Allow Assigned Project Users to Invoice in Xero Projects with ‘Draft Only’ Permission
We use Xero Projects and assign each project to a project manager. Our managers need to invoice tasks directly within their assigned projects as this then shows which tasks have been invoiced within the project. Currently this is only possible if they have:
• Standard Project access, and
• Sales (Invoice) permission
The problem is that these permissions give the users too much access to company wide financial data, including ALL projects, invoices, and bills (not just the ones assigned to them).
If we reduce their permission level to “Invoice Only (Drafts),” the assigned users cannot create invoices within the project view. They must go through the Sales tab instead, which:
• Prevents tasks from being marked as invoiced, and
• Does not link the invoice back to specific project tasks.
• Affects the project information captured in the reports.
Suggested improvement:
Change the permission specs in the “Invoice Only (Drafts)” permissions OR create a new permission user which allows ASSIGNED USERS in Xero Projects to:
• Create and edit invoices in Xero Projects for their own assigned projects.
• Allow the assigned users to send the invoices for management approval and restrict their ability to approve their own invoices (and bills).
• Pull profitability information for assigned projects only (without them needing full sales access to the rest of the company’s info).
This would allow invoicing and project management by assigned users within Xero projects, while maintain data security.
