  2. When emailing an invoice to a customer there is an option to insert a link to the invoice. However the link is always placed at the end of the message and I have to cut and paste it where I want it in the message.

Could the link not be inserted where the active cursor is instead? Saving the user the hassle of moving the link.

    See mock up.

Hi community, with the improved send experience in new invoicing you'll find this is now possible.

When you add the Online Invoice link through placeholders, you'll see it is automatically inserted wherever the cursor is placed in the email on the left and you can get an instant visual of what this looks like to your customer on the right. 😊

  3. Classic invoicing feature missing from new invoicing format

Some of our clients like to prepay so there are often credits to use. Upon approving an invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new invoicing to indicate there is a credit available you have to go and manually check. As well as not informing you of an available credit, if you look at the new approved invoice there is no way apply an existing credit (only to create and apply a new…

Hi Claire, when you approve an invoice for a customer that has available credit, you'll receive a prompt. If you choose to 'Skip for now', you should see an option to 'Apply credit' on the approved invoice. I've attached a screenshot of these in new invoicing.

If you're not seeing either of these options, I'd suggest double checking the name of the contact the credit note has been created for, and raising a case with our specialists at support to take a deeper look into things with you.

  4. Ability to show date and time stamps, to see when the report was run.

Purpose: This will help users to do their Audit Trail.

Hey community, thanks for your continued interest in this idea. Earlier this year we delivered some updates to reports, so that they’ll now show page numbers and date stamps when exported to PDF.

This is an idea that was seeded by the community team when we launched Product Ideas back in 2022.

The Product team has done some great work to address the original request but reading the commentary here, the scope of the idea has grown a bit since then!

We’re confident that this release solves the original request so I’ll be marking this as delivered.

There are additional improvements that have picked up some momentum in the comments: to make the date stamp toggle-able, and to extend the field to include time as well. To be open we don't have plans to progress these specific asks.

Hi everyone, highlighting in the bills list view is now available 😊

Now, when you select bills these'll be highlighted on the screen. Thanks for voting and sharing how we can improve Xero for you.

  6. In the same way that we have 'Approve & View Next' for invoices in the draft and awaiting approval sections, it would be useful to have a 'Skip to Next' function in the event that you are missing information or unable to approve at that time. This would certainly save several clicks and make the process more fluid.

Hi team! Our new quick view feature in bills allows you to simply view your bill and it's details without having to leave the list view.

Move from one bill to the next using the arrow options and once you've reviewed make bulk actions by selecting multiple bills and using the list bulk action options like Batch pay, Approve, Add planned date, Print or Void 🥳

  7. I have a Monzo business account that's reconciled with Xero. When I upload the receipts to Monzo they don't come over into Xero. Are you planning to add this as a feature? If not with Monzo do you offer this with any other accounts like Pleo? It would be good to attach the receipts in Monzo as they happen as they show in Monzo straight away.

Hi Emma, you can connect your Monzo account with Xero to import your transactions. We have a bit of detail on the criteria for automatically importing data from your Monzo account and the steps of how to connect this in Xero Central.

If you have more questions on this I'd recommend connecting with our specialists at Xero Support through the Contact Xero Support link at the bottom of the page there.

  8. Add the following to reports:
Supplier Activity Statement to compare with the statement received from your suppliers.
Alternatively - enable a Customer and Supplier DETAILED LEDGER as per usual accounting practice. This should be standard within Xero.

Hi all, with no response from my last update we are going to shift this to delivered with the ability to run the Aged Payable or Receivable Detail reports where you can set the Ageing periods to be Day, Week or Month based on your choosing. If needed you can also filter these reports by Contact.

For ageing periods on a customer's statement -  we have an idea for this that we've shared on and to be upfront we don't have any plans in the foreseeable future.

Supplier statements have been discussed on a different idea. However, we want to be upfront this isn't planned.

  9. I do not know if there is a way to do this if so it is not too simple. I would like to allocate a payment from the Bank to a Supplier but to not allocate it against any invoices. This would not be a new invoice but would sit on there account so it is easy to know what they owe a supplier. This idea would be similar to Sage "Payment on Account" which is very simple to do on Sage.

Hi team, the way to do this in Xero would be to reconcile the payment as an overpayment or a prepayment. This would then be credit on a suppliers account that could be applied to a bill at a later date.

Best to connect with your adviser if you're unsure which transaction type you should record these as, however we have a bit more information on these here and here respectively. 😊

  10. To be able to bulk change settings for customer or suppliers.. for example, all of our customers and suppliers (4000+) were added to Xero but have all been pre set to include 20% VAT when invoicing.

But not all of our services are VAT chargeable, now whenever we invoice the VAT rate is pre set, causing us to need to remember to remove it. We can individually change this per customer or supplier to use our organisations own setting, in which this pulls from our schedule of rates. But to have the ability to change this in bulk would make…

Hi Mabyn, sorry for not rounding back to your idea sooner. This should be possible through imports. To bulk update your contacts in Xero, you can export your current contacts list, make adjustments (in this case it sounds like you'll want to update the 'AccountsReceivableTaxCodeName'), then re-import your contacts list to Xero.

As long as you don't change your contact's name this will updated the details of that contact when imported to your organisation 🙂

  11. Bulk update account for multiple line entries to allow for easier reanalysis of multiple line items within the software.

