New Invoicing - Ability to remove email 'Review and pay' buton
Allow change to email format so that the VERY LARGE $X,*** 'Review and pay' button can be removed - as it can in the Classic invoicing. I have a large client who has stated they will leave Xero, rather than send emails in this format. They find it too aggressive.
3 votesHi everyone, appreciate the feedback here. Right now it is possible to hide the 'Review and Pay' buttons completely from the Email Settings in the Organisation settings. From here you can disable the 'Include quick link to online invoice and detail summary' setting to hide the payment buttons entirely.
Just to note, this does strip back the email formatting so you might like to send yourself a copy to see what this then looks like once the option has been disabled. Thanks

New Invoicing - Populate Tracking column from settings in contact's Sales Defaults
Hi, the new version of invoicing will increase my work load. at present when you open an invoice to approve it, it is easy to select the tracking categories, as it is linked to the client profile. in the new version it does not and you have to go through the list in a drop down!
Also we have an issue when we change the invoice date. for example and Invoice raised on the 5th Feb should be paid on the 6th March. If we change the invoice date from the 5th to the 4th, it does not change the…
3 votesThanks for your feedback on the idea here, with the way new invoicing works once you add a contact, any sales defaults saved for that contact in their record will be applied.
Adding a Qty or Price for a line will trigger Tracking defaults saved for them to be automatically applied. Similarly this applies to the any default saved for Due Date. If you have saved a due date that is driven by the invoice Issue date you should see this update if you change the Issue date on the invoice.
If this is not behaviour that you're experiencing please do raise a case with our team of specialists so we can take a closer look into this with you.

New Invoicing - Receive payment for an invoice before sending it
Immediately after creating an invoice, you approve it, then a series of boxes appears at the bottom of the screen allowing you to receive the payment. Once payment is applied you can send the receipt to the customer. This is ESSENTIAL for accepting cash payments or any payment made at the time of delivery but before sending the invoice. Please add this feature from OLD invoicing to New invoicing.
3 votesHi Fiona, it's not necessary to send an invoice before adding a payment. Once an invoice is created in new invoicing the default option is 'approve and send' but 'approve' can be selected instead. A payment can then be added and receipt sent, with a similar workflow to classic invoicing.
Atm there's no way to set the default approve option for an invoice. However, this has been raised as an idea across here if you'd like to add your vote. 🙂

Bills to pay - Filters to apply when editing bills (e.g Approve & view next)
In the new bills to pay draft screen even though I search for a particular supplier or filter alphabetically so I can find a certain supplier when I go into the first one and approve & view next instead of giving me the next one of that supplier (the filter I have on) it goes to the next date. I need to approve a lot of invoices and it is much quicker to do by supplier and be able to go straight to the next one. I could do this in the old bills to pay drafts but can't in…

With quick view you can easily filter for a supplier, then view each draft bill for that contact before bulk approving all bills at once. Simply click the downward arrow above the bill in the side view to move onto the next. 🥳

Invoices in other currencies - Compliance with HMRC's guidance (for UK businesses)
HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"
2. "the amount of VAT, if any, at each rate" needs to be shown in GBP (as well as in the foreign currency)"
3. the currency conversion for VAT purposes needs to be calculated in one of the following two ways:

With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.
We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

Alternatively rather than a line in itself you could use new invoicing to discount each line by a total amount.

Inventory - Edit from the list view
I would like to make a suggestion (for XERO improvements). on the inventory page, where it is listed, where there are 3 dots on the right (currently only archive or delete), can EDIT not be added there, rather than first clicking on it, and then searching the edit button on the top of the next screen

Quotes - Create new item without navigating away from Quotes page
It would be great if you could add a "New Item" when you first create a transaction. At the moment, you have to save and close the transaction, go back to it and "edit" then you can see +New Item at the top of the Item column. It would be a great improvement to workflow if you could do this straight away and if anyone like me has new items each week it would save some time. Thanks.

