Invoicing - Ability to edit reference field when payment applied
After saving a payment directly inside an invoice, if the reference field is incorrect, we cannot edit it. We can only remove and redo.
1 voteHi Barbara, it's possible to Edit some fields of an invoice once a payment has been applied. This includes the Reference field - See more here
You'll find the option to Edit available from the icon menu in the top right of the screen.

Search individual item within whole of Xero
When we search for an item - there only seems to be limited ways of doing this. If more than one item is bundled up in a total then it is impossible to find. Eg. Would be good to find all items of a certain price (net) and then do ID when trying to sort out something or other.
1 voteYou can use the Inventory item details report to view this information and enable sorting by Item code. Add filters to this report for example to view results of Unit Sale Price like my image below. If you find this is a report you'll often run you could even save as Custom and favourite the report to make it more accessible in your org. 🙂

Please sort the ideas by category not which are being worked on or not
1 voteHi David, this feature is already available on Xero Product ideas 😊
As we see in the attached screenshot, all ideas are categorised by their product area in Xero (A), and can be further filtered by their status on Product Ideas (B).

GST - Default tax rate pull from supplier settings
When reconciling a transaction the default tax rate should be per the Supplier settings if set up in the Supplier. It is the Supplier who is GST registered or not. Currently a non GST registered Supplier may come up with NO GST, however if you change the account code you are posting the transaction to it will change the tax to be inclusive of GST if that expense would normally include GST. Supplier status should always override account code status, otherwise if not picked up and corrected leads to inaccurate GST returns.
5 votesHey community, 👋 thanks for all your support on this idea, I'm popping in to switch it across to delivered! We rolled out support for maintaining the suppliers default tax rate when the account code is changed 🎉
If the account code changes, the default tax rate will not change unless the tax rate is not compatible with the new account code selected.
For more information check out our How your default tax rate and account settings work
Thanks again for your feedback, we appreciate your contributions.

AU Payroll | Reporting - Common format selection
When you select reports and it says current month, it is not the current month it actually goes back from the day you create a report to the previous month. When it says current month I would expect it to be current month. See samples below where I have gone to the report and changed it to select date range and it should show current month but it doesn't
1 voteHi Sue,
I can see from your screenshots you've used the 'Select date range' option. As you've found, this defaults to a ~30 day period back from the day you've run the report. This is a bit of a quirk of the 'Select date range' dropdown.
However, I can confirm that if you use the date range 'This Month' your reports will return information for this calendar month instead.
To confirm this, you can post future dated pay runs for the same month, and they'll appear in your reports when run for 'This Month' but not 'Select date range'.

Contacts | VAT # - Ability to enter Northern Ireland formatting
New VAT numbers have been introduced for Northern Ireland - starting with XI. Xero rejects these new VAT numbers with both UK & Ireland options in the country box. Can you please update Xero to accept the new NI VAT numbers. Thanks
1 voteThanks for sharing back on this, Liesl. Checking in with our team I'm pleased to share this is possible.
While Northern Ireland isn't a direct option in the drop-down menu, you'll see there's a 'None' option - Selecting this will allow you to enter the VAT number in any format, such as you've noted here 🙂

Profit & Loss | Ability to view accounts that have been grouped
After editing the layout of P&L to group expenses under a few broad categories, if i wish to know the details of the numbers, i need to click on the specific number to get the breakdown with details. Can we do so by allowing the group to be expanded on P&L itself?
2 votesHi Eric, this is possible already but may just relate to the way you've set up the groups in the layout screen.
If you open the edit layout screen, you should be able to click on the group in the report to drop down and view the individual accounts within.
Your report will reflect the way this is shown in this screen. So, if you save the report with the drop down of accounts visible this is how the report will appear when run. The only time you may not see an account you have listed would be if there is no movement in it within the period. 🙂

Journal - Copy & paste or import manual journals with multiple lines
It would be great to have the ability to copy data from an excel sheet and paste into a journal in Xero (using a relevant template). It can be quite cumbersome to copy and paste individual figures into each row in a journal and/or type them in line by line, especially if there is a large volumes of line items to include!
2 votesHi Geena 👋, you can import journals with up to 300 lines at a time.
More information on how to do this👉 on Xero central

Reporting - Reset Custom reports
Since the OLD reports are going i think there should be a way to reset the New Custom reports to default layouts as on one of our clients someone managed to break a report and without noticing we were using incorrect figures for some time

Projects | Profitability - Link to run filtered report
The buttons linking to detailed reports from the project profitability tab don't go to the place they claim. They just take you to a blank report view. Very useless and pretty annoying. The software is almost as buggy as Quickbooks. Anyway, here's a screencast showing what I mean: https://www.dropbox.com/s/5hplwiontob2vq4/uselessButtons.mov?dl=0
5 votesHi all, leading on from our last update we're going to move this idea to 'Delivered' with the change the team made to Projects in August last year (apologies for the late update here!) You'll now find that all the reports on the profitability tab take you to the report, filtered to the project you were on 🌟

