AU Payroll | Payroll Activity Detailed report - Separate date and Employee name columns
I hope that there's separate columns for date and employee name as seen in the previous report as it's totally useful when summarising data for various period. For instance, when generating the old report, it's completely quicker to use the pivot table and other excel formulas to calculate the total hours work and the corresponding cost in a certain period and prepare a comparative report for various pay item/period and employee using the old payroll activity detailed report. It's a single payroll report where all the relevant information is included.
32 votesHiya team, thank you for sharing your feedback and letting us know the detail and why this is valuable to you. Based on feedback we received on the Employee name and Date columns the team have just released an update to the Payroll Activity Detailed report to include Employee name and Date as separate columns in the report and these will now show by default.
This will help as noted when exporting and using the data for further analysis outside of Xero.

UK Payroll - Birthday Notifications for employees
Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.
124 votesHi team, this is now released!🎉
We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊
Thanks for all your support and input via the idea here.

NZ Payroll - Option to show Holiday Pay accrual as hour value
Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to find out how…48 votesHi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.
Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.
We appreciate your interest and sharing with us through Xero Product Ideas.

UK Payroll | Reset holiday accrual on anniversary date
HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.
Please vote for all holiday balances to reset on the actual anniversary date.43 votesHi everyone, we're pleased to update you that these changes have been released in UK Payroll! 🎉 This includes the ability to set employee's leave to accrue based on a custom date of your choosing. Additionally, we've released changes based on the feedback here so that leave will now accrue on the first day of your annual accrual method.

UK Payroll - Remove YTD bank holidays from payslips
There is no reason to keep the previous bank holidays on every payslip.
I can’t seem to get rid of previous bank holidays from showing on current/future payslips. Why are bank holidays from the Easter and the King's Coronation still appearing on payslips May 2023 onwards?? Doesn’t look very professional. This is all on the YTD earnings line. Why isn't there an option to remove it? Clients are not very happy.
12 votesHi everyone, returning now a few weeks on from our last update, we’re going to move this idea to ‘Delivered’ with the change the team made to Payslip PDFs. We have now combined all previous earnings as one YTD line so that your employees only see the most relevant information 🥳

UK Payroll - Leave Summary Report
UK Payroll - need a summary report showing leave taken / remaining by employee for a given leave year - This is already available in AU payroll
77 votesHi team, as an update to my last post, we have now rolled out the Leave Requests report in UK Payroll. This report lists the details for leave requested, approved and taken, for all employees or can be run for a singular employee, and will help when planning rosters or work schedules. Payroll Admins will be able to find and access it through the Reports Centre found in the Accounting menu. We're aware that the Leave Requests report does not meet all of the requirements as outlined in the comments of this idea, and we have created a new idea for a Leave Transactions Report. We will track interest of this idea and keep an eye on this separately, so please do join and support if this is of interest to you.

Payroll Activity Details (AU) - Date column to be added back
There has always been a date column - add it back - why mess with something that has been used for so many years. Absolutely so desruptive to our professional services.
1 voteHiya Simona, sorry for not updating you on this sooner.
Shortly after the release of the new report our team made a change based on feedback, so the report now shows Employee name and Date as separate columns, and the columns will be included when running the report by default.

AU Payroll - Edit export of STP Finalisation
Would be great if we could have a tidier and shorter one (selecting what you want) rather then the CSV file
8 votesHiya all, thanks for your interest in this idea. An update our team have made in Xero Payroll makes reconciling payroll much simpler. You can now see key payroll totals in the Finalisation screen, and you'll also find you have access to an organisation finalisation report that includes totals, which can be exported to PDF format. 😊

UK Payroll - Auto updates for national Insurance category (NI)
It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!164 votesHi community, we've rolled out a change to Xero Payroll (UK), and now Xero will automatically apply the new NI category to a pay run based on an employees birthdate, and if they are entering into a new NI category. Meaning you no longer have to manually track and updates these.
We appreciate all your contributions and letting us know how valuable this feature is for you. 😊

AU Payroll - Show pay rate changes
On the Employee tab when an employee moves pay rates it would be good to have a record of the history of changes to see when the rate changed and what all previous rates have been - this would make tracking rate changes and anniversary dates easier.
So if the rate changes in the pay template then the change is recorded (link) to say notes to keep track of rate changes.
95 votesHey community, 👋 thanks for all your support on this idea, I'm popping in to switch it across to delivered!
Just before the end of the year, we rolled out support for ‘Payroll History’ in Australia 🎉
It includes a history of changes made to the Payroll Settings screen, and to the Employee Record, enabling you to see pay rate changes at a glance. You can see the Payroll History in action on our Xero Blog post, Payroll history is launching in Australia.

