(UK) Year End date change to bases period reforms
With the new basis period changes coming into effect, some clients may want to change their year-end from 30.09 to 31.03. Currently changing the year-end in Xero will cause previous opening balances to change and most likely mean any working papers produced in Xero will no longer match the accounts.
It would be a useful tool to have something whereby a previous accounting period end could be locked so a new year-end could be chosen without messing up the old year-end balances.
67 votesHi team, I can now confirm we've now added the ability for you to create a short transition period (between 1 month and 12 months long) when changing the Financial Year End date within your organisations Financial Settings.
Just to recap for anyone new coming across the idea here - Aligning with the UK basis period reforms we've made a change to Financial settings so you can add start and end dates to different periods. This change impacts multiple areas of Xero.
- Fixed assets will draw on this information, to prevent any loss of historic information when your year end changes. Everything will automatically be calculated for you based on the period start and end dates you set in Financial Settings.
- The same story will apply in Reporting. All historic reports will be protected. And you’ll have accurate comparison periods even across varied financial years.

Quote to be reflecting on the customer facing side as "Accepted" once it has been
Once a quote has been accepted by the client it would be great if that acceptance was reflected on the customer facing side of the quote. This would allow them to click on the original link sent to them to confirm that their quote is now reflected as "accepted" so for clients who manage multiple quotes and may have to refer back from time to time they are easily able to do so and have a record on their end that their booking (in our case) is confirmed.
2 votesHi Caitlin, with the online quote link these are updated in real time. So if you send a customer a quote and it is accepted on their end this'll show on the online quote straight away.
Similarly if the quote is marked as accepted from within Xero, it does take a refresh if the online quote if it's open at the time however it'll also show as accepted on the quote. 😊

Draft invoice save prompt
Add a prompt to save a draft of an invoice when leaving the invoice screen to add or change a contact or address or check something.

Cyber Essentials
As an organisation we want to sign up to cyber essentials. It will reduce our insurance liabilities as well as provide us with greater digital security. Currently Xero does not mandate the use of MFA authentication. I would like it to. Primarily for active users but ultimately for staff accessing payslips only as well.

Accessibility - Allow files in the inbox to be renamed without requiring a mouse
If you aren't using a mouse, files in the inbox can only be acted upon by using the checkbox and then tabbing to the buttons at the top of the inbox. You can open the kebab button to the right, but then you can't action any of the options on the pop up menu using spacebar or enter, which are the usual button-press keys.
It takes infinite button presses to go from the top of the screen to a file halfway down and then all the way up to the top to action it, but eventually you get there. So…

User roles - Add invoices, but not view the main dashboard
Staff to be able to create invoices and not see dashboard!

Xero Blue | Global Search - Search Contacts by address
Ability to search contacts by address and phone number.
Purpose: To have more options for users to search their contacts in Xero.

You can now use the global search function to find contacts by Address line 1 - 4 as well as Postcode/Zip code. I’ve attached a screenshot so you can see it action

Payment Service - Multiple online payment options per invoice
Ability to have multiple online payment options in one Invoice.
Purpose: The receiver of invoices will have more options on how they’re going to pay the invoices.

With the new flow you can easily set up and access differing payment methods to your customers when sending invoices. With ability to choose to enable or disable the payment options you want to offer, you have more control. You can add multiple payment methods to an invoice(like Stripe and a connected app), giving your customers more choice in how they pay, so you can get paid on time.

Lock Dates - Ability for Advisor users to override
Please can we have the product enhancement for the LOCKED DATES, whereby the Advisor role can LOCK THE DATES to stop other employees/departments posting entries, but the Advisor can OVERIDE the lock dates to post month end/year end journals.