Xero App Store - Ability to see New Releases
Not quite sure if this is applicable here, but it would be good if there was a newsletter of sorts to announce any new apps that is released on the Xero App Store. It'll be good if there was a update of sorts whenever a new integration for Xero was released, especially for clients who're still looking for the right app to sign up for.
2 votesLike your thinking in how we could better surface apps that could help your clients needs. You may have seen that we've made a few updates to our App you now have options to Discover and select New and Noteworthy integrations 😁

Quotes - Ability to change the default 'Send me a copy' when emailing quote
On the newly rolled out quote form, have the ability to change the default 'Send me a copy' when emailing the quote.
Why would I want to send myself a copy when I have all my quotes available to me directly through Xero?!3 votesHi all
The 'send me a copy' field remembers the last setting used. So, if you untick this for one, it should default to unticked for the next one and following ✅

New invoicing - Look up Sales tax (US)
Tax Lookup should be available in New Invoicing
2 votesXero has recently partnered with Avalara, a leader in tax automation software, to provide automatic, accurate sales tax calculations on new invoices and simple, state-based sales tax reports to make it easier to prepare for filing.
This new auto tax feature will apply the tax rate automatically by location which sounds like what you’re asking for 😊 See here for more information, and a demo video. -
Quotes - Create new item without navigating away from Quotes page
It would be great if you could add a "New Item" when you first create a transaction. At the moment, you have to save and close the transaction, go back to it and "edit" then you can see +New Item at the top of the Item column. It would be a great improvement to workflow if you could do this straight away and if anyone like me has new items each week it would save some time. Thanks.
3 votesHi team, please to share that this is now live! You'll find when entering quotes in Xero you can now '+Create new item' all within the quotes screen. 😊
Thanks for sharing your feedback on this, with us here.

Pay Run Journal - Add actual payment date
I run alot of unscheduled payruns due to real estate sales commission payment and bonuses.
It would be helpful if the Pay Run Journal report shows the actual Payment Date. Eg. I have an employee who is set-up for a regular monthly retainer wage paid on the 27th of each month. However during this monthly payment period, they can receive multiple other commssion payments. Can this please be put forward as an enhancement request to the developers?1 voteThis feature is already available, through the Pay Run Journal report 😊
When posting the automatic pay journal, Xero will always use the payment date you've selected in the pay run for the date of the expense.
This is the date you'll see on the journal report. You can read more about on our 'Review payments using the Pay Run Journal' support article.

Contact List Report - within a period of time that Customers purchased and started, in excel format, for a mailing list for marketing etc.
To be able to create a Mailer list of our customers with all the relevant details on an excel worksheet, for example, Name / Address / Contact name / e-mail details, etc. The report would allow us to fill in the period of time we require to see when new customers had started with the company, and customers that have purchased within a certain period of time, for example for the last 2 years.
This would assist when we need to create, reporting for sales, labels for a mailer to send out marketing information and also if we wish to…
1 voteHi Natalie, this is possible with the use of Smart Lists!
You can run a report to view customers that have purchased from you within the past 2 years, and then export the list of results to CSV which can be uploaded to Excel. 🙂

Invoicing | Change default font size of PDF
Font Size: It would be helpful to increase the default zoom on the invoice view when processing invoices as the print view on invoices become very small and difficult to read without having to zoom in with the plus sign, which again does not enable you to see the whole invoice, which means you have to use the arrow bars. My suggestion would be Xero enables you to drag the invoice to a second screen rather than having to download it every time?
1 voteHi Jovanka, if you're using a Standard branding theme you could look to adjust the font size - this ranges from 9pt - 11pt.
Alternatively with an advanced theme/DOCX Template you may want to look at adjusting the default font size within your invoice template.
You could also view the Preview or Online invoice as a quick check over, without needing to download.

User Permission - Books Closing Date Restriction
The ability to set a closing books date so that no entries in a prior period closed date can be changed without an administrative password or an approval process chain of more than one approver.
3 votesHi community, this is possible via the use of Lock Dates in the organisations Financial Settings.
You have two optional date settings:
- One date that applies to all users except Advisers
- A date that applies to All users, including Advisers
These prevent the relevant users from adding or making changes before these dates.

Ability to set a branding theme that will default from the 'Create Invoice' function.
It's not currently possible to set a branding theme that will default from the 'Create Invoice' function.
You'll need to manually select the correct one each time. It doesn’t look like this idea has been raised as yet.
1 voteHi Nicole, this is actually possible based on the ordering of your branding themes from within the Invoice Settings screen - Read more on default options in our help article here
