Managers need permission to approve their teams' timesheets in addition to approving their leave.
Managers need permission to approve their teams' timesheets - in addition to approving their leave. Managers need to sign both off.
We cannot give all managers full payroll admin access - confidentiality is a big issue as well as anyone can then change permanent bits/change leave opening balances etc. So much room for error.
We note you have updated permissions, but you cannot untick any boxes in the payroll admin screen nor give access in employee user to access their teams' timesheets.
So, guess even if you give this permission the next issue will be that they only need to…

Users Settings - Alphabetical order
I would like to Xero to revert Users back to alphabetical order again. Or at least give Admin permissions to sort. Alphabetical is much quicker when looking to see if someone already has permssions.
4 votesThanks for the feedback, Cecily. I've shared this back with our team and I'll update you here if there are any changes in the works for the ordering of users.

Permissions - Ability to set level of Approvals for different transactions
Hierarchy of approvals of bills and Purchase orders
eg Invoices over £1000 go to tom to approve
70 votesWe appreciate the feedback and interest in being able to set different levels of approval across different transaction types in Xero atm. Currently the draft permission will enable a user to create draft transactions in an org with out the ability to approve, while the Sales Invoice Only role will enable a user to create and approve invoices or quotes without access to purchases, and similarly the Invoice Only Purchases role will allow a user to create and approve Purchase transactions without access to Sales.
To better understand the ask in this idea can you share exactly the type of set up you would be looking to achieve to help with entering information in your organisation.

User Roles - Allow Read Only users to view imported bank statements
Read Only - Allow viewing imported bank statement
Have it so Read Only users can view imported bank statement, I don't know why this isn't already a thing....

User Permissions - Update for Standard Users
Standard user to be able to run and publish reports. Standard user to be able to prepare BAS but not submit (current set up), able to lock period but not modify locked period.
7 votesThanks for sharing this Idea with us, there is a lot of interest in this area. We are moving this to Gaining Support so you can share wiht friends and colleagues so they can vote and comment!
This is really helpful for the Product team who are able to gauge the community interest. Any updates to this will be posted here.

User Role - Allow Invoice Only users to Export Contact List
If a user has access to Invoices and Purchases and they have the ability to change Customer detail the role or an additional role should be to be able to export customer lists details as well as a seperate roll to access the age receivables.
This would give the Debtos managment role full access to follow up on all debtors and be able to update details for customers in bulk.
4 votesHi Rozane, thanks for raising this idea. We can see how being able to export contacts with Invoice Only permissions could help businesses delegate tasks to team members without giving extra permission.
I've updated the status of this idea to Gaining Support so we can continue gathering feedback and better understand the workflows where this level of access would be valuable.

User roles - Quote Only User Role with Restricted Inventory Access
Proposed Feature: Quote Only User Role with Restricted Inventory Access
Introduce a Quote Only user role in Xero that allows a user to create, edit, send and approve quotes while restricting access to all other parts of the system. The user should only see the quotes they created themselves and nothing else.
The Quote Only user should be able to create quotes, edit their own quotes, send quotes to customers, and view inventory items with read only access. Inventory visibility should include item descriptions, prices, tax settings, and available stock quantities, but the user should not be able to modify…

User role - Limit read only access
I am going through a bad divorce and I have to give my ex wife read only access to my company file however i am going against court orders and not giving her access as i know she will take invoices, purchase orders and product sell and buy prices to my competitors once our settlement is complete.
I need xero to create a read only service that does not show invoices, purchase orders, bills, inventory and also removes the report tab. pretty much just allow her to see bank accounts and where money is getting allocated.
i really feel like…
6 votesThanks for sharing your idea, and letting us know the changes that matter most for you. Xero’s current roles (including Read only) are intentionally broad, but we know they’re often too ‘all or nothing’. We can’t give a timeline for specific changes to Read only yet, but the direction is definitely toward more configurable roles and tighter control over what view-only users can see.

journal approval
Permissions - User Roles to Submit and Approve Journals.
There is currently just an option to "save as draft" or "post" so no approval workflow or audit trail on approvals.
Users should have custom permission to create/submit or approve journals.

Inventory Permissions - Ability to set for a Standard user
New Inventory Permissions - Standard user automatically gets full control of inventory. Is it possible to customise this like you have in Invoice only to View,Edit etc?
Could we please request further customisation of inventory permissions?
Under the current permission structure (NEW), a standard user has the ability to edit and manage inventory. However, if reduced to Invoice only, they can view inventory items (which is helpful) but they lose the ability to view all invoices for a contact. This makes it difficult for them to properly review customer purchasing history.
At present, the only way to allow visibility of…
6 votesThanks for the additional feedback! Understand how having these permissions for the Standard role would be beneficial, and this is something we do want to support but don't have a clear timeframe for just yet.
I'll shift your idea for Accepted right now and keep you updated of any progress around this here.

