In the meantime, bank statements can be manually imported into Xero. For more information on this, please see the About manually importing bank statements support article.

  3. Regarding the Invoice interface on the Sent Column, perhaps can Xero make it into two instead? One is for the Validated E-Invoicing & the other one is for customer. The reason is now, when we send to MyInvoice, every thing has become "viewed" instead. So now I don't know whether my customer did view or not.

I also suggest the MyInvoice under the Sent column, once the e-invoice validated, can it changed to "validated" instead of "viewed"? Like that we do not need to open another tab at the History and Notes to look up for it.

Hi Maggie, we're grateful for you sharing the changes that could make a difference for you and using eInovicing with Xero. This isn't something we have immediate plans for but we'll continue to watch the community support your idea gains here and share if there are nay changes planned. Thanks

  4. That would be great to make the Contact group field visible on the Bills to Pay screen to let us filter to certain contact groups when we are preparing a payment file.

We use the contact groups for example to mark suppliers that are paid by Direct Debit, so this would be a useful feature to filter them out and do not pick their invoices up for a BACS payment.

We also have another group of suppliers within the contact groups that we pay at once on the same day of each month so we would be able to easily…

Aah I see what you mean now, and appreciate you sharing more detail, Anna.

In terms of the original idea, you can reply directly to the email update you received about the status if there is extra detail you'd like to share with the team - In this case I've merged your original idea with this one to keep the information all together.

We don't have immediate plans for this, but will keep considering how we improve their efficiency when engaging and sharing feedback. We'll track the support here and share if there are any updates. Thanks

Hi everyone, just a quick update to let you know that we are aware of this request, and we get that having a direct bank feed for Chase Bank UK would streamline your workflow and make reconciling much easier.

Currently, the best way to get your transactions into Xero is by manually importing your bank statements.

For now, we’ll keep an eye on the engagement and support for this bank feed here, and let you know when we have any updates on this.

  7. It would be great to look down the list of files in the Xero Files inbox and see a thumbnail image of what the PDF is, so that non-relevant ones or replicas can be deleted in bulk.

When files are forwarded, often the attachment is loaded to the inbox along with multiple other files which turn out to be logos from the email signature, and it is time-consuming to have to open every file to find out whether it is relevant or not, and delete individually.

  8. 1st) I suggest on embedding the Validated QR code to the normal PDF invoice so that we can print multiple invoices at one go and our normal PDF invoice also consists of banking details and credit terms whereas the Validated E-Invoicing has none of these.

2nd) I suggest on putting "Send to MyInvois" button instead of copy and paste the e-mail MyInvois@invoi.ci for every invoice. This is too troublesome.

3rd) Regarding the Invoice interface on the Sent Column, perhaps can Xero make it into two instead? One is for the Validated E-Invoicing & the other one is for customer. The…

Hi Maggie and others in community who've voted, we appreciate hearing the changes that'd help you when sending eInvoices with Xero.

Just to note, as each point you've raised would be considered separately by our product teams it's best to have an idea for each of these that we can get a feel of the community support through - see more on the qualities of a good idea in our Xero Central article 🙂

I've updated your idea here to represent the first point for embedding the QR code on the PDF of the invoice. You'll see I've created ideas for the other points you've noted below.

If there's any progress for these we'll share on the respective idea/s. Thanks!

  9. The functionality to be able to raise and approve a Purchase Order which, at the point of approval, would create a double entry in the general ledger. Specifically:

    • Debit a Work in Progress (WIP) expenses account (to reflect anticipated expenditure),

    • Credit a creditors account (to reflect the anticipated liability).

This would allow the PO to reflect a commitment in the accounts, enabling better management of Work In Progress and projected costs before the supplier invoice arrives.

In an ideal world, to be able to allocate the PO to a Xero Project, so that WIP and anticipated costs appear…

Hi Tristan, thanks for sharing such a detailed and well-thought-out suggestion. We appreciate you taking the time to explain the specific accounting impact and how this would improve financial visibility.

We've reviewed your idea for having approved Purchase Orders post to the general ledger and integrate with Xero Projects. This suggestion is now ready to gain support and feedback from other community members.

Along with votes, others can now comment on how having this visibility of committed costs could improve their own project management and financial forecasting in Xero. 🙂

  10. Could we add a feature to enable us to email out service and inspection reminders up to 28 days before it is due.
This could be done by date only.
It would save us having to add another app and potentially another running system to get this feature.

