We assign a unique project number to each of our projects, and we currently use this same number as the item code when creating purchase orders (POs) and sales invoices.

We would like to know if there is a way to link all transactions to this project number so that we can easily view all related sales, purchases, and expenses in one place.

Ideally, we would like to be able to enter a project number and see all financial transactions associated with that project, including purchase orders, supplier invoices, expenses, and sales invoices.

I have tried using the existing Projects section, but I find it is not very user-friendly when it comes to assigning sales and expenses to a specific project.

Having a simpler system based on a single unique project number would make managing and tracking our projects much easier.

We would also like to have this functionality in the Reports section, allowing us to filter transactions by project number and generate reports showing the total sales, purchases, expenses, and profitability of each project.

Additionally, it would be extremely helpful to have a field where we can enter the expected delivery date for each project.

This could make it much easier to generate Work in Progress (WIP) reports by identifying projects that have not yet been completed or delivered.

Ideally, we would like to be able to generate a report showing all purchase invoices and associated costs for projects that are still in progress, based on their project numbers and delivery dates.

Hi community, we appreciate the support in this idea and apologise for not engaging here sooner. Thanks for sharing how important this workflow is for your business.

Our current deposits release is focused on approved invoices, where a business can request an upfront deposit and then collect the remaining balance later on that invoice.

However, we know for some businesses this needs to begin earlier from the quote stage. While we consider how we might expand deposits in the longer term we want to be upfront that converting a quote to a deposit and remaining amount invoice isn’t in the roadmap as yet.

We’ll keep this idea updated as there’s more to share on the future of deposits with Xero.

Hello, this is very important to us, as we work on projects of varying values and sizes.

Could you please confirm whether we would be able to amend a quotation after the deposit has been paid? Our clients sometimes request changes to the project scope, content, or dimensions after making their initial deposit, which may affect the final price.

We would appreciate your clarification on whether such adjustments are possible.
