  1. When choosing item code and description, I want the ability to leave the rest of the fields blank. Classic invoicing had no problems with it. The new invoicing wants to populate QTY, UNIT PRICE and AMOUNT. Makes the invoice look unappealing.

    Hi community, appreciate the want for more of an update from us on this highly voted idea. Since Kelly’s last message I am pleased to let you know that our product team has done some discovery work in this space. More specifically, exploring the different ways in which the problem could be solved in Xero, alongside understanding the technical challenges. The feedback you’ve shared has been really useful for our product team’s research 🙏

    We recognise the importance of needing to know which bills are flagged, so people making payment can review whether a bill should be paid or not, to avoid inadvertent payment. Being able to improve this workflow is important to us and once we have solution concepts, we will be sure to reach out to this community for feedback.

    Right now there are no specific time frames available as to when this might be worked on, but…

  3. With the new invoicing the branding theme is not available which is an important feature for us since for different clients we had different branding theme. Can this be added to the new invoicing system? Please refer to the attached. We cannot switch to this new invoicing if branding them is not added and it seems in September we will not have a choice. Clicking on edit invoice is not a solution. This info was available with the old system without clicking edit invoice

    Hi Community, thanks for your interest and sharing why you'd like to be able to see the branding theme when viewing an invoice, without having to click Edit. Our team are monitoring feedback on this and while we don't have direct plans at present we will let you know if there's any progress on the idea, here.

  4. open attached files (especially PDFs) in the current window (same as old invoicing), not in a new tab which is automatically happening with new invoicing.
    is frustrating as you now need to go back and forth between tabs if you want to transpose info from the attachment into the invoice.
    Much more user friendly the old way with a resize-able/move-able viewing window within the same tab

    Hi community, thanks for your feedback on how you use files when invoicing. We're currently working on changes to how files are shown when viewing an invoice, to make this more consistent with other areas of Xero. Once released, viewing a file will open a modal on the same page as the invoice in your browser.

    However, we appreciate the need for being able to transpose information from a file to your invoice and our team are looking into improvements to enable this as well. For now we'll shift to Under Review and keep you updated of changes.

  5. Bills: unapprove option

    Have the option to unapprove a bill so it can revert back to draft/awaiting approval rather than having to void a bill and re-enter it.

    Hi community, we can see there’s lots of interest in this idea and appreciate all your feedback and comments. We absolutely understand the value that unapproving a bill would bring to your businesses. Unfortunately, while the concept is quite simple, the technical implementation within Xero is highly complex.

    The good news is that our Product team is still keen to solve this problem for you. They have a possible solution and would love to hear your response to validate their thinking.

    Put simply, instead of "unapproving", the solution would bundle the following tasks into a single action so that you can effectively "unapprove" a bill much faster.

    • Void the bill
    • Copy the bill
    • Reattach any files (IF any) from the voided bill to the copy of the bill

    A primary caveat to this is you could only action one bill at a time. So, if you had multiple bills that…

  6. More and more of our customers are requesting that we attached their purchase orders to the back of our invoices in order to be processed at their end. You can attach/upload files in 'new' invoicing but it would be useful to be able to send the attached files with the invoice at the 'approve and email' stage....

  7. Update new Invoicing to allow sending invoices to contact groups as you can in the classic invoicing. It's ridiculous that something so useful has been left behind in the switch to the new style. I need to be able to amend the invoices I send out based on the individual needs of the group. It saves so much time to be able to create a default set of drafts that I can amend rather than having to go to each individual and create an individual invoice within that group. Please guys, piull this across!

    Hi everyone, we updated this idea to Under Review a couple of months ago and to give a little more detail - We know being able to invoice all members of a Contact group is something that our users find valuable. While we don't have a timeframe for this change right now, we're committed to developing this in new invoicing before we retire the classic version. We'll keep you updated of progress through this idea.

  8. When searching for a bank institution, you all should allow for searches for the bank URL home page and also include a logo of the bank with each institution. For example, 'First Bank' has 40 different institutions and each sound similar to the next. Please consider creating better identifiers for each bank institution Xero integrates with. (QBO does this)

  9. OK so maybe it's obvious to you that Xero Product Ideas is under the 'Community' tab on xero central but can I suggest you mention it under 'Support' too, as that is where most people looking for help start?

    I tried searching 'feature request', 'request' etc on support and in the end had to open a case to find out you had a whole Product Ideas thing - I didn't think to look under 'Community' as I wrongly assumed that was just discussion.
    I can't be the only person who thought this way, especially when concerned about something that seems…

    Thanks for your suggestion, Alice. What you've said makes total sense and we're actually looking at ways in which we can better integrate Xero Product Ideas into Xero Central, as you've probably noticed, they are separate sites right now. One idea we hope to try out in the coming weeks is to see if we can bring Product Ideas into the search results in Xero Central . We'll also look at some other navigation options on Xero Central, like you've suggested.

