    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

    We really appreciate everyone who’s engaged with us on this idea and those who’ve been involved in testing some of the functionality with us through the journey.

  2. It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
    One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
    I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!

    Hi community, we've rolled out a change to Xero Payroll (UK), and now Xero will automatically apply the new NI category to a pay run based on an employees birthdate, and if they are entering into a new NI category. Meaning you no longer have to manually track and updates these.

Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊

    Hi team, as an update to my last post, we have now rolled out the Leave Requests report in UK Payroll. This report lists the details for leave requested, approved and taken, for all employees or can be run for a singular employee, and will help when planning rosters or work schedules. Payroll Admins will be able to find and access it through the Reports Centre found in the Accounting menu. We're aware that the Leave Requests report does not meet all of the requirements as outlined in the comments of this idea, and we have created a new idea for a Leave Transactions Report. We will track interest of this idea and keep an eye on this separately, so please do join and support if this is of interest to you.

  5. We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
    We should also be able to show holidays in days not hours.
    We should be able to calculate holiday hours for employees that do not do a 5 day week. The hours taken on holiday need to be overwritten every time a PT employee books time off.

    Hi community, happy to share that these changes have now been released in UK Payroll! 🎉 You now have the ability to set employee's leave to accrue based on a custom date of your choosing. We appreciate your inputs and based on the feedback we've made a change so that leave will now accrue on the first day of your annual accrual method.

  6. Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
    As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
    As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to find out how…

    Hi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.

    Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.

  7. HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
    We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.
    Please vote for all holiday balances to reset on the actual anniversary date.

    Hi everyone, we're pleased to update you that these changes have been released in UK Payroll! 🎉 This includes the ability to set employee's leave to accrue based on a custom date of your choosing. Additionally, we've released changes based on the feedback here so that leave will now accrue on the first day of your annual accrual method.

  8. I hope that there's separate columns for date and employee name as seen in the previous report as it's totally useful when summarising data for various period. For instance, when generating the old report, it's completely quicker to use the pivot table and other excel formulas to calculate the total hours work and the corresponding cost in a certain period and prepare a comparative report for various pay item/period and employee using the old payroll activity detailed report. It's a single payroll report where all the relevant information is included.

    Hiya team, thank you for sharing your feedback and letting us know the detail and why this is valuable to you. Based on feedback we received on the Employee name and Date columns the team have just released an update to the Payroll Activity Detailed report to include Employee name and Date as separate columns in the report and these will now show by default.

    This will help as noted when exporting and using the data for further analysis outside of Xero. 

  9. Would be great if the days per week and the hours per day could be for each day rather than a total amount. Sarah does a total of 30 hours per week
    Monday - 0hours
    Tuesday - 6 hours
    Wed- Fri - 8 hours per day
    but because we cant specify what days we have had to go 4 days per week with total hours per day 7.5. This is confusing to look at but we also have to remember when it is a public holiday to change it. Would be good if we could specify the hours worked per…

    Hi everyone, you can now create new working patterns for employees which allow you to add in the specific days and hours they are contracted to work!

    This improves the default hours used in calculations around public holidays, leave requests, the first pay, the last pay and when working patterns change during the pay period. Thanks again for all your feedback on this here.

  10. It would be useful if a Xero Me App - Approver had the ability to view a break down of the hours an employee works across the week (not just the total hours worked) before approving the timesheet. I see there is a lot of support for adding start & finish times and break times in the Xero Me App and this would be an extension of that.

    Thanks for sharing this idea. I’ve just updated the title to be AU specific as this feature has been delivered in the AU region! For our NZ voters I’ve split this to a new idea and transferred your votes.

    We added a timesheet setting in Xero Me (AU) that lets employees record start and end times for work and unpaid breaks. With this, Team Manager / Approver roles have the ability to review and approve start, end and break time entered, as well as any notes added by an employee on timesheets within the Xero Me app 🎉 

  11. The ability to set up a holiday calendar period of our choice (we have multiple clients with varying holiday calendars) with the option to have the full holiday entitlement available and for the available balance to reduce as employees take annual leave.

    Hi everyone, coming back to this idea I'm pleased to share that with functionality we delivered last year this is now possible!