  11. Instead of referring to reconcile transactions, it would be better to refer to categorise or allocate transactions.

Bank transactions are categorised - we tell Xero what each transaction is for - answers "What was this for?" However at present this is called Reconcile transactions

Reconciling an Account - is matching the above transactions to the bank's records (statement) - checking that every transaction in Xero matches what actually happened in the bank account and the end balance matches.

The terminology seems to confuse some and they think by categorising/allocating a transaction they have reconciled the account.

Thanks for your feedback and for pointing out how the term "Reconcile" can be confusing—especially for those new to Xero or bookkeeping.

We get that using clearer terms like "Categorise" or "Allocate" might feel more intuitive and help reduce confusion when working through bank reconciliation.

Right now, this idea’s open for feedback and support, so feel free to keep voting and sharing how a change like this could help in your day-to-day.

  12. This is a known issue that needs to be voted on to be prioritized.

Thanks for your idea here, Mariel.

Appreciate hearing why you'd like to be able to change the account for invoices that have auto sales tax.

I've created a new idea to track support in being able to find & recode here so we can get interest in this specifically.

  14. Timesheet approval process

    1. Give payroll admins the ability to move the status from "draft" to "pending approval" as is possible in NZ and UK or
    2. Give permissions to users with approval power to see the timesheet in the "draft" status through "Xero me" or
    3. Permit users with approval power to see the "timesheet" module in addition to "Xero me"

Thanks for sharing this great idea for improving efficiency in reports.

For anyone looking to achieve this now, you can view transactions across all time by selecting a custom date range in your reports. By setting the start date to your organisation's first transaction date and the end date to today, you can get a full historical view of your data.

We see the value in your suggestion to add a preset 'All Time' or 'All Dates' option, which would make this process a faster, one-click action.

To align with our new statuses for Xero Product ideas, we've updated the status of this idea here. We encourage everyone who would find this feature useful to keep voting and sharing comments. Learning more about the specific reports you'd use this for and how it would help your business helps our product team understand the potential impact.

  16. In NZ we are required by law to keep 7 years of records for the IRD (tax department). I make a point of destroying old financial records that are older than 7 years. Xero doesn't have a mechanism to purge old data. I see in my Xero I full record including invoices, supplier invoices and financial data back to Jan 2014.

I would like to see a system whereby old data was completely wiped, and summary starting figures created for the purged data period, say as at the start of each tax year, for me 1 April 2018 so that…

Appreciate why you'd like to remove older data from your org after a long period, Steven. Generally we don't want to be touching our customers data, and this isn't something we have plans for implementing. However, we'll get a sense of the interest from others in this here, for our product teams to consider.

    Right now, if you'd like to remove older data there are a couple of options;

    • You could start a new organisation from the date you'd like to keep records from, setting up the organisation with conversion balances from that date. You could also export and import information from the old org to the new one.
    • Change the conversion balances in your existing org and remove older data prior to this date
  17. Under Customers Accounts, File Attachments - Move the View button for the attachment to the LEFT side and keep the Delete button on the RIGHT side of the attachment. NOT next to each other.

Multiple times, we have accidentally deleted important files from the customer contact account.

Hi Sherri, thanks for your feedback. I know you started your idea in the Navigation and Homepage forum however this appears to relate to the Contacts page where you attach files to a contacts record.

  18. Please add option in Xero Payment Services to pass Zip transaction fees to customer on top of my invoice amount. At least most of the invoice amount will be paid to me.

Like Stripe card payment service, pop-up could prompt payee to accept the fee on top of invoice amount. The 5-8% zip fee is too high to absorb for my sole trader businesses.

In Xero > Settings > Payment Services - the Zip payment service could have some settings just like Stripe card payments has to choose that option of including fees in the amount or adding the zip…

  20. I was wondering if it was possible to get surcharge not added into the total charge that stripe uses to get their processing fee. I always thought that the surcharge total would be like the money that they took their charge from which is why I added the surcharge anyway. It ends up being that stripe adds the surcharge in with the base charge on the customer invoice and then takes out their processing fee. I don't think that is right though. It should be a way for stripe to only charge their processing fee to the base cost of…

Hi Matthew, we really appreciate you adding your thoughts and voting on this idea. It's clear that having more flexibility around how Stripe surcharges are handled would make a difference—especially when it comes to simplifying reconciliation.

Not being able to exclude the surcharge amount from the Stripe fee calculation has come up from a few of you. It’s helpful to understand exactly where the pain points are and how they affect your day-to-day.

We’re going to keep this idea open so others can continue to weigh in. It's on our radar as we look at areas to improve, and your input here gives us valuable context as we make those decisions. Thanks for being part of this discussion!
