Hey everyone, we've been following the conversation closely and we want to acknowledge how important this is for many of you.
Atm, we’re on a long journey to provide more controls within Xero features that our customers need. Being such a broad idea that touches many areas of our platform, we’d like to encourage adding your votes to specific user permissions that matter most to you, such as:
- Bank Accounts: For more control over who can see bank account balances and access specific accounts, please see the idea here: User Role - Restrict access to individual bank accounts
- Sales and Invoicing: If you’d like to see changes to permissions around sales reporting and editing invoice templates, you can follow that conversation here: User roles: Restrict access to Invoice Settings
- Reports: To have your say on restricting access to specific reports, the relevant idea is here: User permissions - Assign user…

We appreciate the feedback and interest in being able to set different levels of approval across different transaction types in Xero atm. Currently the draft permission will enable a user to create draft transactions in an org with out the ability to approve, while the Sales Invoice Only role will enable a user to create and approve invoices or quotes without access to purchases, and similarly the Invoice Only Purchases role will allow a user to create and approve Purchase transactions without access to Sales.
To better understand the ask in this idea can you share exactly the type of set up you would be looking to achieve to help with entering information in your organisation.

Thanks for sharing your idea here Terrence. Can appreciate how this would be useful for other users wanting to know which quotes or invoices have the items assigned to get a better idea. We'll move this idea to gain more support from the team. In the mean time feel free to share this with your friends and colleagues who might also benefit from this feature! We'll monitor this space for any further updates.

Thanks for sharing your idea about expanding this feature to include credit notes (and not create them as bills).
Now it's up to the community to get behind and support your idea. Make sure you share it with any colleagues it could also benefit, so they can add their votes and comments too!
In the meantime, it's possible to bulk import credit notes using a CSV file, but not via this feature.

Hi team, doing some more testing around this I'm going to re-open the idea as I understand some of the feedback that's been raised is related to when the Purchase Order is in a Draft status and wanting the ability to create a Bill from a Purchase order in this state.
I've reached out to our product team and will round back with more updates here, however it would be really helpful to understand any details of your business flows and processes that require a bill to be created from a purchase order that's in a draft status that I can share back with our team. Thanks!

Hi Stacy, thanks for sharing this idea and the illustration you've provided.
We can see why having the ability to partially assign billable expenses could be useful. The idea is to allow only part of a billable expense quantity or value to be applied to an invoice, making it easier to distribute costs across multiple invoices, customers, or projects without needing to manually track the remaining balance.
We've updated the status of this idea to Gaining Support. If this would be helpful for your workflow, please add your vote and share more detail about your use case.

I'd like to see more data points when creating a project and more filtering options in the project reporting. For example, being able to filter by who the project is assigned to, contact groups, zip codes/counties etc. Ultimately, I'd love to see the ability to create a custom project profile that allows for unique data fields.

Hi Cody, thanks for sharing such detailed feedback on progressive billing for fixed-price tasks. It’s really helpful to hear how this could support projects that run across multiple stages.
We’ve reviewed your idea and moved it to Gaining support, so it’s now open for votes and comments from the wider community. If others have similar experiences with fixed-price project billing, we’d love for them to add their voice — it helps show how broad the need is and gives the product team clearer context.
Thanks again for raising this, and we’ll keep you posted on any progress.

Hi Shelby, thanks for sharing this idea. We appreciate you bringing this to our attention. At present users are utilising tracking categories to track different locations of a project. However we appreciate the need for a seperate field for address. We're moving this idea to gain more support from the community. Feel free to share it with your friends and colleagues so they can add their vote and comments.

Agreed! Having a way to customize roles between multiple assignees would be ideal.

In a similar vein, we are currently gearing up to transition our PO submittals and inventory records to Xero but need a way to review distinguish between inventory that is allocated to a specific project and inventory that can be reallocated or sold as retail. Available vs reserved?
