  1. When emailing an invoice to a customer there is an option to insert a link to the invoice. However the link is always placed at the end of the message and I have to cut and paste it where I want it in the message.

    Could the link not be inserted where the active cursor is instead? Saving the user the hassle of moving the link.

    Hi community, with the improved send experience in new invoicing you'll find this is now possible. 

    When you add the Online Invoice link through placeholders, you'll see it is automatically inserted wherever the cursor is placed in the email on the left and you can get an instant visual of what this looks like to your customer on the right. 😊

  2. Can we have added the ability to split an expense new claim over more than one account from within Xero me, or at least be able to edit this from within Xero once claimed submitted.

    Hi team, sorry we've not updated you here sooner. You'll find you can itemise expense claims using the Xero Me app on Android and iOS.

    You'll find this option at the top of the screen;

    • On Android this looks like an arrow that splits
    • On iOS there is the word 'Itemise' followed by an arrow that splits

    When you click this option you should see the ability to add multiple items to a single claim where you can set the Account and Tax rate for each item within the claim.

  3. Ability to shorten a financial year end on Xero without messing up reporting.
    E.g. when a company's financial year end is shortened from 30 June to 31 December so there is a 6 month transition period needed.

    Sorry we've not updated on this idea sooner.  

    We've now added the ability for you to create a short transition period (between 1 - 12 months long) when changing the Financial Year End date within your organisations Financial Settings.  

    To confirm the work in this space - Aligning with the UK basis period reforms we've made a change to Financial settings in Xero, so you can add start and end dates to different periods. 

    This change impacts multiple areas of Xero;   

    • Fixed assets will draw on this information, to prevent any loss of historic information when your year end changes. Everything will automatically be calculated for you based on the period start and end dates you set in Financial Settings.  
    • The same story will apply in Reporting. All historic reports will be protected. And you’ll have accurate comparison periods even across varied financial years.

  4. New Invoicing: Auto adjust the account column width (or wrap text) so that the full account name can be seen when creating an invoice in New Invoicing. Currently users have to click on the account within each line to see the full account name. In Classic invoicing the account box automatically adjusts so that the full account name can be seen.

    Our new line item grid is now available! Thanks for sharing and supporting this idea for being able to see the full detail of your Account.

    With this release, all fields within the grid will wrap so if the contents spill over more than 1 line you can still read the full account within the field. Along with this, our product team have optimised padding, font size and column width to improve visibility and reduce the need to scroll when viewing your invoices. 

  5. Ability to have the tax amount show on each line item and not just in the total below or even better so that sales tax automatically shows within the line item amount as per on screen, but when Printed to PDF it shows no Tax amounts per line.

    Hi team, returning to the idea. To confirm, with standard branding you can simply choose whether the amounts shown on your invoices to customers are tax inclusive or tax exclusive.

    In terms of default tax the Tax Amount column that can be shown on the invoice within Xero - it's possible to use an advanced branding theme and customise the DocX template to add the TaxOnLineAmount merge field to make this visible to your customer. If you'd prefer to not show Tax Rate or Tax name you can also use the advanced branding template to customise and remove these fields.

  8. I do not know if there is a way to do this if so it is not too simple. I would like to allocate a payment from the Bank to a Supplier but to not allocate it against any invoices. This would not be a new invoice but would sit on there account so it is easy to know what they owe a supplier. This idea would be similar to Sage "Payment on Account" which is very simple to do on Sage.

    Hi team, the way to do this in Xero would be to reconcile the payment as an overpayment or a prepayment. This would then be credit on a suppliers account that could be applied to a bill at a later date. 

    Best to connect with your adviser if you're unsure which transaction type you should record these as, however we have a bit more information on these here and here respectively. 😊

  9. On the old invoices/bills I could type "18/2/23" and it would auto fill 18th February 2023. Now I have to scroll back multiple months to get there. It would be good if I could type in the date field boxes again. Specifically on "Add Payment"

    We're pleased to announce that with our latest update you have the ability to directly type dates when making payments on invoices! We know this was a highly requested feature, and we appreciate everyone who voted and shared their input.

    For those familiar with our Xero Central article on keyboard shortcuts, you'll be happy to know that all those shortcuts are now fully functional in this date field, as well as all other date fields throughout your invoices.

    While a direct dropdown for "yesterday" isn't available, you can quickly enter the previous day's date by typing 't-1'.

    As this update delivers the majority of the changes discussed in this idea, we'll now mark it as delivered.

