feature currently results in incorrect cashflow forecasts (e.g. we pay wages every two weeks, so the timing of our wages prediction is always incorrect).

Thanks for your feedback, it's good to hear how you're using short term cashflows.

Predictions within Short-term cash flows should be generated for recurring amounts based on the last 3 months.

Our tool looks for weekly, fortnightly and monthly payments - the dates, amounts and contact have to be fairly consistent each time for a prediction to be generated.

If you do find you're not seeing predictions you'd expect to appear for fortnightly payments do raise a case with our team of specialists so we can take a deeper dive into why this may not be showing in Short-term cash flows. Thanks

  7. Have a ribbon/menu across the top of the screen with the ability to pin a “button” that links to your most frequently used windows - eg bills to pay drafts window , or the reconcile window of the most used bank feed, or a report you run daily

    1. There should be an option so that we can arrange bills/invoices according to suppliers /customers when processing bills/invoices just like in dext .And next option should be included in both archive and during processing bills/invoices.
    2. Split and merge option should be included when processing bills/invoices. 3 There should be a filter for credit note, overpayment and prepayment in archive invoices.

Hi Uzair, a few ideas shared in the one post here. It's really best if we can keep each idea separate so we can gather interest in each and keep you updated of change to the product that might resolve what's being asked.

In relation to your post here we have a couple of existing ideas you may also like to add your vote for and follow for any updates.

In relation to invoices, you'll find when approving invoices you can Approve and view next or Approve and add another.

From the draft tab in invoices you can also select multiple invoice and use the Copy to option to create one invoice from a collection of invoices which might help when looking to merge. This way once…

  9. To show the customer's VAT/GST/Sales Tax number on the preview version of the customer's invoice, instead of having to download the PDF to check if it is there (after loading it via Xero Contact).

Hi Kyle, the product team have been working on improving this area and have released a new invoice preview for the PDF. This will display any details you have included in the selected invoice template, so should display the customer's VAT/GST/Sales Tax number if you've included that. We hope this helps!

  10. There is presently a feature that enables copying a bill and transferring its details to a new bill. However, I have observed that this functionality omits the "Permit Number," necessitating manual duplication. It would be advantageous if this copying function could accurately duplicate the specified bill in its entirety, without any omissions.

Hey everyone! We're pleased to announce a changed we've made has addressed your idea here.

Using the Copy button when viewing a Bill in Quick View will now copy all fields (including the reference)!

Thank you to everyone who showed their support on this idea, as this is what drives improvements like this. 🙂

  12. We are a meadery that often sells mead in kegs. This idea would also apply to breweries.

I use a "Keg" inventory item to track the physical keg shells. I use a separate item for the product inside the keg. So an invoice for one keg will show two items: the mead itself and the keg. This helps me keep track of our physical kegs on hand, weather they are full or empty.

When a client returns a keg, they receive a credit note for returning the keg. In addition to getting their deposit back, this keeps my inventory correct.

Hi Alex, you'll find this is now possible. The different VAT rates used in the invoice will be shown as subtotals beneath the total invoice amount. With the updates that our team have made to the send experience your customers will also be able to see a quick view breakdown of this in the email they receive 🙂

  14. in the APP can we have inventory stock levels show when you search for an item.
Currently it only shows if you have xero stock and try and save.
I have to use the desktop version to view levels

Hi team, while not an Excel file type this is already possible through the Export, Import features in bills.

You can search and export specific bills from the list view, and from the New bill drop down select Import from CSV and drag & drop the file that was downloaded. 😊

Hi everyone, super quick turn around here 😁I'm happy to share that the changes for invoice reminders have been pushed live and you should now find invoice reminder emails will include your company logo. This is pulled from the organisation settings, so if you'd like to revise your logo you can do this through the organisations settings page.

  17. For web orders etc there is no way of adding to the invoice that the order has been paid.
So an option within the Due Date section to choose 'Paid In Full' would eliminate the customer receiving the invoice appearing as if it needs to be settled.

Hi team, with little interaction on this idea in sometime and based on the existing options that have been shared we are going to move this idea to delivered.

To reiterate the options - you can set defaults for accounts, items and contacts to fill fields and save time when entering bills, alternatively depending on your workflow you may also find importing bills from CSV where you can bulk populate account codes for multiple lines on one bill handy.

  19. Extend the search function under bills to pay to include creation date to help elevate duplication when exporting data to csv file.

I want to export invoices from Xero to import into a CRM platform to use as a job cost analysis as this is not a function Xero currently has.

All invoices dated the 01.09.22 will not be input on the same date so there is no way to ensure you have exported all the invoices for the 01.09.22 unless you delay the export. This is not a practical solution for me as I want to assess the profit…

Hi team, returning to the idea I wanted to highlight that you can currently run the History & notes report which could be filtered for Type = Bill, and type 'created' in the search bar.

Relating to the ability to identify duplicates - our team are currently working on aa duplicate detector that'll further help with this process, so you'll be able to review bills that have been identified as duplicates and take needed action before exporting - You can stay up to date with work for this on this idea. Just add your vote to receive updates 🙂
