Hey Amy, thanks for sharing your feedback and for explaining how an alert or “on hold” option in Xero Practice Manager would help you manage work for clients who owe outstanding fees. We are currently experiencing an ongoing workflow issue when a client has an outstanding invoice and further work is being completed.

Although a note can be added to the front screen or within the client notes section, we believe a dedicated “lock” function, similar to the existing tax return lock, would provide a significant benefit to our practice workflow.

The proposed lock function would prevent work from accidentally being completed for clients with outstanding invoices, while still allowing the client to remain active and visible within Practice Manager. This would ensure that all work in progress (WIP) and outstanding invoices remain visible, while providing the added security that our office policy is being followed — no further work is to be completed until the outstanding invoice has been finalised.

We believe this functionality would help reduce the risk of work being undertaken inadvertently, improve internal controls, and provide greater consistency in managing client accounts.

Thank you for considering this suggestion. We would greatly appreciate the opportunity to see this functionality introduced in a future update.
