  1. Would love to be able to set a different email address for sending Quotes (info@) and Invoices (accounts@) so that queries are responded to more efficiently instead of having to forward the email query between different departments each time.

  2. Quotes that have been Deleted are marked as Deleted but continue to be displayed in the Sales Overviews. There is no need to continue to display deleted items in the Overviews. They should be removed.

    Hi team, in the aim of transparency we have split this idea out from the original one here so we can get a better understanding of the interest for this change in each area of Xero.

    Being quite different features within Xero it's not likely that a change in one would be reflected in the other area at the same time. We will continue to track interest in removing quotes from the all list here and share if there are any updates.

  3. Would be great to be able to save a default, or even multiple templates, for the Quote TITLE and SUMMARY. We are currently retyping or copy+pasting common quote titles and descriptions for every single quote. Most of our quotes have the same title and a similar description, that could be built into a template or default text if you'd add that feature.

    Hey Dean thanks for bringing this Idea to us, we always appreciate our customers thoughts on how we can improve Xero! This Idea has been moved to Gaining Support so others can vote and comment on this. We also wanted to let you know that there is a work around for tis idea, you can create a draft quote with all the relevant details and use that as a base to 'copy to' to reduce the time spent filling out the same details. Don't forget to let you friends and colleagues know they can vote on this idea now 🙂.

  5. Like in xero mobile app in Invoice we Have option to share Invoice via other apps by getting its Link (Even we can send that link to clients with SMS)

    Quote should have similar share option in app.

  6. Enable common text formatting e.g add bullet points, make items bold, italic or underlined. Editing the text size and fonts might be handy for some folks too.

  7. I would like the ability to edit inventory item costs directly from the quote page, similar to the option available on the invoice page. I don't mean the price on the quote itself, I mean the cost in the inventory. This would save me a lot of time.

  8. There is no facility in Xero to send a quote to a supervisor for approval prior to sending to the customer. It is essential the amount quoted to the customer is correct. I can submit invoices, bills and purchase orders but not quotes. Why not?

  9. Quote Acceptance/Decline/Contact Merchant Buttons on quotes - select Reply To email.

    Please please please let us choose the "reply to" email address in settings for when a customer presses "Accept, Deline or Contact Merchant" button on emailed quotes!

    At the moment the reply goes to the staff members personal log in email which is super inappropriate and means the company misses these emails, especially if that staff member has left the company or the bookkeeper etc finalises the quote.   11. Add a field for the date the customer requires delivery. I currently use the expiry date, but if I mark the quote as accepted this date disappears.

    This date is crucial for forecasting.

  12. With so many forecasting app using Xero Invoices & Quotes, we would like to see Quotes get an upgrade. Specifically add fields to show the billing frequency for that line.

    This would allow us to build our dymanic quotes in Xero, showing one time fees and monthly recurring ones. Hopefully this could also then auto-create the correct invoice types when accepted. So One-time lines are grouped into one regular invoice and all monthly lines are grouped onto a monthly repeating template.

  13. Looking for a way to show separate totals on quotes, itemizing "items" into separate columns. Such as one total for hardware and installation, and another for annual support or subscription costs.

    Typically when we quote out jobs the subscription for annual support/subscription is billed separately. It is added to an annual bill with the rest of the subscriptions separate from the one time quote for installation of new hardware. When sending a quote over for adding more hardware, for client budgeting purposes it allows them to know total cost they need in the budget but separates the one time charge…

We have guys out on site who need to be able to raise a quote for a client while they are on site for parts or additional works for their call out but we don't want those engineers to have access to see all of the sales invoices for the larger projects and we don't want them to have to wait until someone in the office approves it whilst they are waiting on site for it to be done.

  15. Not sure if it's just me but in the last week or so I have noticed that quotes no longer show the item code, the quote terms box or our logo even though all the boxes are ticked to do so in the settings..?
    Really need these features back working please as we are now having to manually add/adjust these in the PDF before emailing clients.

  16. Make all features available on phone app that are available on pc / laptops.

    There’s various basic functions that cannot be done on the Xero app designed for phones. Many small business users who are on the road for work want to action expenses and invoices as they go and have the same functionality on their phone as the laptop. Features are currently missing e.g:
    - adding a discount to an invoice
    - adding a category
    - deleting a quote
    And much more. It would be great to be able to do everything on your phone.

    For adding categories and discount you are able to add a discount. We recommend raising a case with our support team for further assistance with this :)

  17. We would like the option to provide an "estimate" for our Customers, rather than a quote. In our industry, we don't know exactly what items will be required, until we have started the job. If we give our Customers a quote, they expect us to honour the price quoted. An estimate gives us more flexibilty with the specific items we need to order and charge for.

  18. In the quoting and invoicing templates the words Quote & Tax invoice are large and overpowering compared to the Customers name. Is it possible to change those sizes in the template?
    I don't need to change it all the time so it doesn't need to be constantly amendable but do you think it's a good reflection on your business, that your customers name is in tiny print and the name of the document is huge.

  19. The "accept" button on Xero online quotes would be awesome for us if it required payment on the spot or at least sent an immediate invoice to the user. But instead, I just get a mail from Xero saying "Woohoo! [company name] has accepted quote [number] for [amount]". But it gives no indication what person at the company clicked accept. Quotes are often handed around. So there's often not much I can do with this. And it's worse than useless, because whoever clicked "accept" may think "now I'm done" and stop working on the order.   20. Ability to apply a tracking category to all items listed on a quote rather than having to manually enter the tracking catergory for each item line.
    Eg a tick box that would apply tracking category to all, but you could then still change some of the tracking catetgories if needed at a later date.

    Appreciate you sharing your idea in the forums here, Ellie. Understand it's not a bulk assign feature like you're asking here, however you may find setting defaults for Contacts useful in your flows here.

    You can set defaults for tracking for purchase and sales transactions within a contacts record that'l automatically be applied to lines of your quote when that contact is selected.

    For now we'll get a sense of interest from the wider community in being able to assign tracking to your quotes in bulk from the idea here, and I'll share if there are any plans made.
