  1. Today, I received an email from Xero, enthusing about the upcoming feature called JAX "Just Ask Xero". Apparently, this is a generative AI assistant.

    Once it goes live, I will want to know how to turn it off. I will never use it - if I need help creating an invoice, there's a help file for that, and checking an AI's work takes as long or longer than just doing it myself in the first place - and see no reason to waste processing resources on something I will never use.     Hi everyone, we appreciate your engagement with us about Just Ask Xero(JAX) and concerns shared on the data this model uses.

    To confirm the LLMs are not trained using any Xero data. The AI behind JAX uses LLMs available from commercial vendors like Microsoft, Google and Amazon, (we have commercial agreements that prevent them from training their models with our customers data), as well as proprietary technology, JAX Assure, that works in concert to support accuracy and security.

    JAX is currently in beta - Once your organisation is invited to opt-in to the beta, you can trigger the opt-in buy sending JAX a message in the pop-up window of your dashboard.

    However, if you’re not interested in using JAX, don’t send a message, and the assistant won’t be activated. You can also dismiss the pop-up using the 'x' in the top right corner. You'll be prompted once more and can…

  2. Ability to turn off email notifications for submitted expenses to Xero admins. Only started receiving email relating to submitted expenses as of 10th July 2025 but have been told by Xero support that it is an integral part of expense management and can’t be switched off. Have used Xero and expenses since 2019 and have never received an email relating to an expense submission. Am more than happy to continue receiving notifications of submissions via Xero Me mobile app but do not want or require email notifications.

    Hi everyone, we appreciate your feedback, and have been monitoring this change closely.

    We appreciate the differing needs of our customers our product team have temporarily removed the notification changes mentioned in my previous update - This means this'll reduce the amount of email notification you're receiving from expenses.

    We're looking into enabling more controls for expense notifications and I'll come back to share any further news around this with you here.

  3. With the lack of user permissions customisability it is really hard to convince larger clients that Xero is a viable alternative.

    The permissions structure is so restrictive. Are there any plans to make this more flexible?

  4. Invoice Only User SHOULD have access to "send and print" feature once the Purchase Order were approved. To address this concern, a user should have an access level of Invoice Only + Purchases, however, changing the permission to this level, the inputs made by other users, which might be confidential and unnecessarily to be seen by others, are compromised. I would like to request to add this feature (send and print) for the Invoice Only users.

    We appreciate you taking the time to share and support this idea. We can see that this idea is already gaining traction amongst the community. Giving Invoice Only users the ability to send or print approved invoices has the potential to simplify your workflow and make day-to-day tasks more efficient.

    Enabling this functionality would allow the same users who create and approve invoices to also send or print them, reducing handovers and helping your business operate more smoothly. It’s a great example of how a small change can lead to better team autonomy.

    Currently, this action is available to users with Standard, Advisor, or Invoice Only – Approve & Pay roles. Expanding this to other Invoice Only roles, such as Draft, Sales, or Purchases could make Xero even more flexible for teams with clearly defined responsibilities.

  5. When I login to Xero, I enter my email address and password and am taken to the second page (MFA).

    I'm then asked for the authenticator code, but I have to click into the field to enter the code.

    Xero knows that there is an almost 100% likelihood that the first (and only) thing I am going to do on that page is enter the MFA code.

    Xero should automatically have the cursor in that field so that I can type the code without clicking into the field.

  6. It is remarkably convoluted to change the base currency even when no transactions have been posted. It only seems to be possible by cancelling the subscription and starting again. I rely on clients purchasing the software and it is not unknown for them to enter an incorrect base currency. I have used other systems where changing the base currency is very quick and easy. I suggest you make this a little easier.

  7. Please bring back the search button in the top menu when windows are reduced size.

    It has been replaced by the AI button, which is frankly not very useful. Search is used constantly.

    Changes like this make Xero decreasingly viable for our employees to use on a laptop.

  8. "Business and accounting" role needs ability to more narrowly define. I want an employee to access invoices (receivables) but that then gives them access to ALL financial reporting, e.g. P&L, which I don't want them to see.

