  1. I really don't want the details of the invoice to be in the body of the email. It looks ridiculous and some of it could be private. Please change it back or tell me how to change it. I really hate it in it's current format.

    Hi Teresa, this is actually possible already. 

    From the Email Settings you can select the Sales invoice template and you'l just want to deselect the 'Include action to online invoice and detail summary' then Save. 

    I do want to note, this does strip back the email formatting so you might like to send yourself a copy to see what this then looks like once the option has been disabled. Thanks

  2. Sales tax code for Products & Services SKUs "Item Name"

    When you export the list of items from Products & Services you get a CSV with the fields:
    ItemCode ItemName SalesUnitPrice SalesAccount SalesTaxRate InventoryAssetAccount CostOfGoodsSoldAccount

    However, there is no field for "Sales tax code" which is used when you're leveraging AutoTax lookup integration with Avalara. Therefore, as we're converting to using AutoTax, we have ~700 SKUs here that we have to manually update ONE BY ONE!!!!

    This is insane. Why is this field not able to be edited in bulk like every other field?

  3. Immediately after creating an invoice, you approve it, then a series of boxes appears at the bottom of the screen allowing you to receive the payment. Once payment is applied you can send the receipt to the customer. This is ESSENTIAL for accepting cash payments or any payment made at the time of delivery but before sending the invoice. Please add this feature from OLD invoicing to New invoicing.

    Hi Fiona, it's not necessary to send an invoice before adding a payment. Once an invoice is created in new invoicing the default option is 'approve and send' but 'approve' can be selected instead. A payment can then be added and receipt sent, with a similar workflow to classic invoicing.

    Atm there's no way to set the default approve option for an invoice. However, this has been raised as an idea across here if you'd like to add your vote. 🙂

  4. Please allow a customers unique name and number pasted into the "to" box, be the only customer information required to continue filling out the invoice.
    My continued use of Xero depends on this action to stay as it is.
    Some users will not want to use Xero invoicing other than to use it as a debtors ledger and GST etc manager.
    In our case, we paste the name and number in the TO field, the only " item " we sell is one invoice worth our invoice total. The invoice number and reference holds our real invoice number.

    Hi everyone, to confirm for anyone coming across the idea here. In new invoicing the contact card will open so you can add more details of a new contact. However, the name is the only field required, so you can simply enter the name and then click Save to continue on. 🙂

  6. In the classic invoicing history, we can see the date and timestamp, this is not available in the new invoicing - see attached screenshots.

    We use this time stamp a lot for trouble shooting - like what time or XPM and what time was the invoice approved. This helps if there is an integration problem or double up, or payment query.

    Well that was quick! 😉 It turns out along with an entry when an invoice is sent, our product team also managed to release time stamps 🎉

    In history & notes of new invoicing, next to the date you'll now see a time stamp of when an entry occurred. Thank you all who voted and shared with us on the idea, here. 

  7. When sending invoices from Xero to Xero it doesn't attach the actual invoice in the draft bill as an attached so we don't have this invoice for record keeping purposes and can't even see if there's VAT or No VAT charged on the invoice as it is not attached to the bill. This needs to be added.

    Hi community, sending via the Xero to Xero network within an individual invoice is now live.

    As the team rebuilt this feature for invoicing they have also been able to develop the improvement that you're after here, and you'll see you have the option to include attachments when sending via Xero to Xero within an invoice.

    Atm, this is available in all regions excepting Singapore. We're still working on providing this to users in this region and as soon as it's live I'll update again to let you know. Thanks for your feedback and sharing on the idea, here.

  8. Why does the Project record not cross-reference the invoice number when the project is invoiced?
    And why do they not have dates that they were created or invoices?

    Just rounding back, we'll shift this idea to delivered. For anyone coming across the idea here - Currently within a Project you can click on the Quotes & invoices tab to view Invoices that have been raised with the Project assigned and this will also show the Invoice and Due dates. 😊

  9. In the Bills approved and awaiting to be paid - it would be good to have a field for notes. There may be a reason why the bill is being held or delayed and a note section here for additional information would make it easier for all involved to understand why a bill might be delayed from the current payment run.

    Hi Nerida, there is already a feature where you can add notes to bills.

    If you scroll to the bottom of the bill you'll find Add Note, which opens a text entry field for you to enter and save your note.