    We also heard the feedback from some users who prefer to use a full stop (.) as a date separator instead of the forward slash (/) or hyphen (-). There's a specific idea,

  10. With the new invoicing the branding theme is not available which is an important feature for us since for different clients we had different branding theme. Can this be added to the new invoicing system? Please refer to the attached. We cannot switch to this new invoicing if branding them is not added and it seems in September we will not have a choice. Clicking on edit invoice is not a solution. This info was available with the old system without clicking edit invoice

    Understand the sentiment and urgency in wanting this feature available. We've just released an update so now you can view the branding of an invoice when viewing. This is visible on invoices with Awaiting Payment and Paid status 🙂

  11. There is a need to manually edit the amount of GST paid instead of using Xero's calculation. For example, for credit card merchant fees, merchants calculate GST based on individual transactions and sum up the total GST payable, add onto the merchant fees for the total amount payable. As Xero calculate GST based on the total amount, there is a difference in the GST payable. Other accounting systems allows you to adjust, and it will automatically adjust the total amount. Without this feature, we have to use either rounding (for below 0.10c) or add a new line item. The problem…

    Hi 👋 Xero calculates the GST on each line item in invoices, bills and other transactions. The GST is then rounded to the nearest cent. The total GST is the sum of these amounts.

    We don't offer alternative rounding methods but if you have the global or Singapore versions of Xero you can enter a tax adjustment if you want to.

    Simply,

    1. Select the Tax Exclusive option in the Amounts are field.
    2. Edit the amount shown in the Tax Amount box - if this box isn't showing, click the + symbol next to the Tax Rate heading

  12. On the classic invoicing, you could type 'I want to see a unicorn!' and this would appear across your screen for a brief moment however the classic invoicing is retiring soon so is it possible to add this also to the new Xero invoicing as well?

    It's really nice to see more light hearted ideas like this come through community from time to time. For anyone that was around when we first introduced the unicorn in classic invoicing there is probably some sentiment tied to seeing this inherited in new invoicing, too! 

    I'm happy to share that we have re-introduced the unicorn in new invoicing 🦄

    Now, if you type 'unicorn!' in the Description field and tab or click across to the next field you'll see how we've added this little easter egg back into the mix. We hope to bring a smile back into your day as you're working in Xero 😁

    Hi team, you could use the Account Transactions Report here. When you run this report, select the bank account, then sort the results by the relevant amount column, this will group any items for the same amount together.

  14. Xero to create a function that allows you to see a total of Direct Bill Payment charges through a specified time period (similar to running a report on a specific account type). It is a direct cost and therefore it should be very simple to obtain the information. At the moment there is no real visualization, you can only obtain the information by multiplying the amount of payments made in a certain period by £0.24.     Hey Theresa, thank you for raising this suggestion. Whilst there isn't a report dedicated to showing the Direct Bill payment fees, you can use the Account Transactions report to see the fees for a specified time period.

    The payment fees are recorded as spend money transactions to the 'Payment Fee' account. Running the Account Transactions report on this account will show you the fees paid.

  15. On the new invoicing, when additional columns are selected, a scrollbar is added to the invoice layout and interrupts the smooth capture process. Having to manually scroll from one side to the other to view details is not ideal.

    Consider either auto-adjusting the column widths or allow for the automatic expansion of the invoice layout width when additional columns are selected. This way, users could view all necessary details without the need for manual scrolling.

    We appreciate everyone's patience as we developed this work. I'm now pleased to share that we've released a new line item grid within invoicing that embodies a lot of changes our customers have been asking for. Most importantly to the idea here, our teams have optimised the padding, text size and columns width to make this more compact so you can see more detail without the need to scroll. 

    You'll also find that all fields now wrap rather than truncating so you can see all the detail of your cell. Thank you all for contributing and engaging with us, here.

    Hi all, as noted in my last update - if you have the Adviser role in an org from the dashboard you can click the '+' icon in the menu banner at the top of the screen, and select 'Manual journal' which'll take you directly to a new Manual Journal. 🙂

  17. We issue quotes / invoices to customers, and POs to our vendors that include links to more detailed instructions / specifications on our Sharepoint server. The links don't appear live on the PDF documents so folks have to copy and paste them to view the additional content. It would be great if URLs could generate live hyperlinks so that additional information can be linked in the body of a quote / invoice / PO

    Hi Vanessa, 

    I just tested adding a URL in the Description field on a standard invoice template and when viewing the invoice as a PDF, the hyperlink to the URL does work if you mouse-over the first line of the URL.

    Alternatively, if there are common links you want to direct your customers to, you could add them to other areas of your invoices, quotes or PO by using an advanced template.  For example you could create an invoice template for a certain type of scenario with the relevant links you need to share, and add them just below the line items and total amounts on the invoice. Then when you need to send these links you just select that invoice branding theme.

    Hi there! You can already achieve this by filtering the History and Notes report by Contact, and also using the search to refine the results by bank account edits. I've attached a video demonstrating how - hope this helps 😊
