  1. Why does the Project record not cross-reference the invoice number when the project is invoiced?
    And why do they not have dates that they were created or invoices?

    Just rounding back, we'll shift this idea to delivered. For anyone coming across the idea here - Currently within a Project you can click on the Quotes & invoices tab to view Invoices that have been raised with the Project assigned and this will also show the Invoice and Due dates. 😊

  2. In the Bills approved and awaiting to be paid - it would be good to have a field for notes. There may be a reason why the bill is being held or delayed and a note section here for additional information would make it easier for all involved to understand why a bill might be delayed from the current payment run.

    Hi Nerida, there is already a feature where you can add notes to bills.

    If you scroll to the bottom of the bill you'll find Add Note, which opens a text entry field for you to enter and save your note.


    It'll only be visible on that bill. Alternatively if the hold is for the contact, you could look to use the Notes field in the details of the Contact record. When you Edit the contact you'll be able to add notes that can be seen to the left of the contact record screen once saved. 😊

  3. It would be nice if you could flip an invoice or a bill to a credit note of each kind. Sometimes when bringing in data from Hubdoc, a credit note will be pushed as a bill, so if you could basically hit a button to flip it the other way that would be great, same with invoices.

    You may already have seen on this idea, Hubdoc has rolled out support for automatic credit note detection.

    As mentioned by some here, when a credit note is detected by Hubdoc, all you'll need to do is review before publishing to Xero.

    Though there are suggestions for a direct button in Xero, based on this availability through Hubdoc, we're going to mark this idea as delivered.

  4. Add the capability to zoom in submitted receipts. As an approver of claims it is very hard to read the receipts without being able to zoom in or enlarge on certain parts of submitted receipts. This was available in the old “expenses” app which will no longer be in use at the end of February

  7. Usually, the options when you make a new bill would be "create new, copy, edit, etc" and date issued, date due, but no date planned to pay. SoI hope that one day there would be an additional option of "schedule for payment at date" because sometimes there are so many bills lying around and going to the "ALL" tab in Bills to pay, to find which are the bills that haven't had a schedule yet to schedule it is kind of inconvenient. So if I may, I would like a small additional option to be able to assign a planned…

    Hi everyone, returning to confirm that Quick view for bills has now been released to all users.

    You'll see while still on the list view when you click the 'eye' icon you can see full detail of your bill and make a few quick actions including the ability to add a planned date.

    I appreciate there are a couple of recent comments still wanting to see this in the individual bill page - please give this option a try and feedback if still does not meet your needs. We may open another idea to get a refreshed sense of the interest. Thanks

  8. Make the Xero Me App receipt analysis feature (to autofill expense data) available to expense submitter users.

    I was pretty surprised to lean today it is currently only available for admin users, despite it being a feature to benefit the expense submission process.

    Hi Paul, I think there's been a little bit of confusion here. Only an Expenses user with Admin can enable this feature, however once enabled any user in the organisation that has access to Expenses will be able to make use of the receipt analysis feature. 🙂

    Hi Amy, although discount column may not be visible when you first use new invoicing, you can use the Show/hide fields option to choose which fields and columns are displayed - including Discount, and Save your preferences.

    Next time you create an invoice for a customer using new invoicing you'll see your field preferences from the last invoice should be in the new one.

    With the Hubdoc mobile app you can now upload up to 10 images at once.

    Images can be bulk uploaded using the camera capture or your device’s gallery.

  12. With the old invoice format—when you edit the invoice issue date, the due date doesn't change. When you edit the issue date with the NEW invoice format, the due date automatically changes. Not sure about others, but I don't want it to do that. I'll often issue an invoice in the first couple of days of the month but then immediately backdate it to the end of the previous month. I don't want the customer's due date to change. I change the due date back, manually, but again—it's more clicks.

    Thanks for the feedback on the behaviour of the dues date, community. Our product team have implemented a change to this as of today, so now if you update the issue date after you've set a specific due date, it will not automatically update the due date when you make issue date changes.

