New Invoicing - Select default for 'Approve' Button e.g not 'Approve & Email
Can there be a system setting which controls the default option on Invoices for the Approve button.
It is currently Approve & Email and we would like to have the default as just Approve.
If it was a system setting companies could chose best option for them.

Hi community, we’ve just released some new keyboard shortcuts to new invoicing, that cut down the number of mouse clicks and help you perform actions on your invoice with some simple keyboard entry options.
There’s a range of different shortcuts that you can explore, and in particular a few that I wanted to call out for ‘Approve’ options that I know will be of most interest to you, here;
- Approve (Ctrl-Alt-A OR Cmd-Opt-A on a Mac)
- Approve & add another (Ctrl-Alt-O OR Cmd-Opt-O on a Mac)
- Approve & print PDF (Ctrl-Alt-R OR Cmd-Opt-R on a Mac)
- Approve & email / send eInvoice (Ctrl-Alt-E OR Cmd-Opt-E on a Mac)
While you get used to the combinations of shortcuts our product team have added small prompts to highlight these in the product, and if you’d like to view the full list of options you can see them all on Xero Central.
Thanks for all contributing, and staying plugged into updates on this idea.
Being upfront, we will continue to field feedback and revise this idea, but we don’t have plans for adding the ability to set your own default any time in the short term.

I NEVER EVER use Approve & email.
I have been using Xero for around 5 Years, and have never used it once.
The default has always been "Approve", why change it??
Please either change it back to just Approve, or make something we can individually set in settings somewhere.
This is a crazy move, and it is quite apparent that no one likes it....
Now that I am forced to use the new setup, it is driving me crazy. -

I'm very confused as to why when updating the platform, Xero didn't pull over the settings/defaults we were allowed to select and instead removed several of these. It seems to be that Xero downgraded the system rather than upgrading it. They've also taken away the ability to connect with other Xero accounts when emailing an invoice. The network key between Xero accounts doesn't show as an option anymore. We found a work around, but it's an extra few steps. We used to be able to select send the invoice where you had the option to check off whether the network should be connected or not. Now, in order to sync an invoice into another Xero login, you have to approve the invoice, go back to invoices, awaiting payments, check the box next to the invoice, then send it. This is crazy. And with this updated platform, why didn't Xero make the update so we can use a cash account when creating a journal entry. QuickBooks allows it.

I've just noticed that the keyboard shortcut for Approve (Ctrl-Alt-A) mentioned above seems to be the same as for "Update" when an invoice is in Edit mode. Which seems a bit strange.
Particularly as it doesn't seem to work for Update when I try it.
(FYI, Firefox under Windows 11)

New Invoicing Approve Button.
With the new update you have moved the approved button from the botoom to the top.
When you you have multiple of lines and we have lots you have to scroll all the back to the top to approve it.
This is takes up heaps of time.
Also can you just have it as a approve, rather than approve and email.
Can the email part be an option?
We enter up to 90 single sales sheet every.afternoon.

I am also dissapointed I am forced to have to click though to approve or use 'yet another keyboard shortcut' while editing all our invoices that we do not want to email through Xero. It's bad enough being forced to use the new format, all these changes just slow the whole process down. What a thoroughly dissapointing response.

We often do not need to email an invoice when we create one so we would really like 'Approve' to be the default or at least have another button for just 'Approve'

I worry that a comment someone said to me this week may take hold ... sounds like getting Xero support from Xero support. Xero don't let this festering issue undermine some progressive things that are happening.
We really need this functionality to carry out our roles efficiently, and enabling us to find time in our days to grow our businesses. Please acknowledge our pain and indicate what is in progress to address this. -

The shortcuts are worthless, and not what anyone asked for, and now you've removed the option to use original invoicing without implementing this, really speaks volumes

While I appreciate the addition of shortcuts that I'll have to now get used to, I think it's incredibly disappointing that I have to use the shortcut OR manually select approve vs having it as the main default in Classic Invoicing.
If you're not going to offer the ability to set our own default any time soon, it would be appreciated to keep similar defaults when forcing us to use the new poopy invoicing...

Yes please, save and add another is the most common. But just like organisation names / templates / settings should be user customizable.
New invoicing is so mouse heavy. Too many clicks, too many tabs. Buttons hidden under drop down menus.
Most annoyingly there is no "Focus" on the "Contact" field when you "Save and Add Another". Or hit F5. I'm trying to enter invoices here.
Classic invoicing is still superior

Got to love how Xero have made the 'Invoice' entry screen worse and then ask us to make product suggestions to fix their ups. Typical product designers and programmers who have never used their product and don't listen to their own users before making so called improvements.
How about consulting with a wide group of users of what is essential and what isn't, and spending time with users who actually use the invoice entry screen regularly to see how they use it, their workflow and invoice volume, before making wholesale changes because something is 'cool' from a programmers point of view, or easier to get data into from external plugins etc. What a bunch of clowns and that's unfortunately insulting clowns.

I guess I shouldn't be surprised that your solution to this problem is to introduce keyboard short cuts which still require several clicks. Please can we have the option for a simple 'approve' only button?

Respectfully, this is not a solution to the problem that has been created. Please just put the default back to Approve only, or at least give us the option to choose our default.

I tried the CTRL-ALT-A this morning to approve an invoice and, to my absolute surprise, the screen then automatically took me to another screen so that I could apply the payment to the customer's invoice. YAY!! Thank you Xero :)

This is absurd.
Please explain your reasoning behind how 3 separate keyboard moves is less work than one mouse click???
Putting an 'Approve' button next to the 'Approve & email' is a much better solution. -

I don't what keyboard shortcuts - I want to be able to choose between Approve & Approve & email depending on which client it is. We do not always need to email.

Keyboard Shortcuts are a terrible idea to solve this issue. Why can't you accept you got the default option wrong and humbly change it or give us the ability to change it.

Laughable. we are not all sole traders. We are dealing with a lot of transactions and the process is now too slow and click heavy. So frustrating

This is not what we asked for it is a complete nonsense to add in even more keystrokes to do a simple function.You have not listened to any of the comments made. Listen to your users not what your IT department thinks is an easy sort for them!
