  1. Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.

    Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.

    Benefits of this feature:

    Aligns income forecasting with existing expense tracking.

    Improves visibility of project profitability before actuals come in.

    Helps businesses plan resources, budgets, and cash flow more effectively.

  2. When exporting the profit and loss transactions it would be amazing for one of the columns to show the Contact in isolation rather than merging the contact and description into one field. This would allow much easier spreadsheet analysis by contact.

  3. In my custom income statement, I'd like to create a calculation for a debt service coverage ratio. However, I don't there's a way to set a P&I payment as "per month" in the custom features. Is there a feature to set a formula that adjusts my debt service based on the number of months the income statement covers? (E.g. monthly P&I is $5,000 per month. So a 6-month year-to-date statement would adjust P&I to be $30,000 on my printed report).

  4. We have recently entered into a group VAT registration. However, there is no functionality in Xero to make the submission as a group. We have to create the VAT returns in the individual entities and then import VAT box amounts, which means we lose the audit trail in Xero. Also if we were to receive a VAT inspection would mean that we cannot provide HMRC with just one return we would have to provide them with multiple.

    Need the additional functionality to link companies via a VAT registration number and submit the return (from any one of those entities).

  5. When comparing the Profit & Loss by projects, it would be very helpful to have an option such as “Hide zero balance projects” after selecting all projects. Currently, when we select all projects (we have more than 100), the report also shows those with zero balances (no transactions). This makes the report slower to display and download, and we have to manually remove those projects afterwards. Would it be possible to add such a feature to improve efficiency and reporting usability?

  6. Only show 'open items' on Balance sheet

    Have an ability to match items in a balance sheet account, so only the 'open amounts' (which make up the total) are visible eg for accruals - don't have to see all the old accruals, and the invoices that have cleared these out. Would be able to see summary of just the 'open amounts'

  8. Not a new product idea by any means, just a request to put the GST return back the way it was before the update. So far with the new update, we can no longer see the late claims on a separate tab, we cannot publish the final return in Xero and now we can not be in two different entities at once even if we are incognito mode or in a different web browser.
    When querying Xero about this problem, it was suggested that I post it as a product idea, because they are all known issues but can't do…

  9. When using the Reconcile Period feature for clients with multiple bank accounts, it is time-consuming to click in and out of each account to check if reconciliation is needed. It can also be difficult to remember which account you left off on, especially when reconciling at different times throughout the month.

    Displaying the ending date of the last reconciled period next to "Reconcile Period" and/or on the dashboard would provide a quick overview of the last reconciliation for each account, improving efficiency.

  10. The print date that now appears at the bottom of reports is useful for some reports and circumstances, and I understand this date is now turned off for Published Reports.

    However we do not 'publish' our financial statements - we send our financial statements to clients in a practical and informative pack instead. This is a more efficient, professional and streamlined approach for us.

Xero decided to limit the number of billable expenses one can view at a time when invoicing to 10, as was explained to me, because some organizations have a large number of billable expenses and it taxes the system and slows down the process of invoicing if more than 10 show. The exact opposite effect happens, however. Now, one has to page through dozens of windows to find the billable expense, instead of simply scrolling through 100+ bills. Even worse, there is no way to sort the bills, so the target of the invoice may be on page 36 taking…

    Hey Scott, really appreciate your feedback on our update here. We want to be transparent that the change to billable expenses in invoicing was something that we implemented due to lots of feedback that we received, and we don't have intentions on returning to the previous behaviour. On review, we first marked this as feedback based on it being a removal of a new feature, however we will shift this to Not in Pipeline to set expectation.

    This means other members will still be able to vote on this idea, and we can track if this is still an idea that trends.

  13. It would be really useful if there was an options to tag or colour code invoices in the list view, so that at a glance we could see invoices grouped together for any given reason.

    For example most of my invoices are paid via direct debit, so I'd love a way to tag/colour code the invoices that have not yet signed up for the debit system, so that I can see at a glance how many I am still missing and who I need to follow up on.

  15. Description / Pain Points:

    1. Refunds: Manual credit notes are required for Shopify order refunds, which is time-consuming and error-prone for high-volume merchants.

    2. Taxes: Xero only supports reporting for one region. Duties and taxes from other regions must be tracked manually, causing discrepancies and extra work.

    Suggested Improvement:
    - Auto-generate credit notes for refunds.
    - Support multi-region tax reporting to match Shopify calculations.

  16. We would like to automatically transfer daily sales data (excluding GST) from Xero into our custom system. However, the current sales reporting options in Xero do not allow us to select a “Today” filter.

    At present, we have to manually set the date each day to get the daily sales amount, which makes automation difficult and time-consuming.

    Idea / Request:
    Please add a “Today” filter option (similar to existing options like “This Month” or “Last Month”) so that businesses can easily pull daily sales data without manual date entry.

    When running a P&L or any other report with comparison data, it would be handy to be able to customise the date range of the comparison data. Some reports have an option of custom date range, but it's greyed out.

    We understand that customising comparison dates in the Profit & Loss report would give you more control over how you view and analyse business performance, especially when you're working with non-standard reporting periods.

    Currently in Xero, if you run the P&L for a custom date range (e.g. 1 Jan 2025 to 27 Jan 2025), you can compare that period with the previous:

    • Year – shows 1 Jan 2024 to 27 Jan 2024
    • Quarter – shows 1 Oct 2024 to 27 Oct 2024
    • Custom – automatically sets the comparison period to the same length (in this case, 27 days) immediately before your selected range, so it would show 5 Dec 2024 to 31 Dec 2024

  19. In old invoicing, when you used Copy and Merge into a new invoice, it kept each of the original invoice's items together in order, including the first line description. In the new Invoicing, it groups together all of the like items from each invoice which is incorrect. This needs to be addressed.

    Hi Lisa, it'd be good to get a closer look at some of the invoices you've copied and merged from and to, so we can get a better look at what's going on for you here.

    I've just tested creating invoices with Copy and merge from the list view using the same inventory items, however these are created as separate lines on the new draft invoice.

    If you can raise a case with our team of specialists through the Contact Xero Support option at the bottom of this page, they can get more detail to investigate and confirm.

  20. As well as my self-employment, I received income through Employment that currently I cannot declare through Xero's MTD for Income Tax implementation, and therefore I cannot use Xero for filing. The addition of allowing me to declare income through Employment via Xero would allow me and others like me to do so.
