Thanks for sharing your thoughts on bulk allocation of credit notes, everyone. We understand that manually applying credit notes one by one can be time-consuming, and we appreciate wanting a a faster, more streamlined solution.
Currently, while we know it won't be the flow that suits all, it's possible to apply credit notes to multiple invoices for a single contact by opening the credit note and selecting the invoices to apply it to.
Atm, we're in the process of releasing a new experience for Sales Credit Notes. This work will enable us to develop changes like you're asking here longer term. However, the initial release is focused on developing existing features into the new Credit Notes experience. Once this is fully rolled out the team will have more capacity to consider enhancements like bulk allocations, however we want to be upfront that this isn't planned for the short term.

Three years on from this request, archiving tracking options is still one-at-a-time in Xero — so I built a tool that does it in bulk: **BulkOps** https://bulkops.microspear.app .
It lists every tracking category and option in your org, you tick the ones to archive (or select a whole category), and it archives them as a background job — works even for options that are in use on transactions. And it's **fully reversible**: one click restores everything a job archived, and every change is logged to a CSV audit trail.
If you've got hundreds of old job numbers or completed projects to clean up, that's exactly what this was built for. **Free to try, no card required** — previews are unlimited and your first 25 archived options cost nothing, so you can clean up a real chunk of your list before deciding if it's worth paying for. Feedback very welcome — support@microspear.app
Like many of you, I got tired of waiting.
So I built the missing feature as a small web app: **BulkOps** https://bulkops.microspear.app . It connects via Xero's official OAuth and:
- scans your unallocated credit notes and open invoices, and proposes matches (same contact, exact amounts first, then oldest first)
- shows you a full preview — you untick anything before a single write happens
- runs the allocations as a queued job with live progress, safely under Xero's API rate limits
- and — because bulk-writing to a ledger should be reversible — one click undoes an entire job, and every write is logged with before/after state you can export as CSV
Jennifer's "104 allocations, 6 hours" above would be a ~2 minute preview and a ~2 minute job.
It's free to try, no card required — previews are unlimited forever, and your first 25 executed allocations are on me, so you can check it against your own organisation and see the actual matches before paying anything ($19/mo after that). It's new — I'm one person building this, so if something doesn't work for your setup, email me at support@microspear.app and I'll fix it fast.