Include a feature to make it easier to change the account for multiple line entries at once through the supplier side to make it easier when bookkeeping to reanalyse multiple line items, rather than editing them one by one if they get reanalysed within the accounts.
I.e. for a client I originally posted all AXA payments as insurance, in the accounts they were reanalysed as other staff costs, at the moment I need to edit every single line item included in…

Hi Adam, we have a feature called Find and recode that will enable you to bulk update the account code for multiple lines at once. You could filter by the contact and then recode whatever lines of transactions as needed.

I'd recommend giving this a try in the demo co first and potentially working with your accountant before implementing this in your organisation. Have more of a read on this here.

  13. The client has been using Hubdoc for uploading the bills into Xero. How can we record the part payment for the bill during the reconciliation in Xero please?
In general, we use "Split" to record the part payment but we are unable to see the split on Hubdoc bill

Hi Just a heads-up that this is a public forum for discussing improvements to Xero, rather than finding support with using Xero.

    To do this you could:

    1. View the bill and scroll to the bottom to the 'Make a payment' section.
    2. Record the part payment here, directly on the bill.
    3. Finally, use Find & Match to reconcile the bank statement line with the part payment.

If you need any further assistance with this, or anything else in Xero, please raise a case with some details on Xero Central, and our Support team will be happy to help.

  14. There is a need to manually edit the amount of GST paid instead of using Xero's calculation. For example, for credit card merchant fees, merchants calculate GST based on individual transactions and sum up the total GST payable, add onto the merchant fees for the total amount payable. As Xero calculate GST based on the total amount, there is a difference in the GST payable. Other accounting systems allows you to adjust, and it will automatically adjust the total amount. Without this feature, we have to use either rounding (for below 0.10c) or add a new line item. The problem…

Hi 👋 Xero calculates the GST on each line item in invoices, bills and other transactions. The GST is then rounded to the nearest cent. The total GST is the sum of these amounts.

We don't offer alternative rounding methods but if you have the global or Singapore versions of Xero you can enter a tax adjustment if you want to.

    Simply,

    1. Select the Tax Exclusive option in the Amounts are field.
    2. Edit the amount shown in the Tax Amount box - if this box isn't showing, click the + symbol next to the Tax Rate heading

We have more information in our article here.

Hi team, you could use the Account Transactions Report here. When you run this report, select the bank account, then sort the results by the relevant amount column, this will group any items for the same amount together.

  16. The ability to see current month figures together with year to date on a trial balance report. This was possible on the old version of the trial balance but not on the new version.

Thanks for adding input and sharing how this idea could help with your business.

Taking on board feedback, and considering some of the changes we've made across reporting recently we wanted to highlight the General Ledger Summary report that can be set up to meet your needs here. 🙂

You can set up the new General Ledger Summary report to run for a 'Month' date range, and select to include Opening and Closing balances.

With this run, Debit and Credit columns will only show the movement within the period, while the closing balance will be the YTD figure for the account (showing as positive or negative).

If you find this handy, you can save it as a Custom report rather than having to set up the layout each time you'd like to run the report.

  17. Filter Compare Tracking Report by second tracking category - run the compare P&L report with the P&L down the left and the categories across the columns but then be able to filter the transactions within this report by the second tracking category.

Hot anticipation for this idea - We're pleased to share that this change is going live! (If you don't quite have it yet it'll be with you in the next 2 days)

If you use Tracking in your org we've added a new 'Compare tracking categories' option on the front page of the newer Profit & Loss.

While the older version had a limitation of selecting 100 options at a time, the team have doubled this, so now you can select up to 200 tracking categories to view at once.

    In terms of activity

    • Archived tracking options won't be shown by default but there is a switch to view and select these if you choose.
    • When run, the report is designed to only show columns for tracking options that have had activity within the date range the reports run which should help you zone-in, and get a better view of…

Hey community! Thanks to everyone who added their votes and comments to this idea, and took the time to respond to our survey earlier in the year.

Based on this community's feedback, we've gone ahead and implemented Option A: Unmerge all cells today.

Now when you export to an excel file, you'll find that there are no merged cells.

Heads up! As a result of this change, if your business has an especially long legal name (more than 60 characters), you may need to manually merge and wrap cells for better printability 🖨️

  19. I have discovered that the invoices as they appear in the Preview button of an invoice only gives a preview of how the online invoice will display. This is therefore different from the PDF version of the invoice when it is downloaded as a PDF or sent to my clients. The PDF version looks a lot messier and looks far less professional. It was informed that, it is currently not possible to make the PDF version appear like the Preview version, or vice versa. I would like to know if anyone else has some ideas of how to align the…

Hi everyone, recently we made a change to the Preview option in new invoicing. Now, when you select to 'Preview' in new invoicing this'll open a new browser tab with a view of the PDF of the invoice. This means you can also see how your invoice will look to the customer with a docx / advanced branding theme applied.

Our team are also doing more to look into how preview works and how your invoices look. We'll update again if there's more development to share.

  20. There is an issue with the new GUI for invoices in xero. My work flow requires making multiplke repeating invoices from a standard invoice. At present this can be done by creating a draft, and then converting the draft invoice to a repeating invoice. The draft stays put in the drafts folder and can be converted into a new repeating invoice. Once I have set up all the repeating invoices I require, I can delete the draft.
The option to create repeating invoices from drafts in the new GUI has been removed. Where is it?

Hi community, we have just gone live with the ability to create a new Repeat template from a Draft invoice 🎉

You'll find this option from the 3 dot menu within a draft invoice. Thanks for your input through this idea.