There are two Lock Date settings in the Financial Settings screen; one for all users except advisers, and one for all users.
To do this, you could leave the 'all users' date blank, and set a relevant lock date for 'all users except advisers'.
This would allow Adviser users to bypass the Lock Date, while still leaving this restriction in place for other users.
Alternatively, you might leave the 'all users' setting in place to prevent Advisers unknowingly making an change prior to the Lock Date.
If the Adviser does need to override this, they could temporarily delete this date, or move it forwards.

Dashboard | Cash in & Out - Link to new bank account summary
Reports: Bank Summary Report
The recent shift to new reports has not considered the Bank Summary Report. It is an important report in the sense that it tracks movements and balances for all the banks.

User Roles: Invoice Only users are able to view paid invoices under contacts tab
Currently it is not possible for a user with the Invoice Only access to view paid invoices under the contacts tab. It doesn't make a lot of sense that they can view all of the invoices however when in contacts can only view invoices that are unpaid.
10 votesSorry for not updating you sooner here, team. We've just released an update for Invoice Only roles in Contacts. What you can see will now be dependent on the level of access the user has.
- Invoice Only Draft will no longer see the I Owe and They Owe columns,
- Invoice Only (Sales) will only see They Owe, and
- Invoice Only (Purchases) will only see You Owe.
This change applies to sorting on the page as well.

Audit Trail for Financial Settings page
It would be great to have an Audit Trail on the Financial Settings page, similar to the new Audit Trail for payroll.

User roles - Hide supplier balances from users with 'Invoice Only User Sales (Quoting & Invoicing)' permissions
With in the Invoice Only User - Sales (Quoting & Invoicing) the user can still view all of your suppliers and the amounts you owe them via the contacts tab. If you want to give someone access to raise and sent sales invoices then they shouldn't be able to see all of your suppliers and especially shouldn't be able to see what you owe each of them!

History & notes - Filter by the date a change was made
To be able to filter the History and notes - by the date that the changes were made on something specific and not the date of the original transactions.
This would be helpful if the Annual Financials have been finalized, and a change has been made after the fact.
For example: You want to know when the changes toward the 2022 tax year were made, towards the advertising account transactions since a specific date i.e. a date after the financials have already been finalized.

3 votesSorry we've not updated this idea here sooner, everyone. To confirm this is how the date range filter int he History & notes report works today - Results in the report are based on the date the actioned occurred in Xero, not the date entered on the transaction.
For a broader view of recent user activity you may also find the assurance dashboard quite useful.
We appreciate there are other items and actions that our customers would like to see more record of history for and we welcome you to join and/or add any ideas for specific actions you'd like to see entries recorded for.

Invoice reminders - Set for 14 days after due
An option to turn ALL active reminders off/on for if you are planning to go away for a week or so.
The invoice reminders currently automatically send 7 days after due, which is too early.
Many of our clients pay within the 7 days after due and if I haven't had time to reconcile the payment within that time they will get a reminder.

Branding - Merge field for Credit Terms on Custom DOCX Statements
To allow for the statements in the docx set up to have a field for terms. The due date whilst it prints on the statement it is helpful to the client to see their terms

If terms are generally the same you could use Advanced branding and add your payment terms to the docx template as static text so this would be included when sending statements to your customers with that branding applied.

Dashboard - Ability to add quick access to reports
It would be great to be able to add custom reports, such as Profit & Loss and Balance Sheet, to the Tax and reporting tab on the Dashboard

User Permission - Books Closing Date Restriction
The ability to set a closing books date so that no entries in a prior period closed date can be changed without an administrative password or an approval process chain of more than one approver.
3 votesHi community, this is possible via the use of Lock Dates in the organisations Financial Settings.
You have two optional date settings:
- One date that applies to all users except Advisers
- A date that applies to All users, including Advisers
These prevent the relevant users from adding or making changes before these dates.

Community - Restore datestamps on idea posts
Ability to view date stamps against a post in the community forum.
Purpose: The lack of date stamps creates difficulty when you're looking for help/info and you can't feel confident that the information is current.

Need the option to be able to force all users to use 2FA.
Security is only as strong as its weakest link.