AU Payroll | Timesheets - Add multiple start, end & breaks
It would be helpful with the new Timesheet features to be able to add more than one work time and break time per day to allow for split shifts.
49 votesHey everyone, thanks for sharing your feedback throughout this thread. It’s clear how important this feature is, especially for staff working split shifts.
I’m happy to confirm that our latest update to timesheets brings the multiple start, end and break times feature across to the updated timesheet experience, and will be available on both Xero Me mobile and web.
For more information on these updates, and some other improvements we’ve made to Payroll check out our Xero Releases page

UK Payroll - V NI Category start date
Tried to amend the national insurance category to a v category for 6 weeks after the employees start date, as that is when they were valid from, to find the calendar will only allow me to amend to a date previous or on their start date with the company. Has anyone else encountered this issue at all?
1 voteHi Laura, it looks like you also raised a support case about this which has since been resolved.
To recap, when you add a V category, you'll have the option to enter a date in which the category starts from. Then you would need to enter the date in which the employee was first employed as a civilian.
For example, V category is valid from 31 Jan, therefore you can only enter the employment civilian date up until 31 Jan. You won't be able to enter an employment date after the NI category date.

UK Payroll - Adjust dates for holiday / statutory leave year
We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
We should also be able to show holidays in days not hours.
We should be able to calculate holiday hours for employees that do not do a 5 day week. The hours taken on holiday need to be overwritten every time a PT employee books time off.76 votesHi community, happy to share that these changes have now been released in UK Payroll! 🎉 You now have the ability to set employee's leave to accrue based on a custom date of your choosing. We appreciate your inputs and based on the feedback we've made a change so that leave will now accrue on the first day of your annual accrual method.

UK payroll - Monthly calculation based on annual salary split by 12
At the moment there doesn't seem to be a way to pay a monthly employee a basic monthly salary without the hourly rate changing to reflect the number of working days in the month. Please can there be an option to pay a monthly employee a basic 12th of their annual salary each month and the hours per month are set to the average of a 12th of their annual hours so that the hourly rate for overtime etc stays the same each month.
Thank you.
19 votesHi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.
You can now enter more information about employees’ working patterns to support leave and earning rates calculations and save you time. You’ll be able to:
- Create or select from working pattern templates
- Add working patterns manually or using the template
- Setup multiple weeks of a working pattern
Being able to set up to 13 weeks in a template means you’ll be able to accurately reflect employees’ that may work differing hours through weeks in a month like you’re after here. We’ve shared a few videos on YouTube that’ll help guide you through the change 😊
Thanks for all your engagement and sharing with us on the idea here.

Xero Me - Ability to log start/end times and breaks
Ability to select log start/end times and breaks in Xero Me.
Purpose: Users can easily log their start/end times and break in Xero Me rather than having to use a third party app.
58 votesHi everyone, thanks for your continued interest here. We’re pleased to share that as of today start, end and unpaid break times that we recently announced is going to be rolled out to payroll employees using Xero Me Mobile, and will be available to all employees by the end of the week.

AU Payroll: Add notes to timesheet on desktop
It would be helpful when using XeroMe if staff could advise of earned Time in Lieu to be accrued for a timesheet. Currently they can only record the hours but not whether additional hours should be paid out or accrued
3 votesThanks for your continued support of this idea, community. Pleased to let you know that we’ve released further updates to time tracking in Payroll for Australian users.
You’ll now be able to add notes to each new earnings line, providing a bit of extra context for the timesheet approver.

reconcile payroll
Ability to reconcile payroll with a matching transaction as currently we have to enter the weekending and what is for when the wages come up in the bank statement but for bills and invoices it automatically knows what transactions are for what
2 votesHey Jarrad,
Xero has some tools built in already, to help you speed up Payroll reconcilliation. For more on that, I'd check out our Reconcile a payroll payment support article.
You can also set up bank rules to code future payroll payments for you, or turn on 'Suggest previous entries' so that Xero suggests a transaction each time.

AU Payroll - Detailed pay run journal report
A detailed pay run journal report would be much more useful than the current summary version. It is especially unhelpful that selecting the entry in an expense account just takes you to the pay run - it doesn't show you what is coded to which expense account. With many employees this can take a long time to find errors or to manually journal multiple costings
10 votesHey community, 👋 thanks for all your support on this idea, I'm popping in to switch it across to delivered!
Last year, we rolled out support for the new journal reports 🎉 These can be filtered by account and account code or even the description.
For more information check out our support article on our new Journal reports here.
Thanks again for your feedback. We know this has been a highly anticipated feature for the community and we appreciate your contributions.

Xero Me: Allow multiple timesheet entries in one day when using start and end times
Add the ability to Xero / Xero Me for multiple time sheet entries per day.
For staff who work across multiple sites having the ability to add multiple time entries per day and either select a client to associate those entries against, or add a note for each time sheet entry would be fantastic.
Ultimately you would allow up to 6 time entries per day.Example
Monday
Time Entry1= 8:00 - 11:30am (note= site 1)
Time Entry2= 12:00 - 3:30pm (note= site 2)
Time Entry3= 3:30pm - 5:00pm (note = site 3)Doing this would improve the functionality and uptake…
6 votesHey team, apologies we've not got back to you here sooner. Our product team have implemented a change so you can now enter the start and end times in a timesheet, which enables you to enter time spend in multiple locations.
