Show leave balances on the payslip as days and hours. This would allow employees to better understand their leave balances without needing to do extra calculations.

AU Timesheet approval process upgrade
Timesheet approval process
- Give payroll admins the ability to move the status from "draft" to "pending approval" as is possible in NZ and UK or
- Give permissions to users with approval power to see the timesheet in the "draft" status through "Xero me" or
- Permit users with approval power to see the "timesheet" module in addition to "Xero me"

NZ Payroll - Ability to add a description field to pay template deductions
Will it be possible to have "description field" in the Deduction field of the Pay template? That can be changed or updated directly on the pay template. For example, to add the ending date for staff loan deductions.

UK Payroll report to include employee bank details - would like a report to run employee contact details which lists existing bank details
2 votesHi Joanne, thanks so much for all your feedback and comments on this idea. We totally get how handy it’d be to have a report in Xero UK Payroll that includes employee bank details.
Not having something like this can definitely add extra work and hassle—especially when you need to send bank info to a third party or double-check payments.
Right now, the idea’s in the ‘Gaining support’ stage, which means we’re keeping a close eye on how many people are voting and sharing their thoughts. The more input we get, the easier it is for us to understand how important this is and where it might sit in our list of priorities.

NZ Payroll - Auto accrual of alternative leave
Auto accrual of Alternative Leave - It would be great if there was a permanent payment item setup in Xero for public holidays worked, and when it is used Xero automatically accrued the alternative leave earned. Or at least make it more obvious that you have to manually adjust the alternative leave accrual in each pay.

UK Payroll - PAYE only Tronc Pay Item
Tronc pay item to be set up as PAYE applied only. Currently there are 2 options but one has PAYE and pension applied, the other has PAYE, NI and pension applied.

NZ Payroll - format figures on payslips to be two decimal points
Suggestion to format payslips in Payroll so that the earnings quantity and earnings rate are limited to two decimal points for ease of readability for staff.

UK Payroll - Add filters to all reports, i.e. leave overview and Auto enrollment.
It will be great to have meaningful payroll reports. E.g., the leave overview is a blunt tool, as it shows all employees, including those who have left. The same applies to the Auto Enrolment Summary Report - it is a basic on-screen report with no filters, etc. And, yes, includes historical employees. Where there are filters, these overlook some choices which should be present. E.g., wage type, which payroll runs are they- monthly, quarterly, weekly, etc

NZ Payroll - Notification when an employee is added or removed
Can we please have an automatic email notification to the subscriber when a organisation adds or removes an employee - This would be required for the purposes of updating billing when the ability to add additional employees for $4 takes place in September 2025.

AU - Payroll Activity Summary to show per employee
Payroll Activity Summary to show per employee, not just as a total for all employees. Currently you have to select each employee to generate the totals for 1 employee and if you have 100 employees, that's 100 reports instead of just 1.

Payroll - Untick all Employees
For catering companies, or any business with many employees or recurring weekly staff, payroll can become stressful and very time-consuming. This is because all employees need to be unticked before running payroll for only those who actually worked in that specific week. Other companies face the same issue as well. Is there any shortcut to untick all employees at once before preparing payroll for the employees who actually worked in that week?

We understand that manually deselecting employees one by one is time consuming, especially for those who have a large number of employees but only need to process a pay run for a few. We will keep this idea updated as we move through any design and development phases.

AU Payroll - Employee Remuneration - Ability to view date employee last paid
Payroll report (or add field to existing), "date employee last paid".
We have a lot of seasonal adhoc casuals, it would be good to have a column in payroll reports showing the last pay-period they were paid in. We'd use this to off-board employees we haven't paid in a certain period of time (i.e. 12 months). Payroll Journals - Customise Description for Transaction Reports to provide better context
When running reports to review Staff costs & looking into account transactions, Payroll journals provide descriptions that don't give correct/clear context. For example, under Employers Pension Contributions, the description provided is "Benefits" rather than Employers Pension Contributions. Or under Employment Costs it just says Earnings rather than "Gross Earnings". A final example was when an employee took unpaid leave, however the only description provided was "Deductions". This does not reflect clear context. It would be helpful if Xero had the means to be able to customise these descriptions or maybe have the option to ask Payroll/Reports to mirror the descriptions…

We understand that you've been using workarounds like exporting reports to Excel and manually editing them to get the detail you need. While this can help in the short term, we recognize it is a time-consuming process that shouldn't be necessary.We've shared your valuable feedback with our product team. AU Payroll - Payrun history expand or collapse button OR group in payroll years
Ability to have an expand and collapse button for pays previously posted and presented under Pay Run History.
After using Xero for a number of years, locating a previous pay run becomes looking for a needle in a haystack as this section is just a swamp of pays.
Grouping in payroll financial years or having a date filter would assist greatly also.

As pay run history builds up, it can definitely get a bit tedious trying to scroll through and find what you need. Having a more organised view would really help when you’re digging into older payroll data.
As a temporary workaround, you may find it helpful to use Ctrl + F (or Command + F on Mac) to quickly search the screen for a specific date or payroll year. We know it’s not a perfect fix, especially when there’s a lot of data, but it might make things a little quicker in the meantime.

NZ Payroll - Option to remove Salary Hours on Payslips
Please update to have the option of removing salary hours on payslips.
We just need the Gross Salary for that line and not the hours.
When we have employees working accross different days of the week Xero Payroll round the hours and so in our example someone on 100 hours working 11 days per fortnight, Xero Payroll rounds the Salary Hours to 99.9999 on the payslip which is close but not correct. UK Payroll - Monthly P30 report
It would be great if Xero Payroll could produce a Monthly P30 report which we can send to our clients with HMRC bank details and the Accounts reference, with the month reference on the end.

AU Payroll - Automatically remove allowances in payslip during annual leave
When calculating annual leave the ordinary hours changes to include allowances. The loading is then based on this figure. However the allowances are still included as separate lines on the pay template and need to be removed manually. Can this be automated as it needs to be done manually for all employees for every annual leave period?
I can opt not to include allowances in the calculation, but it makes sense to gross up allowances in the ordinary rate for this purpose.1 voteThanks Lisa, for sharing your idea! NZ Payroll - Allow employee date of birth to be optional
Please remove the requirement to have a date of birth for an employee.
We have been asking for this to be removed for years, Xero recently told us it was an IRD requirement. We contacted our account manager at Inland Revenue and they said it is not an IRD requirement and that they have been in contact with Xero Payroll to make the field non-compulsory.
The workaround that Xero gives of adding a made up date does not work and causes issues where IRD send letters that the date of birth does not match that client.