    It'll only be visible on that bill. Alternatively if the hold is for the contact, you could look to use the Notes field in the details of the Contact record. When you Edit the contact you'll be able to add notes that can be seen to the left of the contact record screen once saved. 😊

  10. Add the capability to zoom in submitted receipts. As an approver of claims it is very hard to read the receipts without being able to zoom in or enlarge on certain parts of submitted receipts. This was available in the old “expenses” app which will no longer be in use at the end of February

  13. Usually, the options when you make a new bill would be "create new, copy, edit, etc" and date issued, date due, but no date planned to pay. SoI hope that one day there would be an additional option of "schedule for payment at date" because sometimes there are so many bills lying around and going to the "ALL" tab in Bills to pay, to find which are the bills that haven't had a schedule yet to schedule it is kind of inconvenient. So if I may, I would like a small additional option to be able to assign a planned…

    Hi everyone, returning to confirm that Quick view for bills has now been released to all users.

    You'll see while still on the list view when you click the 'eye' icon you can see full detail of your bill and make a few quick actions including the ability to add a planned date.

    I appreciate there are a couple of recent comments still wanting to see this in the individual bill page - please give this option a try and feedback if still does not meet your needs. We may open another idea to get a refreshed sense of the interest. Thanks

  14. Make the Xero Me App receipt analysis feature (to autofill expense data) available to expense submitter users.

    I was pretty surprised to lean today it is currently only available for admin users, despite it being a feature to benefit the expense submission process.

    Hi Paul, I think there's been a little bit of confusion here. Only an Expenses user with Admin can enable this feature, however once enabled any user in the organisation that has access to Expenses will be able to make use of the receipt analysis feature. 🙂

    Hi Amy, although discount column may not be visible when you first use new invoicing, you can use the Show/hide fields option to choose which fields and columns are displayed - including Discount, and Save your preferences.

    Next time you create an invoice for a customer using new invoicing you'll see your field preferences from the last invoice should be in the new one.

    With the Hubdoc mobile app you can now upload up to 10 images at once.

    Images can be bulk uploaded using the camera capture or your device’s gallery.

  18. With the old invoice format—when you edit the invoice issue date, the due date doesn't change. When you edit the issue date with the NEW invoice format, the due date automatically changes. Not sure about others, but I don't want it to do that. I'll often issue an invoice in the first couple of days of the month but then immediately backdate it to the end of the previous month. I don't want the customer's due date to change. I change the due date back, manually, but again—it's more clicks.

    Thanks for the feedback on the behaviour of the dues date, community. Our product team have implemented a change to this as of today, so now if you update the issue date after you've set a specific due date, it will not automatically update the due date when you make issue date changes.

    We appreciate our customers have different expectations of the behaviour between issue and due dates in new invoicing - Along with other changes we're developing for the due date picker, we'll soon release the option to 'Reset to default due date' which will let you intentionally update the due date based on your invoice's contact's default due date (if set) or your organisations default due date, just by clicking this option.

  19. When looking at Bills to Pay that are in Draft, we review the bill and approve. We then end up on the approved/awaiting payment bill screen. To get back to the next Draft bill to pay, we need to select "Bills to Pay" from the breadcrumb nav, then select back onto the Draft tab and finaly select the next bill.

    It would be good to have an option of "Approve" where we can directly go to the next draft bill to manage.

    Hey everyone, thanks for this suggestion.

    Now when you're reviewing a Draft bill, you can click the drop-down next to Approve, and select 'Approve & view next', to take you to the next bill instead of returning to the list. Screenshot attached for reference. Enjoy! 😊

We use a lot of tracking options on our bills and invoices, sometimes we need to refer back to a particular bill in that tracking option for VAT treatment as an example, but the only way I have found to do that aside from opening each bill individually through the list to find the right category, is to run a tracking summary report, select the particular one and check the expenses - it would be much simpler to be able to see the tracking category alongside the bills to pay screen so you can easily open a bill for the…

    Hi team, while not shown directly on each row of the bills list, our new quick view for bills should resolve the needs here. 😊

    By clicking on the eye icon from the list you'll see your bill shown on the right side of the screen and can use the arrows to quickly move through each bill and view the contents including any tracking that you've assigned within your bill.