    You can now set up an employee's leave policy to accrue based on a custom date of your choosing, so their entitlements will be accurate and accrue based on your companies leave year. We have more detail on setting up an employees leave entitlements on Xero Central.

  12. At the moment there doesn't seem to be a way to pay a monthly employee a basic monthly salary without the hourly rate changing to reflect the number of working days in the month. Please can there be an option to pay a monthly employee a basic 12th of their annual salary each month and the hours per month are set to the average of a 12th of their annual hours so that the hourly rate for overtime etc stays the same each month.

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    You can now enter more information about employees’ working patterns to support leave and earning rates calculations and save you time. You’ll be able to:

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    Being able to set up to 13 weeks in a template means you’ll be able to accurately reflect employees’ that may work differing hours through weeks in a month like you’re after here. We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

  13. Currently, when super payments bounce, Xero sends us an email letting us know that a payment to a particular super fund from a particular payment batch has failed. Once we've identified whose it was, and got the updated details, we then have to contact Xero to get a re-processing authorised.

    All of this takes time, during which the Directors of my clients may become liable for late super payments. I'd like a button to click to speed up at least the contacting Xero for re-processing bit - preferably as part of the process identify the refund received and connect the…

    Hi team, sorry we haven't joined in this idea sooner. Earlier this year we released an improvement so now if an auto superannuation payment is returned the authoriser will receive an email including the reason for the return. They will be able to withdraw the payment from the processed batch to reprocess the contributions. We have detailed help for this on Xero Central, but if you run into any snags as always our Xero Support team are available to help. 🙂

  14. Remove rejected leave items from view. As currently they are front an center even if related to a historic time for all employee when in desktop version of Xero Me.

    Hey all, 👋  thanks for your support on this idea and sorry for the late update. I’m popping in to switch it across to delivered for our AU users!
    Just before the end of the year, we rolled out the option for employees to archive their rejected leave requests in Xero Me web.

  15. There is no reason to keep the previous bank holidays on every payslip.

    I can’t seem to get rid of previous bank holidays from showing on current/future payslips. Why are bank holidays from the Easter and the King's Coronation still appearing on payslips May 2023 onwards?? Doesn’t look very professional. This is all on the YTD earnings line. Why isn't there an option to remove it? Clients are not very happy.

    Hi everyone, returning now a few weeks on from our last update, we’re going to move this idea to ‘Delivered’ with the change the team made to Payslip PDFs. We have now combined all previous earnings as one YTD line so that your employees only see the most relevant information 🥳

  16. When booking more than one days holiday Xero does not allow you to edit the hours taken. Xero assumes everyone works a 5 day week. So if a part time employee who works 5 hours a day 3 days a week totalling 15 hours books two days holiday Xero assumes they will be taking just 6 hours when it should be 10. There is not an option to amend the hours taken like there is if you just book 1 day.

    Hi community, with the recent change in UK Payroll to introduce working pattern templates so now you can now create default work schedules for employees, ensuring their pay and leave are calculated correctly. You can have up to 100 templates with up to 13 weeks of entries. 

    Working patterns provide visibility around earnings rate calculations and will eliminate the need to amend miscalculations manually.

  17. UK Payroll: Leave / Sick Days
    Xero payroll nearly always miscalculates sick pay and absence deductions if staff are paid an annual salary for two reasons;
    1) It works on average number of days in a month when month vary in working days every month and recalculates an inaccurate hourly rate from which it deducts absence (sometimes this is in favour of the employee but more commonly isn't) meaning that it often deducts too much from them and has to be manually recalculated.
    2) It does not have the capability to deal with part-timers so if you have someone who…

  18. A detailed pay run journal report would be much more useful than the current summary version. It is especially unhelpful that selecting the entry in an expense account just takes you to the pay run - it doesn't show you what is coded to which expense account. With many employees this can take a long time to find errors or to manually journal multiple costings

  19. Payroll doesn't refresh data unless you scroll up and down inside an employees pay all the time
    Can you fix this ? Even if you had a button which you could hit to pull changes
    into pay amounts quicker
    It takes a long time waiting doing the payroll when putting in hours and different rates for each employee each week for the amounts to change and pull through properly
