Staff Report - Client & organisation access
Currently when a staff member leaves we can remove their access on the clients we subscribe to Xero but can't remove access where the client subscribes directly and has invited them in.
For security purposes, it would be good if the practice admin could easily run a report on the leaver showing all the clients they have access to. You can do this on screen however we want the client managers to get in touch with their relevant clients as they have the relationship.
I recently had a staff leaver with c100 clients I couldn't remove access to myself and it was quite a task screen shotting all of these so the client managers could check if any clients needed to be contacted.
Hi everyone, coming back across the idea here we wanted to clarify existing behaviour.
When you remove a staff member from HQ this automatically removes all org access, as long as those orgs are linked to client records, and as long as the client records are active (not archived) - Meaning you don't need to manually remove access to each org one by one.
The few cases where you would need to manually remove one by one would be if a client is archived or an org is not linked to a client record at the time of staff removal.
We intend to improve this experience and provide better visibility of staff access in the longer term, so when there is more progress on this I'll return to update you here.

This is a significant risk issue. Although we ask clients to never invite staff direct to their file, it always happens and we do not have any oversight of this.

We have also discovered this to be a major problem with one of our staff leaving our practice recently. A report which could be exported to Excel of staff and the clients they have access to would be very helpful.

Yes agree. We also use Xero HQ to manage portfolios staff have access to and if added directly we cant manage this via Xero HQ. I did notice that when a staff member is removed from Xero HQ the access to the org that was added directly did disappear so there must be some interconnection happening.

Agreed - where staff leave it's very difficult to ensure that the Xero access transfers to new staff - manually having to check hundreds or more logins to determine who has access is not efficient.
A list showing who has what access to clients that can be exported to Excel would be ideal. -

Please give this functionality. We also have this issue and clients come to us months later asking why this user still has access, months after he has left the firm. And for us advisors, we shouldn't have to leave this for our clients to action.

In My Xero staff I could quickly review all clients and see which staff had which level of access and could update multiple client access for a staff member in seconds.
Now I have to click into each client , click staff and then change each staff member's access. A ten second job could now take hours!!
It is essential Xero HQ staff has the same functionality or switch My Xero staff BACK ON!

It would be great if we could run a report in XPM Report Builder to show the total number of clients per each of our staff members. This would make it easier to ensure we don't overload our staff and we could make better allocations of new clients.
The ideal column layout of this report would be:
- Job manager
- Total clients
- Total budget (we have a custom field for each client's annual fees)
