  1. When you view a contact, you are able to see outstanding invoices and quotations from this contact. But it will be helpful to see quotations that have been accepted by this contact to make invoicing easier.

    Hi community, I’m pleased to share that Additional Notes for a contact are now live to everyone!

    As mentioned in my last response - You’ll find the feature available to use when adding or editing a Contact, at the bottom of the Contact details section.

    You can edit the contact at any time to edit or delete text that you’ve entered in this field. Once saved, you’ll see the saved text shown in the right panel of a Contacts record.

    To confirm, this does not apply to notes that are added to the History & Notes of a Contact. If you'd like the ability to edit and Delete notes we'd recommend using the additional notes option.

  3. Search for inactive contacts eg. not used for 2 yrs, then archive them as a group.
    Many customers use our services once, then never again. Since Hubdoc is sooooo slow to search, & one of the recommendations to counter this is archive unused contacts I have been looking into this. But when there are lots of contacts it is not possible to go through contacts individually.
    Result - Hubdoc works poorly in this area but the recommended workaround is impossible to implement. PLEASE FIX HUBDOC!!

  4. I have a large number of suppliers in Xero and it can be hard to keep track of what each of them do. Whilst I can put them into broad categories /groups, that is not enough. I would like to have a 'notes' field on contacts so that I can put some information about each of them (searchable if possible) as well as some notes as to whether they are good payers (in the case of customers) or other useful information. This will also extend the basic CRM functionality that already exists for customers.

  5. When generating a sales invoice for new contact to have the ability to add the primary contact name and email so that email can be emailed to primary contact name without editing the contact first.

    Hi community, sorry we've not looped into this idea sooner. You'll now find with new invoicing that you can add a new contact and their details, or edit a contacts details without having to leave the page. 

    When you add a new contact, this'll open the modal for the Contact card and from here you can add the Contact name, Email, Billing and Delivery addresses, and or phone number. 

  6. It would be great if we could search from within a customer or supplier record for a specific invoice or bill number.

    It is difficult at the moment to search as
    1) there are always notes in the way that can't be hidden
    2) you have to exit the customer/supplier to find the screen where a search is available.

    Having used other accounting packages, I was shocked to see this wasn't available within Xero.

    Hi team, sorry we've not returned to this idea sooner. You'll find with some of the updates we've made to the contacts record it is now possible to view transactions in separate tabs within the Activity of a Contact, and are also able to search transactions in the tab by amount, reference or invoice number 🙂

  7. The validation for the max length of the Country field in a Contact Address "appears" to indicate that up to 255 characters is permitted.

    This is false and entering a string > 50 does not surface the UX message but will cause the SAVE of the address to fail.

    The 50 number/limit is mentioned elsewhere in Xero documentation

    It goes without saying that the bland message "There is 1 error on the form" is pretty unhelpful

    Thanks for raising, Peter - Appreciate the confusion with the '255' reference that you were getting before. Our team have made a change and you should see that the error that appears now indicates that field cannot be any longer than 50 characters as per my image below. 

  8. Until very recently our staff with INVOICE ONLY permissions could add notes to contacts, not just view them. We are at a loss to understand why this functionality has been taken away as it is not a security issue in any way. Adding a note to say that you have telephoned and what the content of the call was was crucial for someone chasing payment and adding other pertinent customer notes.
    Please can we have this back?

    Thanks for raising, Jo - I can confirm this is something our team looked into and were able to restore quite quickly. 

    You should find Invoice Only users have access to add notes to a contacts record again now. 🙂

  9. Using Search, I want to generate a list of my customers that don't yet have any invoices at all (or none in the last year).
    This is the best way for me to see which customers have not yet done anything.

    Hi Scott, this is actually possible with Smart Lists in Contacts. 

    You can run a new search for customers that have been Invoiced less than 0 Ever (see my image below), which will give you a result for any contact that has never been invoiced in your org. 

    Similarly you can set this for a specific Invoice Status or base the search on Payments. 🙂

  10. When downloading or sending statement to Client be able to Edit what can be seen - ie the Reference column isn't big enough to show a large PO number or reference.

  11. This is a basic need. In the past, it was possible to set VAT country as NONE to add the tax number, now in the new UI is not possible, since the UI requires selecting a country. Please fix that as soon as possible, since we need to add the tax number on the invoice to non-EU countries!!!

    This has now been changed so that you can edit the Financial Details for a contact, and set VAT to None, then enter a tax number for them.

  12. Would it be possible to add a link to each invoice that the customer can use to view all their outstanding invoices

    Hi Candice, this is already possible. There is a link that you can choose to include when sending an invoice to a customer from Xero that they'll be able to click through and view all outstanding invoices they have with you - See more on this here

    For security the user email that clicks on the link will need to be listed on the contact record in your org, otherwise they'll receive an error.

    Hi team, this is available through the Payable Invoice Detail or Summary reports at present which can be filtered for a specific supplier. Alternatively, you could run the Supplier Invoice Bills Activity report (found in the Contact Transactions Summary)

  14. When viewing a contact it would be helpful to have all the invoices or bills listed by "date". Currently they are listed by "activity date" but that is not relevant if I'm searching for an invoice. It can be changed manually, by clicking "date" twice (first time it brings oldest to the top!), but it's a very basic normal thing to look for invoices by the invoice date.

  15. Customer has asked if there is a link that would enable them to see current and historic invoices - apparently there isn't a way to do this.

    Background: we email customers invoices every week through Xero. Occasionally the email's fail to arrive although Xero says they have been sent.

    Our customer has said 'surely there is a page where I can see current and past invoices so I don't have to hassle you'

    A Customer Activity statement would be a good first measure, Jane. 


    Appreciate it doesn't help where there email is not received - when initially sending invoices, it could be good to include both the online invoice link and a copy of the PDF so your customer has 2 routes to be able to look these up later. 


    You could also look to set up and include a link for your customers to view 'Outstanding bills' online.

  16. New VAT numbers have been introduced for Northern Ireland - starting with XI. Xero rejects these new VAT numbers with both UK & Ireland options in the country box. Can you please update Xero to accept the new NI VAT numbers. Thanks

    Thanks for sharing back on this, Liesl. Checking in with our team I'm pleased to share this is possible. 


    While Northern Ireland isn't a direct option in the drop-down menu, you'll see there's a 'None' option - Selecting this will allow you to enter the VAT number in any format, such as you've noted here 🙂

To be able to create a Mailer list of our customers with all the relevant details on an excel worksheet, for example, Name / Address / Contact name / e-mail details, etc. The report would allow us to fill in the period of time we require to see when new customers had started with the company, and customers that have purchased within a certain period of time, for example for the last 2 years.

    This would assist when we need to create, reporting for sales, labels for a mailer to send out marketing information and also if we wish to…

  18. Move the NZBN field so that it is in the "Contact Details" section instead of the "Financial Details" section. This would enable the NZBN to be visible to, and sync with, Hubspot. As it stands the bi-directional Xero-Hubspot integration cannot see the NZBN field.

    Hi Tony 👋, the team have made some smaller changes since the release of the new Contacts add/edit screens. 

    We appreciate the feedback from our customers and based on some of this the team have moved the NZBN field back within the Contact details section. 🙂

  19. "I have just read another closed thread, about community users votes having increased to 10, so am starting this new one as suggested by Brittany in that closed thread...

    I don't go looking for features to vote on, but do search community for existing conversations on anything I am having issues with in Xero, either for answers on overcoming it, or to vote on an improvement to something that is directly impacting on efficiency of my staff and functionality we use in Xero.