Expenses - Add option to prevent approvers from self-approving their own expense claims
I have read the Xero feedback that multiple approval levels in XeroMe expenses is not on the roadmap (disspointing) but I would like to make a case for a specific situation. I have team managers that can approve other expenses, but they should not be able to approve their own expenses.
Can we please have a check box, or option, that if someone is granted approver status, that they should or should not be able to approve their own expenses? Everyone needs a reviewer, but as it stands, if someone is granted approval rights, that individual can approve their own…
6 votesHi Brian, thanks for sharing your feedback. We understand the point in having an option to prevent users from approving their own expense claims, particularly for larger teams or businesses with more structured approval workflows.
I’ve moved this idea to Gaining Support so we can continue tracking interest and help our product teams better understand the demand for this type of approval permission setting.

Users - Login history only shows 60 days extend to longer period
I used to be able to sort by login history to see who has been working on which client account. This feature no longer is available it seems. Also, there used to be the ability to see a year's worth of logins, now it's only a few months. Why the change? This doesn't help when we are doing a year's worth of book-keeping for previous periods and I would like the functionality back to what we had in Classic. When using something New, please add and not remove well used and helpful reports and options. Thank you.
BTW, why did…
11 votesThanks for sharing your idea, and letting us know the changes that matter most for you. Currently the History and notes Assurance dashboard shows the date and time for the year. We can appreciate that the Users - login history should show a period longer than 60 days, We've reviewed your idea and now it's up to the community to get behind and support it. Remove ability to reconcile bank from Standard User Role
Standard User Roles - Toggle ability to reconcile transactions. Would like the option for Standard Users to have full visibility of the bank (Reconcile tab included) but just not be able to reconcile any invoices/bills/spend moneys

User Roles - Implement granular permissions to restrict users from deleting bank statement or transactions
Remove the ability from certain users to delete bank line transactions.
We need clients to update bank login details etc however we don't want them to have the ability to delete line transactions.
2 votesHi Zak, thanks for sharing this idea. We understand how having more granular user permissions to prevent specific users from deleting bank transactions could help strengthen internal controls while still allowing users to complete their task.
I've updated the status of this idea to Gaining Support so we can continue tracking community interest. If this permission would be valuable for your business, we'd love to hear more about how you manage bank permission across your team.

add supporting documents on the sales and purchases user
The new Sales and purchases user role is awesome!!! BUT this role cannot load a supporting document when capturing the payment (which is quite essential for a paperless office) then they can also not capture an overpayment? Is there any chance to change this?

remove journal access for standard users
Since the update to user permissions, Standard users now by default have access to create and edit journals. Most of our client base do not and should not have access to adding/editing journals therefore were set up with Standard user permission. This is going to be a huge job to review and update the permissions for these clients.
Xero should have kept existing permissions for all users, then we could review and expand permission for users on a case by case basis.
Further, it seems that you cannot remove journal access without also removing BAS/tax permission. WHY?!!

Viewer Permissions
Viewer permissions - Ability to customize Viewer permission for users. Eg If I want to provide viewing access to only Bills but not for Bank accounts. Also, ability to provide access to users based on Reporting tracking category, this is very useful for not-for-profit organization, where many staff are volunteer and we would like to assign user based on reporting category.

Dual login for partners/BAS Agents
Dual Login option for Partners
Under user drop down have another profile for partners and BAS Agents to use in client Xero accounts that do not have BAS Agent details attached.
This will allow agents to view client BAS for clients they are not the BAS agent for.
Currently BAS agents cannot see BAS for clients that have connected to ATO directly with their business credentials.
This would replace the current work around of adding another user with different email for the Partner to assist clients with BAS settings etc.

User Permissions - Update for Advisor role
Advisor role should be higher authority than standard, ie to be able to override locked period transaction without opening the period. Able to build new/custom report, submit BAS.
1 voteHi Dina, thanks for sharing this suggestion. We understand why having the Advisor role provide broader capabilities than the Standard role could be valuable for practices managing client files and completing higher-level accounting tasks.
Currently, some actions still require additional steps outside of the Advisor role, such as making adjustments to locked periods, creating custom reports, or completing certain compliance-related tasks. Having these capabilities available within the Advisor role could help reduce unnecessary workflow interruptions and better reflect the level of access expected from an Advisor user.
We appreciate the examples shared around how this impacts day-to-day practice workflows. I’ve updated the status of this post to Gaining Support so we can continue tracking feedback and gathering more votes.

Permissions - Give Invoice Only users access to Send/Print for approved invoices
Invoice Only User SHOULD have access to "send and print" feature once the Purchase Order were approved. To address this concern, a user should have an access level of Invoice Only + Purchases, however, changing the permission to this level, the inputs made by other users, which might be confidential and unnecessarily to be seen by others, are compromised. I would like to request to add this feature (send and print) for the Invoice Only users.
23 votesWe appreciate you taking the time to share and support this idea. We can see that this idea is already gaining traction amongst the community. Giving Invoice Only users the ability to send or print approved invoices has the potential to simplify your workflow and make day-to-day tasks more efficient.
Enabling this functionality would allow the same users who create and approve invoices to also send or print them, reducing handovers and helping your business operate more smoothly. It’s a great example of how a small change can lead to better team autonomy.
Currently, this action is available to users with Standard, Advisor, or Invoice Only – Approve & Pay roles. Expanding this to other Invoice Only roles, such as Draft, Sales, or Purchases could make Xero even more flexible for teams with clearly defined responsibilities.
We’ve moved this idea into the Gaining Support stage. It’s now open for voting…
