I built a plugin that specifically to handle this proration gap.
It automates the HMRC math for benefits and syncs it to Xero so you can stop doing manual side-calculations.

Hi everyone, thanks for your continued engagement with this idea. We know this has been a topic of conversation for a while, and we want you to know we've been listening about the challenges of claiming VAT on mileage in Xero Expenses.
We appreciate everyone who's shared their workarounds, like splitting the mileage claim into two separate lines. While we know this isn't an ideal solution, it's great to see how you're helping each other out here.

I got so tired of the manual adjustments and 'Excel ****' that I built a specialized XERO plugin to handle this logic. It automates the proration and HMRC rate math, then syncs the figures directly into Xero Payroll in seconds.

Xero can file the forms now, but it still doesn't automate the proration math for mid-year benefit changes.
