  1. Quotes that have been Deleted are marked as Deleted but continue to be displayed in the Sales Overviews. There is no need to continue to display deleted items in the Overviews. They should be removed.

    Hi team, in the aim of transparency we have split this idea out from the original one here so we can get a better understanding of the interest for this change in each area of Xero.

    Being quite different features within Xero it's not likely that a change in one would be reflected in the other area at the same time. We will continue to track interest in removing quotes from the all list here and share if there are any updates.

  2. Like in xero mobile app in Invoice we Have option to share Invoice via other apps by getting its Link (Even we can send that link to clients with SMS)

    Quote should have similar share option in app.

  3. Ability to have sub category line items so can for instance quote for a kitchen and it does a subtotal for that then quote a bathroom and it has a seperate sub total incl or excl GST then a final full total

  4. The quoting process is more user friendly than the project function, if you could raise the quote from the 'Quote' page with all the details needed and then open a project from that, with all the detail, to begin the project stage, while projects are brilliant it is long winded if need to add a lot of detail, to then quote, then invoice.

    If the project process could begin at the quote level, there would only be 1 level to dismiss should the quote be declined. Quotes are always the bottom level.

    Hi Michael, just trying to understand your idea here a little better. When you Accept a quite at present do you manually enter the PO into Xero?

    Currently when entering the Purchase order there are 2 fields this could be entered

    • Order Number
    • Reference

    Can you share a little more about your process and what's missing in Xero for your workflow here?

  6. We switched over from QB and were told it would be so much better but come to find out there is no sales order feature and we are in shambles trying to find a workaround. I highly suggest XERO creates this feature to keep up with current programs and workflows.

  7. I would like the ability to edit inventory item costs directly from the quote page, similar to the option available on the invoice page. I don't mean the price on the quote itself, I mean the cost in the inventory. This would save me a lot of time.

  8. Quote Acceptance/Decline/Contact Merchant Buttons on quotes - select Reply To email.

    Please please please let us choose the "reply to" email address in settings for when a customer presses "Accept, Deline or Contact Merchant" button on emailed quotes!

    At the moment the reply goes to the staff members personal log in email which is super inappropriate and means the company misses these emails, especially if that staff member has left the company or the bookkeeper etc finalises the quote. The staff should never receive those emails in their personal email unless we select it in the settings. Give us the…

  9. Make all features available on phone app that are available on pc / laptops.

    There’s various basic functions that cannot be done on the Xero app designed for phones. Many small business users who are on the road for work want to action expenses and invoices as they go and have the same functionality on their phone as the laptop. Features are currently missing e.g:
    - adding a discount to an invoice
    - adding a category
    - deleting a quote
    And much more. It would be great to be able to do everything on your phone.

    Hi Ashleigh👋 Thanks for sharing your ideas and letting us know what matters to you! We also see how deleting quotes would be handy, and your idea is now open to votes from the Community to gain more support.

    For adding categories and discount you are able to add a discount. We recommend raising a case with our support team for further assistance with this :)

  10. As in creating an invoice, you can preview the invoice with the Preview button at the top right, It would be useful to be able to preview a quote in the same manner, rather then having to print to PDF? - I'm new to Xero so if I have missed anything then let me know.

  11. Our work is often quoted at the project level, with invoices being issued monthly for the duration of the project until the quoted amount has been paid and the project completed.

    Currently, we create the quote, and then subsequently create invoices - manually keeping track until the quoted amount has been invoiced, at which point we mark the quote as invoiced.

    It would be helpful if;
    - We could split the quote into N invoices automatically with the total invoiced amount over N invoices equalling the amount in the selected quote.

  12. In addition to the existing quote tabs, add an On Hold status. It does not need a separate tab. The quote can stay on the Sent page with a clear visual indicator like a dot, icon, or color tag showing it is on hold. This would cover quotes that are not ready to proceed or are conditionally approved but not fully approved, without marking them as accepted. Although the notes section is quite handy, I believe having some sort of visual impact will increase the users' efficiency. :)

  13. At the moment, the options for quote status are: Draft, Sent, Declined, Accepted, and Invoiced. A sales quote that was sent but it's now past the date on which it expired still shows as Sent. It hasn't been Declined yet, but nor has it been Accepted, so there are quotes which are 4 years old still sitting in the list of valid quotes (see attached extract from the accounts of one of my clients). There needs to be another category for quotes which are old but which the customer may want to revisit (and therefore would be more efficient to…

  14. There is no facility in Xero to send a quote to a supervisor for approval prior to sending to the customer. It is essential the amount quoted to the customer is correct. I can submit invoices, bills and purchase orders but not quotes. Why not?

  15. As a best-practice measure, we propose requiring customers to provide written or electronic signature when accepting quotes. This approach is designed to improve clarity, reduce misunderstandings, and ensure that both parties are aligned on scope, pricing, and terms before work begins.

    Under U.S. contract law, a binding agreement is formed through offer, acceptance, and consideration. Acceptance does not always require a handwritten signature; however, a signed acceptance is widely recognized as the clearest and most reliable method of documenting a customer’s intent to proceed under the quoted terms.   16. "Copy to draft quote" to copy ALL details from the invoice.

    Currently, when a new quote is created from and invoice using "Copy to draft quote", not all details are copied form the invoice.
    For example, the currency is not copied from the invoice but from the customer's default currency (which may be different than the invoice's); I am not aware whether other parts of the invoice are not brought over to the quote.

    I contacted support who confirmed that this is a feature - it is actually done on purpose.

    I think this is in fact a bug and…

  19. You are currently able to build a zap to create an invoice and add items to the invoice. It would be useful if we could build zaps to both create and add items to a quote as well.

  20. Provide a setting to hide GST from the quote total (display only), allowing businesses to present ex-GST pricing (while clearly noting prices are ex GST in the notes below for transparency). GST is still automatically included when the quote is invoiced.
