Hi everyone, thanks for sharing your feedback on this idea. We appreciate you explaining how important more flexible user permissions are for your businesses. We understand having granular control over who can create, submit, and approve quotes and purchase orders could help many of you implement better internal controls and protect sensitive financial information.

This idea is now moving to In Discovery, which means our product team are reviewing the viability of the idea as part of wider development of the permissions/user role functionality in Xero. We'll keep you updated here as we learn more.

Happy to hear this is in discovery phase. We need more granularity of user roles as well. In particular, my clients have sales staff that create quotes, and upon acceptance by the customer, need to set up the ability to require/request deposits to get the order started or set up progress or step payments. It's very clunky to have that sent back to my staff and have them set it up, send it out, AND get all the responses which then have to be forwarded and managed on top of all our other work. This is basic level stuff for all other accounting programs. I saw some minor (and I mean minor) updates to user roles in the most recent Xero updates. In other systems I have used in the past, I was able to set permissions on a field by field basis. Xero, please think through work flow of various people who use Xero on a limited basis and all these scenarios for permission levels. I hope the recent updates mean that more are coming and in the near future as it is a real impact on work flows.

Hi everyone, appreciate your feedback on merging chart of accounts. We understand how this could be useful for tidying up accounts, especially after system conversions or when duplicate accounts appear.

While there’s no merge function right now, there are a couple of options that might help:

    • You can use Find & Recode (available to users with the Adviser role) to move transactions from one account to another before archiving the accounts. We know this won’t suit every situation, as it requires unlocking periods.
    • In financial reports, if you have several related accounts, you can edit the layout to group them for easier review and analysis.

After reviewing this idea, the product team has noted this is Not in pipeline, meaning it’s not something we’re planning in the near term. The idea will stay open for votes, and we’ll continue keeping an eye on the level of interest here.
