Feature Request: Streamlined User Re-invitation & Access Request Process for Organisations. To the Xero Product Team,
Firstly, thank you for continuously developing a fantastic platform. We rely on Xero daily for our core business operations.
We are writing to highlight a significant administrative challenge we face and to propose a feature that would drastically improve efficiency for organisations with a large number of employees, such as ours with 200 staff.
- The Problem: Inefficient Invite Management & Access Issues
Currently, we experience a high volume of access-related issues that are incredibly time-consuming to resolve manually. We estimate receiving ~50 requests per day from employees who cannot access Xero or XeroMe, with common errors being:
"You are not a member of this organisation."
"You do not have access."
"Invite has expired."
These issues typically arise because:
Initial invitation emails expire before the user acts on them.
User accounts become "deactivated" or "expired" due to periods of inactivity (e.g., seasonal staff, employees on leave).
Employees simply forget their login credentials and cannot use the standard recovery flow.
- The Current Pain Point: Manual and Repetitive Work
The existing process to fix this is manual and inefficient:
An employee emails our HR or Finance team.
An admin must log in to the Xero organisation, navigate to Users > Invited Users.
Manually search for the user's name or email address.
Click "Resend" on the expired invite or re-invite them from scratch.
Repeat this process 50+ times a day.
This creates a substantial administrative burden, delays access for employees, and leads to frustration across the organisation.
- Proposed Solution: A Self-Service "Request Access" Flow
We propose a two-part feature that empowers employees and automates the admin process:
Part A: For Employees (The User Side)
Any employee who receives a payslip from us (proving they are a legitimate employee) should see a clear link on their payslip or the Xero login screen: "Need access? Request it here."
Clicking this link would prompt them to enter their work email address.
The system would then send a verified access request directly to the Xero organisation's admin panel.
Part B: For Admins (The Management Side)
A new tab called "Pending Access Requests" is created within the Users section in Xero.
This inbox consolidates all requests from employees. Each request would clearly show the employee's name, email, and the date of the request.
Crucially, this screen would include a "Select All" checkbox and a bulk "Approve & Resend Invites" button.
This would allow an admin to review and process dozens of requests in a single click, rather than one-by-one.
- Benefits of This Solution:
Massive Time Savings for Companies: Reduces a tedious task from hours to minutes.
Faster Access for Employees: Employees can initiate the solution themselves without knowing who to email.
Reduced Back-and-Forth Email: Eliminates the email chain "I need access" -> "What's your email?" -> "I've sent it" -> "It didn't work".
Enhanced Security: Access requests are channeled through a secure, official system within Xero, reducing the risk of admins responding to phishing emails.
Scalability: Makes managing large and fluctuating workforces seamless.
