  1. I get a monthly insurance bill for all my rental properties. Would like to associate the cost of each to the appropriate property.

    Hi Coleman, this is possible with the use of Tracking. You could set up one of your tracking categories as properties and list each of your properties as an option. Then when you're entering documents in Xero you can assign each line of your bills, invoices and other document types to the property it relates. 🙂

  3. When managing the finances for rental properties it would be great if a default rate could be set up against the 'Account' for rent payments so that the Unit Price ie weekly rent, doesn't have to be entered each time (52 times a year)

  4. Add another option on the SAVE button for Supplier Invoice entry (and Sales I guess but we don't use XERO for our Sales) to enable a previously entered invoice to be copied from and then SAVED as a RECURRING INVOICE. There have been many times I would love to have had this option.

  5. If I use the Receive Money option from the menu: when selecting the customer I would like Xero to give me an option to SELECT INVOICE to apply money to OR create a new transaction. Much easier than going to customer - add payment etc. Again look for some inspiration from other products.

    Hi Hennie, if an invoice already exists related to a payment receive money should not be used. Rather than having to add a payment to the invoice or bill, you can simply use the Find & Match tool within the Reconcile tab to locate and match with the statement line.

  7. Allow the Xero app to take photos of receipts at the time of purchase. To reduce the number of steps to get a photo of a receipt attached to a transaction.

    Ideally then when reconciling credit card transactions, the receipts will already be in Xero and they would pop up as a suggestion, based on the date of the transaction with the date the photo was taken.

    It would also be ideal if you could view the receipt whilst coding, like it does when you are viewing a draft bill to pay.

  8. When importing a bank statement, it would be great if just before completing the import, Xero could show the end bank statement balance based on the existing bank balance and the transactions that are about to be imported. This could then be checked with the actual bank statement to make sure it matches.

  9. When a sales invoice is created, there should be a place where i can see what is the gross profit. If not, I would have to go back and forth between the inventory module and the sales invoice module to maunally calculate.

  11. Classic invoicing feature missing from new invoicing format

    Some of our clients like to prepay so there are often credits to use. Upon approving an invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new invoicing to indicate there is a credit available you have to go and manually check. As well as not informing you of an available credit, if you look at the new approved invoice there is no way apply an existing credit (only to create and apply a new…

    Hi Claire, when you approve an invoice for a customer that has available credit, you'll receive a prompt. If you choose to 'Skip for now', you should see an option to 'Apply credit' on the approved invoice. I've attached a screenshot of these in new invoicing. 

    If you're not seeing either of these options, I'd suggest double checking the name of the contact the credit note has been created for, and raising a case with our specialists at support to take a deeper look into things with you.

In the same way that we have 'Approve & View Next' for invoices in the draft and awaiting approval sections, it would be useful to have a 'Skip to Next' function in the event that you are missing information or unable to approve at that time. This would certainly save several clicks and make the process more fluid.

    Hi team! Our new quick view feature in bills allows you to simply view your bill and it's details without having to leave the list view.

    Move from one bill to the next using the arrow options and once you've reviewed make bulk actions by selecting multiple bills and using the list bulk action options like Batch pay, Approve, Add planned date, Print or Void 🥳

  14. I have a Monzo business account that's reconciled with Xero. When I upload the receipts to Monzo they don't come over into Xero. Are you planning to add this as a feature? If not with Monzo do you offer this with any other accounts like Pleo? It would be good to attach the receipts in Monzo as they happen as they show in Monzo straight away.

    Hi Emma, you can connect your Monzo account with Xero to import your transactions. We have a bit of detail on the criteria for automatically importing data from your Monzo account and the steps of how to connect this in Xero Central.

  15. I do not know if there is a way to do this if so it is not too simple. I would like to allocate a payment from the Bank to a Supplier but to not allocate it against any invoices. This would not be a new invoice but would sit on there account so it is easy to know what they owe a supplier. This idea would be similar to Sage "Payment on Account" which is very simple to do on Sage.

    Hi team, the way to do this in Xero would be to reconcile the payment as an overpayment or a prepayment. This would then be credit on a suppliers account that could be applied to a bill at a later date. 

    Best to connect with your adviser if you're unsure which transaction type you should record these as, however we have a bit more information on these here and here respectively. 😊

  16. To be able to bulk change settings for customer or suppliers.. for example, all of our customers and suppliers (4000+) were added to Xero but have all been pre set to include 20% VAT when invoicing.

    But not all of our services are VAT chargeable, now whenever we invoice the VAT rate is pre set, causing us to need to remember to remove it. We can individually change this per customer or supplier to use our organisations own setting, in which this pulls from our schedule of rates. But to have the ability to change this in bulk would make…

    Hi Mabyn, sorry for not rounding back to your idea sooner. This should be possible through imports. To bulk update your contacts in Xero, you can export your current contacts list, make adjustments (in this case it sounds like you'll want to update the 'AccountsReceivableTaxCodeName'), then re-import your contacts list to Xero.

    As long as you don't change your contact's name this will updated the details of that contact when imported to your organisation 🙂

  17. Bulk update account for multiple line entries to allow for easier reanalysis of multiple line items within the software.

    Include a feature to make it easier to change the account for multiple line entries at once through the supplier side to make it easier when bookkeeping to reanalyse multiple line items, rather than editing them one by one if they get reanalysed within the accounts.
    I.e. for a client I originally posted all AXA payments as insurance, in the accounts they were reanalysed as other staff costs, at the moment I need to edit every single line item included in…

    Hi Adam, we have a feature called Find and recode that will enable you to bulk update the account code for multiple lines at once. You could filter by the contact and then recode whatever lines of transactions as needed.

    I'd recommend giving this a try in the demo co first and potentially working with your accountant before implementing this in your organisation. Have more of a read on this here.

  18. The client has been using Hubdoc for uploading the bills into Xero. How can we record the part payment for the bill during the reconciliation in Xero please?
    In general, we use "Split" to record the part payment but we are unable to see the split on Hubdoc bill

    Hi Just a heads-up that this is a public forum for discussing improvements to Xero, rather than finding support with using Xero. 


    To do this you could:  

    1. View the bill and scroll to the bottom to the 'Make a payment' section. 
    2. Record the part payment here, directly on the bill. 
    3. Finally, use Find & Match to reconcile the bank statement line with the part payment.


    If you need any further assistance with this, or anything else in Xero, please raise a case with some details on Xero Central, and our Support team will be happy to help. 

  19. It would be really helpful when in the Transactions by Tax Rate or Transactions by BAS Field tabs in the Activity Statement if you could collapse by the Tax Types. It is currently very cumbersome navigating these screens for businesses with high volumes of transactions. If you want to view the GST Free Expenses, you will have to scroll through hundreds of transactions and hope that you find the GST Free Expense heading in amongst all of them. The current work around is to export to Excel and manage the data that way, which isn't always ideal.

    Hi Amy, I'm pleased to say that we've recently introduced this feature, making several improvements to the GST transactions report:


    • The 'Transactions by Tax Rate' and 'Transactions by BAS Field' tabs have been combined into a single view, now accessible through a 'By Tax Rate vs By BAS Field' filter.
    • Users can now filter transactions by specific BAS fields, tax rates, or both, a feature that is particularly beneficial for organisations with a large volume of transactions.
    • A wider view has been introduced for better visibility
    • We've also added a sticky top header for easier navigation.
  20. Custom Reports: It would be great to be able to add a formula row in the custom reports that can display as a percentage. For example GP% and NP%
    Or just have the ability to add a GP% and NP% row.