  11. The filter right now only allows to select all or select/deselect some, but sometimes it would be easier to be able to just exclude something (an account, a group of accounts, a contact, an invoice etc).

  12. When a selecting the new invoicing platform, you lose certain functions.
    The first function that has been lost is the ability to copy invoice data to a purchase order - this feature needs to added to the new platform as some business use this to purchase items that have been sold from a supplier and makes sure there are no errors.
    The second function is when invoicing from Project the time entered for that project is no longer being allocated to an invoice and showing in the project as not invoiced, this will cause doubling up on billing.

    Hi community, I'm pleased to share with you that the Product team are investigating the first part of this idea - to copy invoice data to a purchase order in new invoicing. There's a few other bits of work lined up before they get to this but we'll be sure to return with an update on progress once there's more news 📰 

    As for the second function raised here, when you raise an invoice from Projects that includes tasks, time entries or expenses, if you change the project field on new invoicing the connection with Projects will be removed. To correct this, you can either void/delete the invoice and recreate it from the project or manually mark the time entry/task/cost as invoiced.

  13. Multiple contacts on a Project. Projects can currenlty only be built and linked to 1 contact at a time. However. in terms of training and events where there could be multiple contacts linked this is an issue. If Xero could add the option for multiple contacts this would be great. It would save all my issues in terms of tracking a job.

    Hi Megan, when your talk about the training and events could you explain a bit more of your business flow when using Projects? 

    Atm, you can create bills and invoices for different contacts and associated these transactions with a single project.

    Hey folks, thanks for the idea and support here. We appreciate all the valuable feedback and ideas shared regarding timesheet reminders ⏰
    We understand that the ability to easily remind employees to fill out timesheets would make things easier and save you time.
    Our product team is currently investigating potential solutions for this but at this early stage there are no specific time frames available. We’ll be sure to let you know if there’s any change, though!

It would be helpful and efficient to be able to make or add an account code straight from the "account code" dropdown in the bill/invoice/journal without needing to go to chart of accounts to make a new one. Currently, users still need to go to the chart and then go back to the bill/invoice/journal but since this refreshes the page, it erases all the data already filled up in the invoice.

    Hi all, appreciate how this suggestion would make life easier 😊 This is a feature that our team are looking to improve, and they have plans to enable a quick link to go to the COA (similar to quotes today). They do hope to enable the ability to add a new account directly within the Invoices screen however there are a few other pieces of work lined up before they can tackle that.

  16. I have discovered that the invoices as they appear in the Preview button of an invoice only gives a preview of how the online invoice will display. This is therefore different from the PDF version of the invoice when it is downloaded as a PDF or sent to my clients. The PDF version looks a lot messier and looks far less professional. It was informed that, it is currently not possible to make the PDF version appear like the Preview version, or vice versa. I would like to know if anyone else has some ideas of how to align the…

    Hi community, I'm pleased to share that the product team have been working on improving this area and are in the middle of a phased roll out for a new PDF preview experience 🎉 Once you've got it, you'll see a Preview button in the top right of the invoice, to the left of the Print PDF button.

    They're also working on a further improvement that combines the preview for the PDF and online invoice into one previewer, with the ability to quickly switch between the two. Being able to quickly see the PDF preview and the online invoice version will give you more confidence in what your customers will see and allow you to easily spot any differences between the two versions, so you can make any edits to your invoice template. We'll update you on this idea here once this becomes available.

  17. The new invoicing/quotes is a terrible downgrade for the price fields. It is incredibly strict with regard to numbers that can be pasted. Generally for prices, we are copy and pasting from a spreadsheet or another database. These will commonly have a comma for thousands and a dollar sign. The new quotes/invoices requires these to be stripped out and numbers entered strictly like this > 1111.00. It's a major annoyance and time waster.

    Thanks everyone, we thoroughly appreciate your feedback on copying & pasting data into quotes and invoices. Our team have made an update to quotes and you'll find it's now possible to paste numbers in with a comma and currency symbol $ / £ / € 👍

    We understand the same functionality is desired in new invoicing too and I'm pleased to let you know the Product team are aware and is something they currently plan to address, but at this stage time frames aren't available as there are a few other pieces of work lined up before. We'll keep you updated here though.

  19. Ability to close and lock a period for accounting and reporting purposes to ensure that, once figures are reported and published, those figures do not change. Any necessary changes (VAT rates, corrections etc) to source documents could be made but the impact should fall in the current, open period.

  20. As an event company, we often receive bills months after the original project is "complete". I wish I could assign costs to "complete" projects the same way that I can assign invoices to "complete" projects.

    Hi Leah, when you've closed/completed a project it is still possible to add Bills and new Expense tasks to it. 

    From the bill you'll be able to look up and assign lines of your Bill, or within the project you can simply add an expense. The only transactions you can no longer add once closed are Billable expenses, Spend monies and time entries. 

    Is there a specific reason you need to enter the expense as one of these type of items?
