  1. In the previous version of Practice Manager, you could display a company's directors and shareholders. Now there is no way of showing this. It would be good to be able to see this again.

    Thanks for raising this. I can understand how frustrating it is when important details like directors or shareholders aren’t where you expect them to be after an update.


    The good news is that this information is still available in the new interface. It’s now managed through the Relationships section of the client record.


    Here’s how to find or re enable it:

    1. Check the business structure: Make sure the client is set up as a Company or Limited Liability Company. Director and Shareholder relationships only appear for these structures.
    2. Open the Relationships section: Go into the client record and look for the Relationships area. This may be on the right hand side or under a dedicated tab, depending on your view.
    3. View or add relationships: From here, you can link contacts or other clients as Directors or Shareholders. If they existed before, they should have carried over, though you may need…
  2. Where has the Salutation field gone?
    It used to be available in Client Details and Additional Contacts and was used across multiple templates, including invoicing and merge-based applications. With this field removed, client correspondence is now appearing blank where the greeting should be.
    Using [ContactName] or [FirstName] is not a workable substitute:
    • For some primary contacts, it returns no name at all
    • In other cases, it defaults to the full name (for example, “Hello John Peter Smith”), which is not appropriate for client correspondence
    Please reinstate the Salutation field.

    Thanks for raising this – you’re right that salutation is a bit harder to find in the new experience, but it is still available.


    At the moment, salutation isn’t editable from the quick Additional contacts pop‑up. To view or update it, you’ll need to open the full contact record:

    1. From a client record
    2. Open the relevant client.
    3. Under Additional contacts, click the contact’s name (rather than the three dots).
    4. This opens the full Contact details screen.
    5. From here you can view and edit Salutation (and Addressee and Mobile), then save.

    From the Contacts list

    1. Go to Clients > Contacts.
    2. Search for and open the relevant contact.
    3. Update the Salutation field and save.

  3. We have found that there are some new fields in the updated XPM e.g. date of death, place of birth. This is great as we previously had created our own fields to enter this information. However, these new fields are not available in reports. Can these, and all new fields please be added to the select field options. If you want us to use them they need to be reportable. Thank you.

    Hi Christine, thanks for sharing your feedback! We know having access to all XPM data points in the Custom Report Builder helps you get a full picture of your practice’s performance without extra manual work.

    The good news is this functionality already exists. In the Report Builder, for example, the [Client] Date of Death and [Client] Place of Birth fields can be added to the Client & Contact report. Different report types—like Job, Task, or Staff—have their own sets of fields, so it’s worth double-checking your Report Type if a field doesn’t appear immediately.

  4. In the old XPM we were able to import new clients but there is only an export button. When we sign up new clients, they fill out a spreadsheet which we can then import to Xero but can't see how to do this now

    Hi there,


    Thanks for reaching out! It sounds like you're looking for the bulk import tool to get your new clients from that spreadsheet into Xero Practice Manager.


    To confirm, this feature is still available, it's just moved to a slightly different spot in the new menu structure. Instead of looking for a button on the Client list, you can find the import tool here:


    1. In the Business menu, select Settings.
    2. Under the Connections heading, click on Import.
    3. For the File Type, select Generic - Client.
    4. From there, you can select your file and upload your new clients in bulk.


    I’ve also included a link to our step-by-step guide on Xero Central which walks through the formatting if you need a hand with the spreadsheet columns.
