Xero should not get rid of global payrun it is a very useful feature that will make things more difficult for small businesses
3 votesHi team, we appreciate our customers that have been using our Global Pay Run feature, however we cannot extend use of Global Pay Run past 23 July 2025.
To make sure you have access to your pay run data after the product is removed from Xero on 28 April 2026 we must have enough time to archive and store it.

UK payroll - Amend employee regular earnings if pay run hasn't been run
Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.
You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.
1 voteHi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.
If you're having any issues with this we'd recommend raising a case through Xero Central where our specialists can investigate this with you.

Payroll: add more reports
The choice of payroll reports is so limited on Xero. Can the suite of reports be expanded so that they can give us the information we need to do analysis on?

While we appreciate wanting more flexibility and detail in payroll reports, with payroll development quite separated for each region, and to help our product teams best understand the data that would be most useful for our customers we're going to close this idea and recommend starting ideas for the specific fields that would be helpful in reports and why you'd find this useful.

AU Payroll - Auto amend ABA date for back dated payroll
auto amend the ABA date to the current date for back dated payrolls
6 votesHi community, appreciate your sharing in community here. Atm if you're wanting to change the payment date for an unscheduled pay run, you can edit the payment date while the pay run is in draft status. We don't have any plans for automating this.

AU Payroll - Extend 90 day limit for payment date
Xero Payroll restricts the payment date to no more than 90 days after the end of the payroll period. This isn't a legal or taxation limitation, but does restrict the occassions where clients are paying payroll in less regular intervals (such as paying their entire salary annually).
3 votesHi team, while we appreciate the request here,considering compliance requirements for payroll in AU we want to be upfront that we don't have plans for changing the ability to set the payment date beyond 90 days.
For any employees that you may pay on an annual salary basis, we'd recommend setting the payment date 90 days before the employee's annual pay date.

AU Payroll - Make employee groups mandatory
Please give us the option to make Tracking Groups a mandatory selection on the Employee tab before Xero users can save a new employee. This will stop users from setting up new employees & forgetting to assign the Employee Group tracking group which results in misreporting

NZ Payroll - Ability to delete pay cycles no longer used
Being able to delete pay calendars that are no longer used, or at least being able to remove them from being seen in the timesheet drop down.
5 votesThanks for sharing with us here, community. While your idea has been reviewed by our product team we want to be open that we will not develop the ability to delete old pay runs. Instead, there is the mark as inactive option.
We have rolled out new functionality in NZ payroll for timesheets, and while inactive ones are in the list, these are grouped together at the bottom, meaning you don't have to scroll through them, but can still view any old timesheets linked to that calendar.

Global Pay Run - Ability to select payable account for Deductions, Taxes and Post-tax Deductions pay types
The feature request is to allow the defining of current liability accounts for pay items with pay types set to Deductions, Payroll Taxes, and Post-tax Deductions. This will enable the tracking of payroll source deductions and taxes necessary for remittance reports to the tax authority (such as EI, CPP and income taxes for T4 and T4 summary completion in Canada).
There are two ways I believe Xero developers could achieve this goal.

Global Pay Run - Create Spend Money transactions
When posting a pay run, Xero should automatically create spend money transactions with all relevant details and links to the pay run.
Currently, this is done manually by creating spend money transactions for each transaction and there is no link to the payslip.
This will save a lot of time in reconciling a pay run and improve the connectivity within Xero.

Considering that we'll retire this feature we want to front-foot that we have no plans (as requested in this idea) to develop Global Pay Run.

Payroll - link payroll item to an asset account
At present it is impossible to link a payroll item to an Asset Account in GL. This is a limitation that is wrong and should be easy to fix. It is wrong because in some cases the wages are capitalised (for instance when the resources are used in full or in part to construct capital assets). Sure, it is possible to post a journal to move costs from P&L to a Balance Sheet account but it is cumbersome and error prone. I note, a majority of competing products do not have this limitation.

Payroll - Feature for Cayman Islands
I'm an experienced chartered accountant relatively new Xero user. I'm flummoxed by the inclusion of payroll transactions in the "bills to pay" section. While the detail is hidden from some users, some personal payroll transactions (related to overpayment) have become viewable by users without payroll access. Even summary transactions should not be viewable by people without payroll access.
All payroll transactions should be in a separate section to avoid confusion and any breach of privacy.
I cannot, for the life of me, see the rationale for including payroll transactions in this area in the first place.

With no plans for developing Xero payroll specifically for other regions at this time we'll shift your idea to Not planned, however I'd recommend exploring our Xero app store where we have multiple payroll app partners that integrate with Xero and could meet the needs of your business.