Invoicing - Receive Deposits on future sales before raising an Invoice
Record deposits on a quote or future invoice sale without raising the invoice value against a customer.
We manufacture a product and then install for a customer - with a deposit of either 50/50% or 30/30/30/10% at the point of approved sale. We are happy to create an invoice number but with a deposit on each sale this creates a "negative balance" and we do not want to create a sale until the final invoice has been agreed at installation. ie. a negative receivable.
2 votesHi David, depending on how you need the deposit amount shown on the customer statement you could record these amounts as either Overpayments or Prepayments that would be applied to the customers invoice once created at a later date.

New invoicing | Allow pasting tracking categories
Sometimes I need to add the same tracking category to multiple lines of the invoice. CLASSIC invoice allowed me to simply paste the category in the box and that's it. NEW invoicing now requires me to CLICK after pasting which doubles the amount of time I'd need comparing to CLASSIC. Please bring that possibility back - OR, EVEN BETTER, maybe let us drag the options to apply them to cells below (like it's done in Excel).

With the new grid, you can now easily copy & paste tracking information between cells, using 'Tab' to navigate to the next cell efficiently. Invoices - Mark invoice as Sent after payment is recorded
One of our customers requires the PDF invoice with zero due AFTER the payment has been applied. If I forget to mark "Sent" before applying payment, Xero will not allow this box to be checked, and I have to remove all payments, mark sent, then enter payments and credit applications again. Since we use the "sent" feature to cross check that we have submitted invoices, this is important. There should be no reason this is not editable after payments; and there are additional features that can't be edited after payments as well, that used to be editable in the old…
2 votesHi Margie, appreciate you have a slightly different use for Mark as sent than it's designed for. While we don't have any plans for enabling this check box once payment is applied, you could Email the invoice(even to yourself) which will mark it as sent.

Bills - Changing VAT code on paid supplier invoices
It would save a lot of time if it would be possible to edit the VAT code on paid and reconcilled invoices, just like you can change the nominal code. The VAT return is done at the end of each quarter, which means that the majority of invoices and expenses have been paid, by the time you are running your VAT return and double checking that all invoices and expenses have been correctly coded for VAT. New invoicing - Send invoice via sms from laptop
I like to be able to send an invoice to both email and SMS at the same time from both laptop and phone
2 votesHi Chris, I see you're based in AU and we're pleased to share that we have now added the capability of being able to send via SMS along side email from your laptop in AU.
You can now select the three dots in the top right of an 'Awaiting Payment' invoice, then choose "Send SMS" from the menu.
While we will look to expand this to other regions in time, we don't have a set date for this yet. We'll be sure to come back here and share further updates when this happens. 😊

Contacts - Days after due date
Discovered an error. In the customer settings, when placing 0 in the field for “Days invoice when due” shows an error, despite Xero using 0 when calculating when an invoice is due.

If you're still seeing this behaviour when trying to save '0' for days due after the invoice I'd recommend creating a case with our specialists at Xero Support to take a closer look into this with you. New invoicing - Attaching supplier invoices
On Classic, we could attach supplier & subcontractor invoices to our invoice when we sent it to clients. We haven't been able to do this since moving to the new invoices. We've reached out to Xero regarding this and the help we have been given has been generic and not at all related to the problem we've sent screenshots about. Very disappointing. What happened to a member of the team accessing our setup in a meeting (??Teams or Zoom etc) and working through the problem with us. 2 votesHi Glen, sorry to hear you've not had the best experience recently when seeking help. Generally our team are happy to arrange a call if requested and do offer screen meets to troubleshoot issues.
We know some customers were finding the upload files option a little tricky in new invoicing and recently we released a enhancement that now allows you to drag & drop files anywhere on the screen (rather than directly onto the Files attachment window). I believe this should resolve the issue you've noted, and would recommend giving it a try but please do respond to my update if you're still having any difficulty with this.
