Permissions - Ability to set level of Approvals for different transactions

63 votesWe appreciate the feedback and interest in being able to set different levels of approval across different transaction types in Xero atm. Currently the draft permission will enable a user to create draft transactions in an org with out the ability to approve, while the Sales Invoice Only role will enable a user to create and approve invoices or quotes without access to purchases, and similarly the Invoice Only Purchases role will allow a user to create and approve Purchase transactions without access to Sales.
To better understand the ask in this idea can you share exactly the type of set up you would be looking to achieve to help with entering information in your organisation.

Read Only - Allow viewing imported bank statement
Have it so Read Only users can view imported bank statement, I don't know why this isn't already a thing....

User Role - Allow Invoice Only users to Export Contact List
If a user has access to Invoices and Purchases and they have the ability to change Customer detail the role or an additional role should be to be able to export customer lists details as well as a seperate roll to access the age receivables.
This would give the Debtos managment role full access to follow up on all debtors and be able to update details for customers in bulk.

User Permissions - Update for Standard Users
Standard user to be able to run and publish reports. Standard user to be able to prepare BAS but not submit (current set up), able to lock period but not modify locked period.

Inventory Permissions - Ability to set for a Standard user
New Inventory Permissions - Standard user automatically gets full control of inventory. Is it possible to customise this like you have in Invoice only to View,Edit etc?
Could we please request further customisation of inventory permissions?
Under the current permission structure (NEW), a standard user has the ability to edit and manage inventory. However, if reduced to Invoice only, they can view inventory items (which is helpful) but they lose the ability to view all invoices for a contact. This makes it difficult for them to properly review customer purchasing history.

Users - Login history only shows 60 days extend to longer period
I used to be able to sort by login history to see who has been working on which client account. This feature no longer is available it seems. Also, there used to be the ability to see a year's worth of logins, now it's only a few months. Why the change? This doesn't help when we are doing a year's worth of book-keeping for previous periods and I would like the functionality back to what we had in Classic. When using something New, please add and not remove well used and helpful reports and options. Thank you.

User role - Limit read only access
I am going through a bad divorce and I have to give my ex wife read only access to my company file however i am going against court orders and not giving her access as i know she will take invoices, purchase orders and product sell and buy prices to my competitors once our settlement is complete.
I need xero to create a read only service that does not show invoices, purchase orders, bills, inventory and also removes the report tab. pretty much just allow her to see bank accounts and where money is getting allocated.

Xero’s current roles (including Read only) are intentionally broad, but we know they’re often too ‘all or nothing’. We can’t give a timeline for specific changes to Read only yet, but the direction is definitely toward more configurable roles and tighter control over what view-only users can see.

User Permissions - Update for Advisor role
Advisor role should be higher authority than standard, ie to be able to override locked period transaction without opening the period. Able to build new/custom report, submit BAS.
1 voteHi Dina, thanks for sharing this suggestion. We understand why having the Advisor role provide broader capabilities than the Standard role could be valuable for practices managing client files and completing higher-level accounting tasks.
Currently, some actions still require additional steps outside of the Advisor role, such as making adjustments to locked periods, creating custom reports, or completing certain compliance-related tasks. Having these capabilities available within the Advisor role could help reduce unnecessary workflow interruptions and better reflect the level of access expected from an Advisor user.

Expenses - Add option to prevent approvers from self-approving their own expense claims
I have read the Xero feedback that multiple approval levels in XeroMe expenses is not on the roadmap (disspointing) but I would like to make a case for a specific situation. I have team managers that can approve other expenses, but they should not be able to approve their own expenses.
Can we please have a check box, or option, that if someone is granted approver status, that they should or should not be able to approve their own expenses? Everyone needs a reviewer, but as it stands, if someone is granted approval rights, that individual can approve their own…

User Roles - Implement granular permissions to restrict users from deleting bank statement or transactions
Remove the ability from certain users to delete bank line transactions.
We need clients to update bank login details etc however we don't want them to have the ability to delete line transactions.

Permissions - Give Invoice Only users access to Send/Print for approved invoices
Invoice Only User SHOULD have access to "send and print" feature once the Purchase Order were approved. To address this concern, a user should have an access level of Invoice Only + Purchases, however, changing the permission to this level, the inputs made by other users, which might be confidential and unnecessarily to be seen by others, are compromised. I would like to request to add this feature (send and print) for the Invoice Only users.

Giving Invoice Only users the ability to send or print approved invoices has the potential to simplify your workflow and make day-to-day tasks more efficient.
Enabling this functionality would allow the same users who create and approve invoices to also send or print them, reducing handovers and helping your business operate more smoothly. It’s a great example of how a small change can lead to better team autonomy.
Currently, this action is available to users with Standard, Advisor, or Invoice Only – Approve & Pay roles. Expanding this to other Invoice Only roles, such as Draft, Sales, or Purchases could make Xero even more flexible for teams with clearly defined responsibilities.

Permissions - Remove yourself from organisation with expenses only role
Users who only have access to expenses should still be able to ask to have their permissions removed. It is ridiculous that I have access to a company expenses dashboard that I shouldn't because I don't know the subscriber and can't remove myself.

User role - Public view ( GDPR SAFE )
I’d like to propose a “view-only” feature that would be fully GDPR-compliant and suitable for organisations that manage sensitive financial information—such as block management companies handling residents’ funds.
The idea is to allow every shareholder or resident to view the accounts and understand where money is being spent, while ensuring that all personal data is hidden. Bank accounts - Ability for Managers to approve updated bank account details for contacts.
Add the ability for Managers to approve bank account details for contacts. Ie the Bookkeeper can enter in & change the suppliers bank account details in Xero, but the manager can then go an approve it.

User Role - Access to specific feature only
"Business and accounting" role needs ability to more narrowly define. I want an employee to access invoices (receivables) but that then gives them access to ALL financial reporting, e.g. P&L, which I don't want them to see.

As you may have seen in some of our recent updates across other user roles ideas we’re currently in the process of adding more permissions within Reporting and Inventory. Further to this our research has highlighted Payroll and Banking as areas that more controls are most needed, and are on our agenda as we continue to develop permissions and access to features.

Permissions - Auditor roles that allows read only access to everything
We're auditors and some of our clients are having issues around providing consistent access to everything as they don't want us to have read-write access, and we don't want that either. What we'd like is a user class for auditors/regulators which is read only and allows access to everything.

Dashboard | Watchlist - Customise at the user level
Could the Accounts Watchlist feature have an option to have user specific watchlists? The accounts I want to pay close attention to as Head of Finance is different to what the Finance Assistant wants to see. Not all accounts are organisation wide specific.

User Roles - Ability to filter and sort list by roles and permissions
As part of our QA, we review the list of users to check that it is up to date, eg, remove terminated employees, remove auditors at the completion of the audit or revert to Read Only, etc.
It would be great to be able to filter/sort the view by access type, such as looking only at Payroll Employees, or filtering them out.

New invoicing - Don't allow Invoice Only Draft Only user to select Create new item
When I am logged-in to Xero as a user with "Invoice only" and "only create drafts" permissions, it is my understanding that this user should not be able to create new invoice items or see menu options for creating new items. However, it appears this user can see this menu option when adding a line item to an invoice and attempt to create a new item, leading to an ambiguous error message.
