Hi everyone, thanks for your feedback on adding employee numbers to employee records.
Currently Xero uses unique identifiers for employees which are included in STP files sent to the ATO, however there’s currently no ability to add employee numbers to employment records.
After reviewing with our product team, this feature isn't currently on our roadmap so we'll update the status to 'Not in Pipeline'. As an alternative, payroll admins can use the Notes section or adapt an existing field in the employees record to assist with identifying employees.

Why Having an Employee ID Field in Xero is Critical:
Unique Identification: Each employee needs to be uniquely identified in a payroll system. Having an Employee ID in Xero helps avoid confusion when there are employees with similar names, ensuring that data is tracked and stored for the correct person.
Data Integrity: The Employee ID field ensures that records related to payroll, taxes, superannuation, and personal details are associated with the right employee. This minimizes the risk of errors in payments or compliance reporting.
Streamlined Reporting: Employee IDs make it easier to generate accurate reports, such as payroll summaries, tax statements, or timesheets, without needing to rely solely on names, which can be prone to errors or duplications.
Audit and Compliance: Having a distinct Employee ID improves the traceability of records, making audits easier. It ensures that all transactions, benefits, and tax information are correctly associated with the respective employee, which is crucial for compliance with employment laws and regulations.
Integration with Other Systems: Many organizations use multiple software solutions (HR, payroll, attendance tracking). Having Employee IDs ensures smooth integration between Xero and other systems, as the ID is used as a consistent reference across platforms.