  9. New Xero ribbon - can it be amended?
    Too much! There are things I don't use or need day to day. "Dashboard" became "home". Ok not great, but okay.
    The the "+" icon on the ribbon gives me the shortcut to anything.
    Xero has just gone and cluttered it up with stuff I don't need day to day. Like "Payroll" and "Reporting". Anyone else agree/disagree? How can it be amended from the users pov?

    Appreciate your feedback, and it's good to understand our different users needs when moving across Xero. Its good to hear that the '+' icon helps you get to most places you need.

    I want to assure you we did a lot of user research and testing of the new navigation to ensure it would suit the needs of majority of businesses.

    We'd like to continue to get a sense of the interest from your idea but want to be upfront that this isn't something we have plans of enabling any time in the near future.

  10. As a charity funded entirely by donation we receive the majority of funds via online bank receipts. Because the bank receipt is standard, I currently manually create a receipt for our donors in word which I can attach to the bank receipt transaction and email to the donor. This is very time-consuming and I think it would be a very easy fix to allow customisation as with invoices

  11. Dashboard- It would be great if Xero gave us more options to edit out Dashboards. Two colums are not enough, at the most I get to see four accounts before I have to scroll, they needn't be so large either. If they had three colums, and we could shrink the size of the 'boxes' then we could easily see a better snapshot of work to do and where the business is at.

  12. we have recently set up our business so everyone is on xero, we would like people to be able to view profitability in projects, but not have the admin user.
    Giving people admin user allows them too much access, but we want them to be able to see profitability on the projects so they can keep track.
    is there a way we can give them access, without upgrading their user role??

    Hey Rebecca, thanks for your engagement and for sharing this detailed suggestion about user permissions in Xero Projects.

    We've reviewed your idea to allow users to view project profitability without needing the full admin user role, and it can now gain support from other community members. We understand the need for team members to keep track of a project's performance, and why granting full admin access isn't always suitable.

  13. Offline/Online Syncing Xero Accounting Desktop Program which allows for Backup?
    When you dont have internet connection and you need to keep the staff working, obviously the file is not distributed to the cloud, but when the computer gets internet access it Syncs all of its data with the cloud. Xero, when internet connection is lost, you could still use all the same functionality, then once it gets online then it Syncs all the information with the cloud.

    Thanks for sharing this idea, we appreciate wanting to enable staff to keep working when your internet's down.


    If we were to work on a change like this, we'd have to consider the implications this could have if multiple people worked on the same items while they were offline, and how this data would sync when they reconnected to the internet.


    It's not something we have plans for, but we'll start to track the interest in your idea here, so feel free to share your idea with any colleagues that this could benefit. They can add their votes and comments to share additional detail about how this could improve their experience with Xero.

  14. I would like to be able to choose to lock the Bank Account field in the Batch Payments screen where you can change/add bank account numbers. Making the user add the bank account number into the contact screen and the redo the batch payment so it draws that information from there - and any changes from here are notified to the Contact Bank Acc Admin.

Many of my clients are partnerships and trade using the partners initials e.g. J & J Doe but on their reports it displays as %26 and on emails that they are sending with sales invoices, it displays as "& amp;" meaning that when I save reports or they send their invoices, this has to be changed. Having worked in a software house previously, I know that this is a programming issue and one that should have a relatively simple fix so can you please look at this.

  16. I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.

    After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.

    Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong project.

  17. The pop up boxes, creating a new item for example, should be able to be moved so that the underlying page can be seen. This is standard on most of the software that I use so it should be so on Xero.

  18. we are currently setting up our company so that all employees use projects to keep track of time entries.
    however, we have given majority of our employees limited access as they don't need to see much, but it means they aren't able to add their expenses on. This isn't ideal for us as our employees do a lot of travelling and need to be able to add their own expenses on to claim their millage back, is this something that could be changed?

  20. Provide an option to allow standard users to publish bank reconciliation reports, but not all reports.

    As a Xero Advisor, I don't always perform all of the accounting functions for my clients. For some clients we mutually prefer to have them perform the bank reconciliation process each month. This is a standard internal control that isn't always outsourced. Requiring publishing bank reconciliation reports at the Advisor level user seems overkill and limits how advisors can manage levels of service assumed by the advisor and their clients.