    We appreciate our customers have different expectations of the behaviour between issue and due dates in new invoicing - Along with other changes we're developing for the due date picker, we'll soon release the option to 'Reset to default due date' which will let you intentionally update the due date based on your invoice's contact's default due date (if set) or your organisations default due date, just by clicking this option.

  13. When looking at Bills to Pay that are in Draft, we review the bill and approve. We then end up on the approved/awaiting payment bill screen. To get back to the next Draft bill to pay, we need to select "Bills to Pay" from the breadcrumb nav, then select back onto the Draft tab and finaly select the next bill.

    It would be good to have an option of "Approve" where we can directly go to the next draft bill to manage.

    Hey everyone, thanks for this suggestion.

    Now when you're reviewing a Draft bill, you can click the drop-down next to Approve, and select 'Approve & view next', to take you to the next bill instead of returning to the list. Screenshot attached for reference. Enjoy! 😊 

  14. On All of the New contacts Screens (All, Customers, Suppliers, Archived and Groups) have a field Chooser of the data to display on the screeen. Similar (but with more fields) to the Column chooser in the Bills Screens. These settings need to persist for the User within the Organisation.

    Hi everyone, just popping back here to let you know that the custom column option has been added to the All, Invoices and Bills tab.

    Clicking on the ‘Column’ button opens a list of all data columns available on the tab. Select the fields you wish to see on the page, and Click Apply. This saves the default view for the tab for all the contacts in your selected organisation.

    Note - This change is per user, so the columns will not change for other users of your organisation.

We use a lot of tracking options on our bills and invoices, sometimes we need to refer back to a particular bill in that tracking option for VAT treatment as an example, but the only way I have found to do that aside from opening each bill individually through the list to find the right category, is to run a tracking summary report, select the particular one and check the expenses - it would be much simpler to be able to see the tracking category alongside the bills to pay screen so you can easily open a bill for the…

    Hi team, while not shown directly on each row of the bills list, our new quick view for bills should resolve the needs here. 😊

    By clicking on the eye icon from the list you'll see your bill shown on the right side of the screen and can use the arrows to quickly move through each bill and view the contents including any tracking that you've assigned within your bill.

    Get in to try and we're keen to hear your feedback on using quick view in bills!

  16. It would be useful to have a cc and bcc field when sending invoices so that either the business owner or another individual could receive a copy of the invoice when it is sent. This functionality is available in QuickBooks.

  18. The new invoicing/quotes is a terrible downgrade for the price fields. It is incredibly strict with regard to numbers that can be pasted. Generally for prices, we are copy and pasting from a spreadsheet or another database. These will commonly have a comma for thousands and a dollar sign. The new quotes/invoices requires these to be stripped out and numbers entered strictly like this > 1111.00. It's a major annoyance and time waster.

    Hi everyone, thanks for contributing and feeding back on this idea. We appreciate the needs in being able to quickly enter data into your invoices and are continuing to build on new invoicing experience.

    With a recent update we've released what you're asking here, and you can now copy and paste numbers that include commas (,), and currency symbols such as $ or £.

  19. I want to start using the W9 Management tool going forward. I have a number of Suppliers that I received the paper pdf of the W9 and I have populated the 1099 info manually and attached the W9pdf to files. However, in order to use the new tool effectively, for those that I already have the details for, I would like to manually amend the W9-Status to received, so only new suppliers are highlighted as not received and I can send the link out for completion.     Hi community, our product team have been doing some work in this space and we're pleased to share that as of today you can now manually mark a W-9 as being received from the W-9 Management page 🎉

    This helps you edit the status where you have received W-9 forms through another source, such as PDF.

  20. Please give us the option to also edit and custom project reports, I need to add fields, run reports by date and add calculation fields. Currently we have to export available reports and edit in excel, it would be great to do it in Xero.

    Hey community - this one was released earlier last month, apologies for the delay.

    You may have seen that last month, we released an update to our Project reports that delivers this idea! 

    In addition to exporting to Excel, PDF and Google Sheets, you'll now have the option to save the Project Summary, Details and Financials reports as a custom report.