Payroll UK API Add employee number to Get Employees
On the Payroll UK API there is a Get Employees method that returns a list of all employees with details. Unfortunately this does not contain the Employee number(as opposed to employee ID) which is the only unique identifier for an employee between different systems(e.g HR system and Xero). In order to automate work I had to Get Employees then individually Get Employee merely to get the employee number which means rather than 1 request I had to do 1 + N where N is the number of employees which makes it more annoying(and less scalable due to rate limits) and…

AU Payroll - Payroll Activity report to show leave entitlements in draft pay runs
Before posting a payroll, when you run the "Payroll Activity" report, include the leave entitlements about to be posted not just the pay items.
So when you download a report to do a final check before posting payroll you can check ALL payroll activity not just half of it !
2 votesHi Kristen, appreciate you sharing in product ideas here. While this isn't something we have plans for I wanted to confirm you can currently check leave accruals by clicking on the employee's payslip prior to posting the pay run.
Once the pay run's posted, before it's filed, you could run the report and find any issues, and revert it back to draft to make changes if necessary.

Provide the functionality to receive leave requests by SMS notification.

GL Payrun - Bulk upload payroll details
Hello,
I wanted to take a moment to share a suggestion that I believe could significantly simplify our payroll process. It involves the implementation of a bulk upload feature, which would allow us to handle payroll data in a more efficient manner. We will need a template that contains essential details for each employee. These details may include the employee's name, rate of salary, and various pay items relevant to their compensation. This would reduce the time and effort invested in processing payroll.

Payroll UK - Increase the number of employees from 200
Are you likely to increase the number of employees you can have in Xero to more than 200? We don't want to move from Xero but may have to if the numbers can't be increased.
4 votesHi team, while we appreciate you raising the idea here, the cap of processing payroll for 200 employees is to prevent any issues with your user experience - Going over this could slow down the payroll function, and create difficulties when you run payroll reports.
If you do need to process larger payrolls, we suggest taking a look at our third-party providers in the Xero app store that can serve your needs and handle larger payroll data.

US Xero Payroll - Ability to delete or apply credits to 'old' bills to pay
I have multiple 2018 bills to pay generated from the US Xero Payroll feature that I can not delete nor apply credit memos to. Those were always "locked" bills. I've been trying to void or zero out these bills for years and apparently, there is no way to actually do this. I've spent hours with customer support to no avail. Please put something in place to allow users/me to accomplish this task. My AP bills are messy and my cash basis balance sheet is messy. Journal entries are not a solution as the bills will never go away using this…
4 votesHi team, we appreciate your input in Product Ideas and the idea shared here. Since US payroll was removed from Xero in 2019 we don't have any plans for making changes in the product for this.
We understand it's not the ideal solution however if you have tax bills or payroll transactions that weren't marked as paid before Payroll was decommissioned, you can post manual journals to adjust the balance of the relevant accounts.
While you can post manual journals to most accounts in Xero, there are some exceptions such as accounts payable. You'll need to use other methods to make adjustments to these account balances we have some help to guide you on this in Xero central.

Payroll AU - Ability to have multiple payslip templates
Please add the ability to have multiple payslip templates for multiple businesses trading within the same entity. Ie so their different logo's for the different trading names can be attached to the employee group for that business tracking category.
9 votesHey Tanya, we don’t recommend running multiple payrolls from the same Xero organisation. As there’s only support for a single payroll account, business name, and ABN per Xero Organisation. This information must be included on each payslip, and would need to be edited prior to posting each pay run.
Posting payroll for multiple businesses from the same Xero Organisation can also have an impact on your record keeping, especially when it comes to finalising your STP and employee superannuation for the year.
Instead, we’d recommend setting up a new organisation for each new business you run payroll for. If you need multiple plans for running small payrolls, as a Xero Partner, you might like to check out our Payroll Cashbook plans.

Create the option to Remove CIS schedule from the RTI section when your Company is not eligible for CIS
You should be able to remove the scheduled CIS from the RTI submissions if the company isn't CIS registered it shows orange like you have missed this.
VERY ANNOYING1 voteHey Sammy, in the screenshot you've shared, the EPS for Month 1 is displayed as 'scheduled' because it has not been submitted to HMRC yet.
EPS are generated in Xero, but not submitted until after the 12th of the following tax month.
So in this case, the EPS for the periods in your screenshot will be submitted after the 12th May.
Once we've passed the date for submission, HMRC will accept the EPS and the status will change to 'Accepted'. This is unrelated to your CIS schedule,
This is in keeping with HMRC's advice for Employer Payment Summaries, and you read more about this here.
