Practice Manager - Bulk Data Updates
It would be great if we could bulk update data (default fields and custom fields) and have options on how we want to update the data.
For example, if we want to update the 'Manager' field, we could choose to base this on the group or client, and:
- Update all groups/clients to John; or
- Update all groups/clients that are currently Sam to John, and have a check box to untick any groups/clients that are to be excluded; or
- Update by manual selection - tick/untick the groups/clients that require the update.
We recently created a new custom field to replace/combine two other custom fields. To update this, we had to go into each client individually, go to the new custom field, select the new option, and then delete the previous fields. This can take quite a lot of time when updating hundreds or thousands of clients! It would have been much easier and quicker if we were able to pull a list of clients and bulk update, e.g. if '' field is 'select option', then update 'YYY' field to 'select option'. This would work similarly if the change was in the same field, e.g. if '' field is 'select option', then update to 'select option'.

Totally agree - would be fantastic if like the bulk updating of addresses system would prompt do you want to update rest of the group. The other part to this would be if you update partner or manager on the front screen for it to give us the option to update all jobs as well

It would be great if we could, for a client with relationship linked in Xero, if we update the manager in one client's details page, the system give us a prompt where we can tick whether we want the manager changed for the others. Just like the function XPM currently have with client's address updates. Thank you

Hi Maneesha, although that is an option, we were hoping for a rule approach to potentially be introduced to keep it in the system and feel more confident with the accuracy of the changes. Thanks for the input though :)

Hi Melanie, have you tried the export/import function in XPM? We have used this to update our client list in bulk incl. updating the Partner, Manager and custom fields. I found it is good to export the report, delete all but 3 or so clients from the excel file, make the changes and import the file first just to make sure it is working okay and then I repeat the process with the full list. https://central.xero.com/s/article/Import-your-client-file
